Before I start, I hold my hands up - I'm being lazy.
I have a number of contacts which I have exported into a pst file which I now
want as Windows 2000 contacts (ie, the E2K equivalent of custom recipients).
I realise I can export these from Outlook in .csv format, then import them
into W2K via the CSVDE.exe utility. However, as anyone will know who has
tried this it first requires a good deal of fiddling about in Excel to make
it match the required format. Not being an expert in Excel, I don't want to
spend half my day figuring out which strings I need to concatenate together
and more importantly, how to do it correctly! I was wondering if anyone knew
of any utility that could do the hard work for me or could give me a basic
description of what to do!

Exchange-related ?AD or IIS problem

I have a problem which relates to some kind of Exchange/IIS/AD issues, and I was 
wondering if anyone can help.  Long post which might eliminate a bunch of have you 
tried this questions or its a security issue statements.

The symptoms of the problem only appear when using OWA but I don't think that 
OWA/Exchange itself is at fault : hence the Subject of this mail is not OWA Problems.

Exchange 2000 SP2 running on 2000 server SP2.
Single domain model with multiple sites connected by a high bandwidth VPN over the 
internet.  Here I'll call the sites Oslo, Copenhagen and Stockholm but there are more.
Two DCs per site also running as GCs.
Single Exchange server per site, with the exception of one site.
One site has a front end Exchange server which deals with OWA for the whole company.

I'll explain the evidence first.

I log into the console of a DC, Exchange server or Workstation with ESM installed in 
Oslo or Stockholm, as Enterprise Admin, and create a user using the Users and 
Computers MMC.  No problems at all - everything goes as you'd expect.  This 
no-problems situation occurs at every site except one 

Now I log the console of a DC, Exchange server or Workstation with ESM installed in 
Copenhagen, as Enterprise Admin, and perform the identical procedure.  Everything 
works just fine, *but* that user will not be able to see OWA : gets a 404 not found 
[more about that in a moment].  Only that error, no other problems in evidence with 
the user account.

It matters not in which OU I create the user, or on which server I put their mailbox.  
If I create them using a machine sited in Copenhagen, I get the 404.  I've even tried 
waiting a few days for the pesky replication.

About the 404 error from OWA:

To work around any security issues with the front end server, I have ended up directly 
browsing IIS on the servers where that mailbox is sited using the usual link (say)  
\\cph-2kex01\exhange\mailbox.name

When accessing OWA for the users whose profiles work OK (created from any site other 
than Copenhagen), I get the anticipated password challenge.  If I put in their login 
details, I get to see their mailbox.

When accessing OWA for the Users created using machines at the Copenhagen site, I 
don't get the password challenge/authentication/login box or anything else.  Just an 
almost immediate 404 not found.

This does not vary from Exchange server to Exchange server i.e. If I create a user in 
Stockholm with a mailbox on the Stockholm mailserver from Copenhagen I get the 404.  
If I create a User in Stockholm with a mailbox on the Stockholm mailserver from Oslo 
then everything works just fine.

I've tried shifting the mailboxes between servers and it doesn't fix the problem.

I've tried logging in with their fully qualified usernames, and making sure that 
usernames/aliases/short names are varied wildly. 

I have checked that the affected Users have HTTP access enabled in the advanced 
exchange properties of the UC MMC, that they have the right permissions etc. etc. 
just in case.  I can find no apparent differences between Users created on the 
Copenhagen site and those created elsewhere.

Deleting the user account, recreating it from a good site and reattaching the 
mailbox fixes the problem.

I get the same errors when accessing info through the front end server.  Obviously I 
get the challenge/response to authenticate on the front end server, but once 
authenticated it passes the details to the Exchnage servers at the back end, and I get 
the same story.

The AD domain has been in production operation for about a year.  Exchange 5.5 was in 
a legacy domain and brought into the AD domain about six months ago.  Users created 
before the introduction of Exchange to the AD domain have no problems with OWA 
wherever they were created.  All users created from machines on the Copenhagen site 
after the introduction of Exchange get the 404.

We have only just noticed this now because up 'till now we haven't been using OWA.

My conclusions so far:

* It is not a problem with the Exchange server(s) because the problem is only 
evidenced by user creation undertaken on one site.  If you create the user at any 
other site, there are no problems with OWA at all.  You get the same reults whichever 
Exchaneg server you use for the mailbox.

