Carol,

Do you want to make separate PDF files for each document in the book? I 
would assume that for the references to work, all the PDFs would have to be 
in the same directory. Otherwise, links would break.


If you don't need separate PDF files, deselect Save Book as...  Separate 
File for each document and then generate the entire Book as a PDF.

c:\CustomerDocs\NewUserDocumentation. This is also wrong for a relative
path, if c\ resolves to c:\.



I'm using FrameMaker 7.0 and Acrobat Distiller 7.0.7.

I have checked this and found that the following steps are necessary:

1) The autonumber string ends with \t\b (where \b stands for a simple 
blank) - as you say.

2) The TAB must be a left tab and the position must be slightly left 
to the width of the text frame (e.g. 11.7 cm for an 11.8 cm wide text 
frame). This depends on the test size.

3) The paragraph text must start with a nonbreaking space. Without 
this the text is stuffed into a black blob at the end of the line.

The paragraph style may be in the catalogue, since there is nothing 
strange in the style itself.

Carol, I haven't played with this, but in pre-7 versions, the file
name field could contain an asterisc, which FM interpreted by printing
each chapter_file.fm to a chapter_file.pdf. Might see if it still
works that way instead of typing in a file name.

Uh oh, we're getting perilously close to an intentionally left blank
thread. Dan Emory, I promise to restrain myself if you will, too! ;-)

Hedley, someone once suggested a bass-ackwards way to do it with master
page mapping. Specify a custom left master page invoked by the presence
of any pgf format. Set up the default Left page the way you want the
final left page to look. If there is no pgf on the page to trigger the
custom master page, FM will use the default. 

I haven't used master page mapping at all, so I can't vouch for the
process, but it sounds like it should work. Whether it's more or less
fussy than using MasterPage Tools or a FrameScript, I can't say. They
all sound too fussy for my tastes, so my empty left pages use the same
master page as the non-empty ones. :-)

OT:online style guides

Hi all,

I am interested in getting a style guide for our company. Here's the wish list:

- Must be accessed via the company network.
- Must be easily updated so that each person has the latest version each time 
they open it.
- Must be customizable so that we can add/modify/remove information that is 
specific to our company (such as brand names)
- Must be searchable

One example of what I consider a good reference is the Gregg Reference Manual. 
However, the electronic version of this manual cannot be augmented with our own 
company standards. Does anyone have any suggestions or experience in this?

Tableformat in EDD

Hello Framers,
 
I am working with structured (XML) documents.
In these files i use tables.
My Tgroup element is fmTable.
 
In my EDD there is:
Element (Table): tgroup
...
Initial table format
1. if context is:[tablefunction=score]
Table format: score
 
In the XML there is:
tgroup cols=... rowsep=... colsep=... align=...
tablefunction=score
 
When i open the XML in FrameMaker the TableFormal stays Table.
 
What do i have to do more than the things i already did..?
Did i miss something..?

More printer issues

Mac OS X 10.4.8, AdobePS 8.8.0, Acrobat 6 Pro, FrameMaker 6 and 7.0 for Mac.

History: I have taken over a dozen grayscale books to press using a FrameMaker 
6 + AdobePS - PDF workflow, without pain or any objections from printers.

Now, I output a FrameMaker 6 greyscale book and the printers complain that it's 
full of RGB objects - which it isn't.

Acrobat 6 Pro's separations preview shows only CMYK and three spot grays, as 
expected and intended. However, if I run 6 Pro's '4c+spot' test, it objects to 
*every single item of text*, complaining that it is neither 4c nor spot.

If I take a sample chapter into FrameMaker 7 and repeat the output,the 4c+spot 
test passes.

The only significant event that has occurred since successful output of 
greyscale books is the installation of FrameMaker 7.0 on the same machine. 

My questions:

. I am wondering if this is related at all to the CMYK black problem I posted 
previously (FrameMaker 6 default black is CMYK, FrameMaker 7 default black is 
100% K).

. Could there be anything about the installation of FrameMaker 7.0 that could 
mess with a FrameMaker 6 + AdobePS - PDF workflow?

One trick is to set up your 'default' left and right pages to be 'intentionally 
blank' and then they always apply with no headers or footers.

Of course, that means you need to set up a pages with h/f set of masters. 
You'll also need to carefully play with the reference pages to apply them, but 
this may be a functional combination for you.

the immediately preceding right page, so there would be NO paragraph on 
the last even page to trigger on.