* It is probably not a problem with permissions/security because users created with 
identical characteristics from other sites work just fine, and you can fix the problem 
using this route.  It shouldn't be finger trouble for the same reasons.

* It doesn't look like a problem with replication etc. on AD, as there are no untoward 
errors in any of the AD logs, or reported using dcdiag/netdiag type utilities.


My questions:

* Has anyone else had this problem?  I've had a good look in the archives, technet 
etc. etc.  None of the many articles relating to 404 not found or user creation 
issues seem to have anything to offer in this case, although I've tried a few of the

exchange 5.5. I am the owner of two mailboxes my
default and the other for support mails, my query is
when I delete mails from the support mail box it
appears in the deleted item folder of my main mailbox.
Why is it so. And is there a setting I can modify so
that such mails will appear in the delete folder of
the support mailbox.

It is the same with sent items.  This would be by design I would assume.

With Sent Items, you can change the location to the other mailbox.  Or
at least give permission to copy items there.  I have never tried this
with deleted items.

In the Application Log the Event ID:12002 is generating every 5 Minutes. I search the 
Error on MS KB, but unfortunately not able to find the solution.

 As far as I am aware I do not have any limits set ... but I have just
 received an NDR in the postmaster account. Any ideas ???

[Exchange 5.5] X400 connector problem

Dear All,

In our Exchange 5.5 network we have two messaging bridgehead servers set
up to act as each others backup. All company divisions are connected to
these servers with X400 connectors. The first half of the divisions have a
X400 connector connected to the first server with a cost level of 1 and
another X400 connector connected to the second server with a cost level of
100. The other half of the divisions (you guessed it right) has a X400
connector connected to the first server with a cost level of 100 and
another X400 connector connected to the second server with a cost level of
1.
When there are certain issues and a message can’t be delivered with the
use of the connector with the lowest cost, Exchange will try to pass the
message on to the second connector (this you all know of course). In case
of network problems, both connectors will be affected and messages will
start to bounce between the two connectors. Each time a message will be
transferred to the other connector, Exchange ads a bit of, so called,
internal trace information to the message. In the end, the size of the
message will exceed certain limits and this will result in the NDR listed
below:

Either the message size exceeds the maximum allowed for the recipient or
transport, or you have exceeded the storage limit on your mailbox.

Any suggestions how I can configure the X400 connectors to solve this
issue?

Are you saying that you can't find any articles or that the articles you
find are simply not relevant to your problem?

I found 17 articles on the public web-site when I put that string into the
KB search at http://support.microsoft.com/default.aspx?pr=kbinfo or 18 if I
just go to http://search.microsoft.com/

Organisational Forms seem to be a large cause of this error type so find out
if there have been any changes to them recently.  

Also does the originator specified in your error message (i.e. Name) have
any auto-forward/replies set up?

Create a distribution list (using Exchange Adminstrator) and a public folder
(using Outlook)

In Exchange Administrator set the email address for the public folder to
[EMAIL PROTECTED]

Add the public folder as a member of the distribution list.  (In Exchange
Administrator, scroll to the public folder, then go to file  properties 
distribution lists  add  then add the distribution list)

Go to the permissions tab of the public folder properties in Outlook. Give
the folder default permissions  contributor (Exchange 2000 set anonymous to
contributor)

Go to the public folder in outlook, right click on the folder and click on
properties. Click the administration tab and then click on the folder
assistant. Click Add rule. In the to: field, select the distribution list
created in the beginning. Select reply with template and type in the reply
text and subject  save and close. click ok twice.

Be sure to note in the body of the reply: This is an autoresponse. Please
do not respond to this message.

click add rule, select delete, say ok to this rule will fire for all
incoming messages...

(make sure that the reply rule is noted before the delete rule.)

Publish the email address of the distribution list.

I'm trying to setup an auto reply for our HR dept to use when they receive
resumes from outside the company.  I've setup the out of office reply
which only works when a user sends an initial message.  They never get a 2nd
reply unless I turn the attendent off and then on.  

Is there a better why to handle this?  and How?

Server can't hand off. It's a 'temporary' error telling you it can't deliver
the message to the server. If it could contact the server and exchange
messages with it, but the receiving server couldn't find the mailbox in the
address you'd see something different.

The DL replicated as universal security groups into AD, and the membership
was also correct. Also, the permissions are not limited to DLs, as my

system looks like right now.

A two-way trust is set up between the new domains. I have installed the
new server into the existing site and set up the replication agreements.
I migrated all the user accounts with ADMT. So far so good, everything
replicated back to AD. I then went about replicating some PF to the new
server. As soon as the replication took place, I could not view anything
in or below a second level folder. For example:

All Public Folders-|
 |
  --Org-|
  |
  ---Dept-|
|
---Folder

Once replicated, I cannot view any items in the 'Dept.' folder, nor can
I see the 'Folder' item in the hierarchy view. The folders were still
homed on the 5.5 server. I was pretty sure that this all worked OK on my
test server so I am not sure what I am missing.

Few more details: All of the users are still using their Domain A login
accounts (SID History was migrated to Domain B accounts). Permissions
were replicated exactly as they were on 5.5 to the PF. Default
permissions are set to none for the folder I am having problems with. I
can change default permission to reviewer, and then I can have full
access to the folder (I have Owner rights). I am suspecting it has
something to do with the domain accounts they are logging into/trusts,
but am not sure where to go from here. Anyone seen anything or know
anything about this problem? Any help would be appreciated.

before the message expiration time occurred. This message can also indicate
that a message header limit has been reached on a remote server or some
other protocol timeout occurred while communicating with the remote server. 
Troubleshooting: This message usually indicates an issue on the receiving
server. Check the validity of the recipient address, and determine if the
receiving server is configured to receive messages correctly. It may be
necessary to reduce the number of recipients in the header of the message
for the host to which you are receiving this error. If you resend the
message, it is placed in the queue again. If the receiving server is up, the
message is delivered.

error, a 5.x.x code.

Possible Cause: The message in the queue has expired. The sending server
tried to relay or deliver the message but the action was not completed
before the message expiration time occurred. This message can also indicate
that a message header limit has been reached on a remote server or some
other protocol timeout occurred while communicating with the remote server.
Troubleshooting: This message usually indicates an issue on the receiving
server. Check the validity of the recipient address, and determine if the
receiving server is configured to receive messages correctly. It may be
necessary to reduce the number of recipients in the header of the message
for the host to which you are receiving this error. If you resend the
message, it is placed in the queue again. If the receiving server is up, the
message is delivered.

Server can't hand off. It's a 'temporary' error telling you it can't deliver
the message to the server. If it could contact the server and exchange
messages with it, but the receiving server couldn't find the mailbox in the

Oh my god... it's a properly phrased technical question. Someone take a
picture. 

No quick answer is jumping out at me, but it sounds to me like possibly a
problem with the GC in the local site. I hate to resort to a standard PSS
troubleshooting technique... but have you tried rerunning domainprep yet?
Also, just for gits and shiggles can you double and triple check that the
network settings on all of the domain controllers are correct (including
especially the subnet mask). And try using RPCPing between the GCs.

Ok... so it's a short term suggestion while I look more.

 installed in Oslo or Stockholm, as Enterprise Admin, and create a user
 using the Users and Computers MMC.  No problems at all - everything goes
 as you'd expect.  This no-problems situation occurs at every site except
 one
 
 Now I log the console of a DC, Exchange server or Workstation with ESM
 installed in Copenhagen, as Enterprise Admin, and perform the identical
 procedure.  Everything works just fine, *but* that user will not be able
 to see OWA : gets a 404 not found [more about that in a moment].  Only
 that error, no other problems in evidence with the user account.
 
 It matters not in which OU I create the user, or on which server I put
 their mailbox.  If I create them using a machine sited in Copenhagen, I
 get the 404.  I've even tried waiting a few days for the pesky
 replication.
 
 About the 404 error from OWA:
 
 To work around any security issues with the front end server, I have ended
 up directly browsing IIS on the servers where that mailbox is sited using
 the usual link (say)  \\cph-2kex01\exhange\mailbox.name
 
 When accessing OWA for the users whose profiles work OK (created from any
 site other than Copenhagen), I get the anticipated password challenge.  If
 I put in their login details, I get to see their mailbox.
 
 When accessing OWA for the Users created using machines at the Copenhagen
 site, I don't get the password challenge/authentication/login box or
 anything else.  Just an almost immediate 404 not found.
 
 This does not vary from Exchange server to Exchange server i.e. If I
 create a user in Stockholm with a mailbox on the Stockholm mailserver from
 Copenhagen I get the 404.  If I create a User in Stockholm with a mailbox
 on the Stockholm mailserver from Oslo then everything works just fine.
 
 I've tried shifting the mailboxes between servers and it doesn't fix the
 problem.
 