Is there some way to do this automagically?  Or do I have to write a 
FrameScript event routine to check all component files in a book and 
apply/remove the last custom page on Update Book or whatever.  I suppose 
writers COULD ensure that a special para appeared on the last even page 
but then that's one more manual job to do before generating a PDF which 
they don't need.

Try to tweak your read/write rules to include something similar to what I've 
written above. That should help. If you search the PDF help (the Struc Dev 
Guide) for the phrase is fm property table format you can read more detailed 
info.

Doesn't even a change in the company name mean a new revision?
Sounds like the old name would be out-of-date.

For example, where I just finished working, such a change would require me 
to change revision number. This was important because Operations would then 
update the product package list, so they would know which revision to 
include in the package. If I made a change without changing the revision 
number, it would risk inclusion of the outdated book.


To make the change anyway, edit the Co. Name as a variable in one file. 
Then, import variables to the rest of the book and then do it to all the 
other books.

Re: Unexpected problem with straddling table cells

Hi and thanks to all who replied -

Several people suggested it would be easier to just put the word 
Caution in the autonumbering field and yes, that is the way we're 
going to have to go. But it's not quite as simple as that. Here's how 
the tables are set up:


First cell: Icon tagged CautionIcon
Second cell: Paragraph tagged CautionHead
Third cell: Paragraph tagged Body

Since straddling the 2nd  3rd cell makes the CautionHead disappear, 
we're left with a Body paragraph. As you can imagine, this is used in 
lots of places, not just in Caution tables so it looks like we're going 
to have to create a new tag CautionText with the word Caution in 
the autonumbering field and apply that on a case-by-case basis when 
converting to the new templates. Very tedious. If anyone knows of a way 
around this, please let me know.

Consequently, the tool allows edit-in-place, runs very quickly and is
easy to use.

their FM Viewing tool. SMART offers evaluation copies, but only if you
ask for them. (You won't find a free download on the web page.)  A
good grammar checker for Simplified English or Controlled English

hate to spend $3K on an integrated tool without being able to test it
first, but the stand alone tool seems a bit limiting.  Any suggestions
are appreciated.

You could set up a supplemental section for your own company standards in FM 
and using WWP link to the other CHM with project-to-project linking. You could 
keep the output files on the network and re-generate it whenever there are 
changes and just have people add it to their Favorites in IE (which would show 
in the Favorites in Windows Explorer)...

One caveat concerning the procedure below. If you happen to have a
multi-page table the default LH master will get applied. It appears the
Apply Master Page function does not recognize paragraph tags present in
tables.
Anyone find out differently? It would solve a problem I've been having.

Uh oh, we're getting perilously close to an intentionally left blank
thread. Dan Emory, I promise to restrain myself if you will, too! ;-)

Hedley, someone once suggested a bass-ackwards way to do it with master page
mapping. Specify a custom left master page invoked by the presence of any
pgf format. Set up the default Left page the way you want the final left
page to look. If there is no pgf on the page to trigger the custom master
page, FM will use the default. 

I haven't used master page mapping at all, so I can't vouch for the process,
but it sounds like it should work. Whether it's more or less fussy than
using MasterPage Tools or a FrameScript, I can't say. They all sound too
fussy for my tastes, so my empty left pages use the same master page as the
non-empty ones. :-)

  During import from XML, FM seems to use a table format specified in an 
all-context rule but not in a context rule. I believe this is a bug.
  However, if the tablefunction attribute is used only to specify the 
table format, you can remove the context rule in the EDD and add the r/w rule


   attribute tablefunction is fm property table format;

FM to Distiller font problems

Hi All,

I have a font (Bullets3.ttf) that is *not* restricted for embedding and that
is licensed to us that won't embed. We're using FM 7.2 on Win XP (SP2) w/
Acrobat 7.0.8. The Bullets3 font doesn't even show in the list of fonts to
embed in any Distiller dialog boxes on any of the PCs, even though all of
them installed the font via Windows Control Panel  Fonts, FileAdd new
font.

This is creating problems with the way our safety notices display, showing
a-tilde (which I think is the extended ASCII character in the standard set)
rather than the desired graphic from the Bullets3 font.

Any insight would be greatly appreciated!

Unfortunately, without seeing the font file itself, it
would be very difficult to know how or why this problem
is occurring.

I will assume that this Bullets3 font is in fact technically
(if not legally) embeddable (that the fsType field in the 
OS/2 table of the TrueType font is set for either no 
embedding restrictions, edittable embedding, or preview 
and print embedding).

In terms of whether Distiller sees the font, the issue may
be as to where you let Windows install the font. If the font
was NOT copied to C:\WINDOWS\FONTS during installation (i.e.,
you used the don't copy font option of the Windows font
installer), you may need to go into Distiller and manually
add the path of the directory containing the Bullets3
font. A temporary workaround might be to reconfigure the
AdobePDF PostScript printer driver instance such that 
the option to not embed fonts in the PostScript is NOT
checked. To do this, go to the AdobePDF Properties and
in the General tab, click on Printing Preferences and
go to the Adobe PDF Settings tab. There, disable the
option for NOT putting fonts in the print stream. You
would also need to repeat this in the Properties
Advanced tab, clicking on Printing Defaults and similarly
fixing that setting under its Adobe PDF Settings tab.

is embeddable. Does that tell you anything? (...other than showing my obvious 
ignorance about fonts...)
   
  We did reconfigure the AdobePDF PostScript printer driver instance such that 
the option to not embed fonts in the PostScript is NOT checked, in either 
possible spots that you mentioned, but that still didn't solve the problem. 
   
  Just to be sure, I reinstalled the font in question to make sure that the 
Copy fonts to Fonts folder option was selected when installed. When I view 
via Windows Explorer the C:\WINDOWS\Fonts directory, BULLETS3.TTF does show in 
the directory. Distiller's Font Locations window does show that directory. And 
Distiller's Adobe PDF Settings, Font tab does have the option selected to Embed 
all fonts.
   
  And yet the problem persists. The Bullets3 font still isn't in Embedding 
area's Font Source combo box, and it's still not getting embedded. I'm 
completely befuddled.

Occasionally a chapter file ends on a right page (odd-numbered). Because

applied to the final left page (even-numbered) of the chapter.  We would 
like to apply a special master page devoid of running heads and feet, 
except for the page number.

Is there any inbuilt capabilty in FrameMaker for automatically applying or 
removing this final custom page depending on whether the page count is odd 
or even?  I looked at the MasterPageMap table approach but this only 
triggers on a paragraph format.  By definition, the flow symbol will be on 
the immediately preceding right page, so there would be NO paragraph on 
the last even page to trigger on.

Is there some way to do this automagically?  Or do I have to write a 
FrameScript event routine to check all component files in a book and 
apply/remove the last custom page on Update Book or whatever.  I suppose 
writers COULD ensure that a special para appeared on the last even page 
but then that's one more manual job to do before generating a PDF which 
they don't need.

Where is ?

Printing Chapters to Separate files; Was: Links not working in Adobe

Carol,

Do you want to make separate PDF files for each document in the book? I 
would assume that for the references to work, all the PDFs would have to be 
in the same directory. Otherwise, links would break.

If you don't need separate PDF files, deselect "Save Book as...  Separate 
File for each document" and then generate the entire Book as a PDF.

other. At a point, the links were working in the generated PDFs (Named
Destinations and Generate Actobat Data are selected). Now, none of them
work. (I have now added crossreferences to the master pages, but don't
think this has anything to do with the problem.)

such as not selecting Named Destinations and Generate Actobat Data, but
I don't know what else to look for.



I converted a document to MIF, and it appears that at least one path is
incorrect, if that is what is meat by "MasterIndex.fm'>," because the absoulte path whould be
c:\CustomerDocs\NewUserDocumentation. This is also wrong for a relative
path, if "" resolves to "c:\."



I'm using FrameMaker 7.0 and Acrobat Distiller 7.0.7.

autonumbering with line break?

I have checked this and found that the following steps are necessary:

1) The autonumber string ends with \t\b (where \b stands for a simple 
blank) - as you say.

2) The TAB must be a left tab and the position must be slightly left 
to the width of the text frame (e.g. 11.7 cm for an 11.8 cm wide text 
frame). This depends on the test size.

3) The paragraph text must start with a nonbreaking space. Without 
this the text is stuffed into a black blob at the end of the line.