 I've tried logging in with their fully qualified usernames, and making
 sure that usernames/aliases/short names are varied wildly.
 
 I have checked that the affected Users have HTTP access enabled in the
 advanced exchange properties of the UC MMC, that they have the right
 permissions etc. etc. just in case.  I can find no apparent differences
 between Users created on the Copenhagen site and those created elsewhere.
 
 Deleting the user account, recreating it from a good site and
 reattaching the mailbox fixes the problem.
 
 I get the same errors when accessing info through the front end server.
 Obviously I get the challenge/response to authenticate on the front end
 server, but once authenticated it passes the details to the Exchnage
 servers at the back end, and I get the same story.
 
 The AD domain has been in production operation for about a year.  Exchange
 5.5 was in a legacy domain and brought into the AD domain about six months
 ago.  Users created before the introduction of Exchange to the AD domain
 have no problems with OWA wherever they were created.  All users created
 from machines on the Copenhagen site after the introduction of Exchange
 get the 404.
 
 We have only just noticed this now because up 'till now we haven't been
 using OWA.
 
 My conclusions so far:
 
 * It is not a problem with the Exchange server(s) because the problem is
 only evidenced by user creation undertaken on one site.  If you create the

Two Issues

Ok, I have a user who is sending out meeting request, but when he receives a
confirmation from the parties he sent the request to, he receives an error
stating that the request doesn't exist in his calender, also he is receiving
the unable to update free/busy schedule information and I checked MS'
website and the role is set to editor, yet he is still receiving the
problem, what can I do to fix this, any help would be appreciated

The evidence is:-
1   Within Exchange admin, in the mailbox resources window, the Windows
NT account is displaying userB.
2   An event log id 1016 occurred stating userB logged onto userA
mailbox and is not the primary user.

UserB categorically denies attempting to access the mailbox.
 
Any reasons as to how this could happen assuming userB is telling the truth

You say that you joined an Exchange 55 Organisation which had multiple
sites.  Presumably this will mean that originally you had recipient policies
that matched the original Site Addressing.  Having domainprepped your AD
domain and installed a RUS, new users will pick up whatever addresses the
original Site Addressing stipulated.  Did you put a RUS in every W2k site or
is there only one? (BTW a RUS can not be on an FE server)

Now with one Front-end OWA box, all your users will need to have at least
one SMTP proxy address that matches the virtual Directory local path on that
box (e.g. if it is M:\exchange.domain.com\MBX then the users must have a
[EMAIL PROTECTED] smtp address which can be primary or secondary)

If you have now gone native E2k, have any of the Recipient Policies or RUS's
been fiddled such that users created from Copenhagen don't get this extra
smtp address?  If you manually give them a matching address does it help at
all?  Q293368 explains it more.

If I'm barking up the wrong tree and you've checked this sort of thing out,
please ignore me!

 ESM installed in Oslo or Stockholm, as Enterprise Admin, and create a 
 user using the Users and Computers MMC.  No problems at all - 
 everything goes as you'd expect.  This no-problems situation occurs at 
 every site except one
 
 Now I log the console of a DC, Exchange server or Workstation with ESM 
 installed in Copenhagen, as Enterprise Admin, and perform the 
 identical procedure.  Everything works just fine, *but* that user will 
 not be able to see OWA : gets a 404 not found [more about that in a 
 moment].  Only that error, no other problems in evidence with the user 
 account.
 
 It matters not in which OU I create the user, or on which server I put 
 their mailbox.  If I create them using a machine sited in Copenhagen, 
 I get the 404.  I've even tried waiting a few days for the pesky 
 replication.
 
 About the 404 error from OWA:
 
 To work around any security issues with the front end server, I have 
 ended up directly browsing IIS on the servers where that mailbox is 
 sited using the usual link (say)  \\cph-2kex01\exhange\mailbox.name
 
 When accessing OWA for the users whose profiles work OK (created from 
 any site other than Copenhagen), I get the anticipated password 
 challenge.  If I put in their login details, I get to see their 
 mailbox.
 
 When accessing OWA for the Users created using machines at the 
 Copenhagen site, I don't get the password 
 challenge/authentication/login box or anything else.  Just an almost 
 immediate 404 not found.
 
 This does not vary from Exchange server to Exchange server i.e. If I 
 create a user in Stockholm with a mailbox on the Stockholm mailserver 
 from Copenhagen I get the 404.  If I create a User in Stockholm with a 
 mailbox on the Stockholm mailserver from Oslo then everything works 
 just fine.
 