The paragraph style may be in the catalogue, since there is nothing 
strange in the style itself.

Carol, I haven't played with this, but in pre-7 versions, the file
name field could contain an asterisc, which FM interpreted by printing
each chapter_file.fm to a chapter_file.pdf. Might see if it still
works that way instead of typing in a file name.

Uh oh, we're getting perilously close to an "intentionally left blank"
thread. Dan Emory, I promise to restrain myself if you will, too! ;-)

Hedley, someone once suggested a bass-ackwards way to do it with master
page mapping. Specify a custom left master page invoked by the presence
of any pgf format. Set up the default Left page the way you want the
final left page to look. If there is no pgf on the page to trigger the
custom master page, FM will use the default. 

I haven't used master page mapping at all, so I can't vouch for the
process, but it sounds like it should work. Whether it's more or less
fussy than using MasterPage Tools or a FrameScript, I can't say. They
all sound too fussy for my tastes, so my empty left pages use the same
master page as the non-empty ones. :-)

Hi all,

I am interested in getting a style guide for our company. Here's the wish list:

- Must be accessed via the company network.
- Must be easily updated so that each person has the latest version each time 
they open it.
- Must be customizable so that we can add/modify/remove information that is 
specific to our company (such as brand names)
- Must be searchable

One example of what I consider a good reference is the Gregg Reference Manual. 
However, the electronic version of this manual cannot be augmented with our own 
company standards. Does anyone have any suggestions or experience in this?

I am working with structured (XML) documents.
In these files i use tables.
My Tgroup element is fmTable.

In my EDD there is:

In the XML there is:


When i open the XML in FrameMaker the TableFormal stays "Table".

What do i have to do more than the things i already did..?
Did i miss something..?

More printer issues

Mac OS X 10.4.8, AdobePS 8.8.0, Acrobat 6 Pro, FrameMaker 6 and 7.0 for Mac.

History: I have taken over a dozen grayscale books to press using a FrameMaker 
6 + AdobePS -> PDF workflow, without pain or any objections from printers.

Now, I output a FrameMaker 6 greyscale book and the printers complain that it's 
full of RGB objects - which it isn't.

Acrobat 6 Pro's separations preview shows only CMYK and three spot grays, as 
expected and intended. However, if I run 6 Pro's '4c+spot' test, it objects to 
*every single item of text*, complaining that it is neither 4c nor spot.

If I take a sample chapter into FrameMaker 7 and repeat the output,the 4c+spot 
test passes.

The only significant event that has occurred since successful output of 
greyscale books is the installation of FrameMaker 7.0 on the same machine. 

My questions:

. I am wondering if this is related at all to the CMYK black problem I posted 
previously (FrameMaker 6 default black is CMYK, FrameMaker 7 default black is 
100% K).

. Could there be anything about the installation of FrameMaker 7.0 that could 
mess with a FrameMaker 6 + AdobePS -> PDF workflow?

One trick is to set up your 'default' left and right pages to be 'intentionally 
blank' and then they always apply with no headers or footers.

Of course, that means you need to set up a "pages with h/f" set of masters. 
You'll also need to carefully play with the reference pages to apply them, but 
this may be a functional combination for you.

the immediately preceding right page, so there would be NO paragraph on 
the last even page to trigger on.

Is there some way to do this automagically?  Or do I have to write a 
FrameScript event routine to check all component files in a book and 
apply/remove the last custom page on Update Book or whatever.  I suppose 
writers COULD ensure that a special para appeared on the last even page 
but then that's one more manual job to do before generating a PDF which 
they don't need.

Try to tweak your read/write rules to include something similar to what I've 
written above. That should help. If you search the PDF help (the Struc Dev 
Guide) for the phrase "is fm property table format" you can read more detailed 
info.

Need to Change the Company Name on the Master Pages of LOTS ofManuals

Doesn't even a change in the company name mean a "new" revision?
Sounds like the old name would be out-of-date.

For example, where I just finished working, such a change would require me 
to change revision number. This was important because Operations would then 
update the product package list, so they would know which revision to 
include in the package. If I made a change without changing the revision 
number, it would risk inclusion of the outdated book.

To make the change anyway, edit the Co. Name as a variable in one file. 
Then, import variables to the rest of the book and then do it to all the 
other books.

Unexpected problem with straddling table cells

Hi and thanks to all who replied -

Several people suggested it would be easier to just put the word 
"Caution" in the autonumbering field and yes, that is the way we're 
going to have to go. But it's not quite as simple as that. Here's how 
the tables are set up:

First cell: Icon tagged "CautionIcon"
Second cell: Paragraph tagged "CautionHead"
Third cell: Paragraph tagged "Body"

Since straddling the 2nd & 3rd cell makes the "CautionHead" disappear, 
we're left with a "Body" paragraph. As you can imagine, this is used in 
lots of places, not just in Caution tables so it looks like we're going 
to have to create a new tag "CautionText" with the word "Caution" in 
the autonumbering field and apply that on a case-by-case basis when 
converting to the new templates. Very tedious. If anyone knows of a way 
around this, please let me know.

I have a couple of clients using Maxit by SMART Software. We understand
that the SMART Maxit Checker is fully integrated into FM 7.2 by the FDK.
Consequently, the tool allows edit-in-place, runs very quickly and is
easy to use.

SMART offers a free QuickLook on a few pages to show the results in
their FM Viewing tool. SMART offers evaluation copies, but only if you
ask for them. (You won't find a "free download" on the web page.)  A
good grammar checker for Simplified English or Controlled English
requires a custom dictionary, hence the evals need some dictionary

You could set up a supplemental section for your own company standards in FM 
and using WWP link to the other CHM with project-to-project linking. You could 
keep the output files on the network and re-generate it whenever there are 
changes and just have people add it to their Favorites in IE (which would show 
in the Favorites in Windows Explorer)...

FM to Distiller font problems

Hi All,

I have a font (Bullets3.ttf) that is *not* restricted for embedding and that
is licensed to us that won't embed. We're using FM 7.2 on Win XP (SP2) w/
Acrobat 7.0.8. The Bullets3 font doesn't even show in the list of fonts to
embed in any Distiller dialog boxes on any of the PCs, even though all of
them installed the font via Windows Control Panel > Fonts, File>Add new
font.

This is creating problems with the way our safety notices display, showing
a-tilde (which I think is the extended ASCII character in the standard set)
rather than the desired graphic from the Bullets3 font.

Any insight would be greatly appreciated!

would be very difficult to know how or why this problem
is occurring.

I will assume that this "Bullets3" font is in fact technically
(if not legally) embeddable (that the "fsType" field in the 
OS/2 table of the TrueType font is set for either "no 
embedding restrictions", "edittable embedding", or "preview 
and print embedding).

In terms of whether Distiller "sees" the font, the issue may
be as to where you let Windows install the font. If the font
was NOT copied to C:\WINDOWS\FONTS during installation (i.e.,
you used the "don't copy font" option of the Windows font
installer), you may need to go into Distiller and manually
add the path of the directory containing the "Bullets3"
font. A temporary workaround might be to reconfigure the
AdobePDF PostScript printer driver instance such that 
the option to "not embed fonts in the PostScript" is NOT
checked. To do this, go to the AdobePDF Properties and
in the General tab, click on Printing Preferences and
go to the Adobe PDF Settings tab. There, disable the
option for NOT putting fonts in the print stream. You
would also need to repeat this in the Properties
Advanced tab, clicking on Printing Defaults and similarly
fixing that setting under its Adobe PDF Settings tab.

FM to Distiller font problems

  Thanks for responding. I really don't know how to view the "fsType" field in 
the 
OS/2 table of the TrueType font. I used MS free font utility to check that it 
is embeddable. Does that tell you anything? (...other than showing my obvious 
ignorance about fonts...)

  We did reconfigure the AdobePDF PostScript printer driver instance such that 
the option to "not embed fonts in the PostScript" is NOT checked, in either 
possible spots that you mentioned, but that still didn't solve the problem. 

  Just to be sure, I reinstalled the font in question to make sure that the 
"Copy fonts to Fonts folder" option was selected when installed. When I view 
via Windows Explorer the C:\WINDOWS\Fonts directory, BULLETS3.TTF does show in 
the directory. Distiller's Font Locations window does show that directory. And 
Distiller's Adobe PDF Settings, Font tab does have the option selected to Embed 
all fonts.

  And yet the problem persists. The Bullets3 font still isn't in Embedding 
area's Font Source combo box, and it's still not getting embedded. I'm 
completely befuddled.