 I've tried shifting the mailboxes between servers and it doesn't fix 
 the problem.

We've seen this when people inherit old boxen and change (as opposed to
deleting and creating a new one) the profile on the machine. Some hooks to
the old mailbox remain and the event is generated when the user starts up
Outlook.

I agree with the rest of the crowd, though - turn off the disclaimer, at
least when you are conversing with civili[s/z]ed folk.

Did you use ADMT to clone NT4 SIDs onto ADC-created AD account Sidhistories
or did you use the ADClean method to merge separate accounts created by
ADMT?  

Regardless I'd take a look at Q309222 and check that the
msexchmasteraccountsid value is not populated for enabled users in AD.  Also
if you look at their mailboxes using the Exchange 55 Admin tool connected to
an Exchange 55 server, ensure that the Primary Windows NT account is set to
be their new AD account if they are using that AD account or the NT4 account
if they are still using that one.  Also check in the Permissions tab to see
if the account has full User permissions since the ADC has a habit of
changing it to Custom.

Sorry, forgot to include that info. Yes, the 2000 domain is in native mode.
The DL replicated as universal security groups into AD, and the membership
was also correct. Also, the permissions are not limited to DLs, as my

I am in the process of migrating all of my users (135) to an E2K box. I have
looked at Ed's Server Move doc from the FAQ. Here is what the system looks
like right now.

Old server - NT 4 SP6a, Exch. 5.5 SP4, Domain A
New server - 2000 SP2, Exch. 2000 SP2, Domain B

A two-way trust is set up between the new domains. I have installed the new
server into the existing site and set up the replication agreements. I
migrated all the user accounts with ADMT. So far so good, everything
replicated back to AD. I then went about replicating some PF to the new
server. As soon as the replication took place, I could not view anything in
or below a second level folder. For example:

All Public Folders-|

  --Org-|
  |
  ---Dept-|
|
---Folder

Once replicated, I cannot view any items in the 'Dept.' folder, nor can I
see the 'Folder' item in the hierarchy view. The folders were still homed on
the 5.5 server. I was pretty sure that this all worked OK on my test server
so I am not sure what I am missing.

Few more details: All of the users are still using their Domain A login
accounts (SID History was migrated to Domain B accounts). Permissions were
replicated exactly as they were on 5.5 to the PF. Default permissions are
set to none for the folder I am having problems with. I can change default
permission to reviewer, and then I can have full access to the folder (I
have Owner rights). I am suspecting it has something to do with the domain
accounts they are logging into/trusts, but am not sure where to go from
here. Anyone seen anything or know anything about this problem? Any help
would be appreciated.

store (running with the PST idea).

Is rule moving the calendar replies to a PST folder, and then the responses
being worked later, when off-line?  That could create the possibility that
an OST that has not been recently synched, is coughing up the error . . .

Thanks for the help with this.

The problem was users lacking an SMTP address corresponding to the domain name which 
the Exchange Server uses in its fully qualified name.  With that added in, things work 
normally and OWA for my problem users seems to function just fine.

OWA Issues No Public Folders Showing up

Running SBS2k with exchange sp2 installed on it.
When I try and access OWA I get this error when it comes up:
-2147467259 
I can click ok to this and then owa opens up, but it opens up without the public 
folders.
So far when I am on site and do : http://machinename/exchange/ I get in with no 
errors and see the public folders 
When I am on site and do anything else I get those errors. (i.e. use the internal ip 
of the machine, or the domain name)
When I am off site and go in using anything like http://mail.domainname.com/exchange 
I get the errors and no public folders 
Please help me out this is driving me nuts..

Have you configured a virtual server for the FQDN of the server. This
should be done in ESM\IIS mmc, copy the default  permissions etc.

I am having a weird problem.  I have users in my company that can send
email just fine to a particular email address.  But I have other users
that get the following NDR when they send to the same address.  This is
a single Exchange2K server, sp2.  Everyone is configured the same.

Best Practice to utilize a DMZ with Exchange

I am curious as to what is the best practices to utilize a DMZ and
Exchange 2000.  I am trying to avoide opening up port 25 to my internal
network where my exchange server is.  I don't want to put the exchange
server on the DMZ.  So what are the most secure solutions.  Should I go
with a front end back end solution, or could I put a unix smtp server on
the dmz that queued the mail for the exchange server?

Any input would be appreciated

Usually indicates a bad remote SMTP response to EHLO. But if the other can
send it may be you are sending to a group of email servers and all are not
configured the same or a firewall issue

Outlook 98, Exchange 5.5 SP4, NT 4.0 SP6a.

Is it possible to block User 1 from trying to make an appointment on User
2's calendar?  We have a few management employees (User 2) that do not put
EVERYTHING they do on their calendar, and they
would prefer not to have other people trying to make an appointment on their
calendar, thinking that they
are free, when actually they aren't.  Yes, the easiest thing to do is to
deny the request, but is there a way to block their calendar from even
showing up when someone tries to request a meeting?

Yep, like I said, declining is the easiest approach.  But if there is a
solution  where the calendar can not be viewed, they want to use it.  They
would rather have it blocked than repeatedly deny daily request. Silly?

Unless you have modified the default settings on the calendar, this is not
possible in the first place.  The default permission settings for each users
calendar is for, Default No access.

So unless privileges have been granted by user a or for user a, User B cannot
place an item on User A's calendar without a meeting request and User A
accepting it.  I don't think you can stop a meeting request from being
delivered. In any case User B cannot place a meeting on User A's calendar
unless User A has granted this privilege to User B.

Understood sir.  They just want to not even receive a request in the first
place.
Like I said, the easiest thing for them to do is click Deny Request, but
they don't even want to see the request.  Someone suggested using the rules

I've had a lot of success with stand-alone servers in the DMZ
- throw an AV scanner on it and relay inbound mail through it
- throw ISA on it and publish OWA there; you can even terminate the SSL
connection there if you are so inclined.
- the nice thing about stand alone servers is that you don't need to
open up a bunch of holes to the inside so a member server can talk to
the domain
- ISA doesn't need AD to publish OWA

front-end back-end is only helpful if you have multiple mailbox servers
and you want to provide a service like POP/IMAP/OWA externally.

Front-end servers in the DMZ = exchange servers in the DMZ = member
servers in the DMZ = lots-o-wholes b/t DMZ and internal network.

I prefer to keep all the exchange servers inside and publish them via
ISA.

You could also set a reoccurring appointment on their calendar that goes on
forever (24-7-365) and set Outlook to automatically process appointment
requests and decline conflicting requests.  

When the meeting is requested/composed this person's free busy information
will appear to always be busy and that will probably prompt a phone call/em
to them (or you) which seems to be the goal of this whole exercise.  Or they
just want to give the impression that they are always to busy or to
important to meet with anyone.

Understood sir.  They just want to not even receive a request in the first
place.
Like I said, the easiest thing for them to do is click Deny Request, but
they don't even want to see the request.  Someone suggested using the rules
wizard to filter it out.  I'll give that a try tomorrow.  It's late.

Unless you have modified the default settings on the calendar, this is not
possible in the first place.  The default permission settings for each users
calendar is for, Default No access.

So unless privileges have been granted by user a or for user a, User B
cannot
place an item on User A's calendar without a meeting request and User A
accepting it.  I don't think you can stop a meeting request from being
delivered. In any case User B cannot place a meeting on User A's calendar
unless User A has granted this privilege to User B.

I have been pondering the idea of moving my postmaster mailbox from a
mailbox to a public folder so I can assign age limits and such (I can
easily get up to 100,000 emails of junk during a 7 day period). Are
there any drawbacks to doing this (in either Exchange 5.5 or 2k)?

Teach them ALL to use the Private setting for their calendar. This lets
them see their calendar true and complete. It Does not let others see what
they are doing, but shows them that they are not available during that
period.

I suppose they could set their free/busy to publish 0 (zero) months, but
why not just start using a big board in the lobby that everyone writes
in/out on.

Outlook is a business tool. It should be used correctly.

I have been pondering the idea of moving my postmaster mailbox from a
mailbox to a public folder so I can assign age limits and such (I can
easily get up to 100,000 emails of junk during a 7 day period). Are
there any drawbacks to doing this (in either Exchange 5.5 or 2k)?

What you can do, however, is enable automatic replies / forwards / oof
etc. to a particular domain. 

Auto Replies to the world are a bad idea in general, but particularly if
you are concerned about SPAM. Just think of an auto-reply as an
auto-confirm to the next piece of spam you receive. Spin it that way and
most users will agree that they can do without them. 

That said, you can often make a business case for enabling automatic
replies / OOF to trusted domains such as vendors, suppliers, major
customers, etc. 

You would do this under Global Settings | Internet message formats
