I thing that cloud sync is a database and server to allow the different 
platforms to sync, so you'd have to get your cloud provider to install the 
server and supporting systems. That wouldn't be cheap even if it was an 
option.

Not an app but MLO notifications work fine on my Gear Fit and have done for
years, including the ability to complete tasks. It depends on the level of
functionality you require from an MLO app.

It’s perfectly safe and in fact the cloud is the only way to do it. I sync 
daily between multiple Windows PCs and Android and iOS devices. Rarely a 
glitch.

[MLO] Re: "skip occurrence" sometimes missing

I raised this as a bug but was told it’s a new feature for the latest 
version. It allows a new date to be set rather than skipping the occurrence 
to the usual pattern. The skip occurrence option is still available on the 
right click menu.

I am getting used to the change but don’t like it yet as it appears 
inconsistent.

I sympathise, I’ve had this happen to me when syncing al old device. It 
generally adds back in all the items I have deleted or archived in the 
past. Very annoying.
I find that syncing another device that has synced recently in overwrite 
remote mode can help. 
These days if I want to sync an old device I delete and reinstall MLO first 
and then do a new sync.

[MLO] Handling links in forwarded emails

If I’m on a PC then I drag the email from Outlook into MLO. That way a link is 
also created back to the original email, as long as I don’t move the email.

This is my preferred way of working, but if I’m not going to get to the PC then 
I use the email to MLO option as neither of the email clients I use on Android 
and iOS support sharing. Sometimes, depending on the longevity and complexity 
of the task, or if I’m going to have to reply to the original email, then I’ll 
replace the task with a dragged version once I get back to the PC, using the 
emailed version as a reminder/task to do this.

On iOS and Android there’s a standard view called Start in the Next 7 Days. 
Doesn’t this do what you want or am I missing something? Today (17th) it shows 
me tasks including ones with a start date of the 23rd and a due date of the 
27th.

As you suggest it is not as simple as just adding a timer to initiate the sync. 
The mobile device would need to check if there is a network connection to a PC 
with MLO installed.  What if the PC or mistaking device had a different IP 
address to the last time it connected, a likely situation if used on a 
corporate network using DHCP for address allocation? What if more than one 
instance of a PC with MLO installed is found - which to use? 

By contrast the cloud sync is simple - if there is an internet connection it 
can sync.

I use a Surface Pro 6 and haven’t noticed any lag. How did you transfer your 
MLO tasks from your old computer? Did you create a new local file and sync it 
with the cloud, or did you copy the file? If the latter it could be a damaged 
file so I’d try the former.

Depending on how important it is to record the non-completion I'll either 
delete the task or move it to a failed tasks folder which is marked as Hide in 
ToDo lists. I might ask add a note regarding the reason for failure.

One problem with MLO is that due dates have to be set for repeating tasks even 
if it doesn't make sense. Dwight's workaround for this is to set sure dates so

My suggestion is to have a “Due Tasks” view that grouped by due date. That way 
the “new” tasks would appear in a Today group while the “current day” tasks 
would appear as Yesterday. Then just collapse the Today group. This would also 
enable you to see what’s coming up after you’ve slept!

Regarding the third point and the task by email functionality as suggested by 
Dwight, if you are using Chrome on iOS then it shares the URL in the body. 
Safari normally behaves the same, but if you are on a website that supports 
Reader mode (the three lines next to the URL) then it shares the URL and the 
body without the adverts! Still might not show very well in MLO as the notes 
are text only, but it's brilliant for Evernote and better than sharing direct 
to that.

[MLO] Sync MLO with calendar (eg. iCAL)

One thing that I think would help with scheduling tasks is for MLO to have an 
additional date field for Expected/Planned Do Date. This would enable views to 
be setup that list all that's to be done on dates ahead while still retaining 
the Due Date as the date past which the task is no longer valid.
This was discussed some years back but no conclusion was reached. It would need 
to cater for tasks with no Due Date, and also with recurring tasks, so 
programming would not be trivial.
At present I tend to used Due Date for this, which is about unsatisfactory.

[MLO] change context faster

I don't see that. I just click on the ellipsis (...) next to the list of 
contexts in the properties pane and a box opens up letting me tick and untick 
whatever contexts I like. Click OK and it's done. Can't see any way to make 
that quicker.

You could of course work directly on the USB stick with MLO.exe installed on 
that. You could then use any computer whether it had MLO installed or not.
However one place I work doesn't allow access to the USB ports either! So 
that's when the iPad version comes in handy.

[MLO] How do deal with events that have to depart from the schedule

If this is just a one off or very occasional change then I'd handle it thus:

If you have the recurrence set to keep completed copy, then complete the 
upcoming event in Outline view, and then uncompleted it by checking the box 
(not undo). You will now have two tasks, one for the next event and one for the 
further event, which will still have a recurrence. Then just change the next 
event to Tuesday. 

If you don't have keep completed set, then proceed as above and then add a 
single task for the Tuesday event.

At present contexts that don't have times set are always "open", hence if a 
task has any of these contexts then all other contexts or flags with times will 
have no effect. For your task to only be active in the evening, it should only 
have one context/flag set with the rest of the time closed. You can currently 
achieve that with a context, and the flags can be used to categorise your task.

There's already too many features that are Windows only and I wouldn't want to 
see more.
In addition to adding these fields you are also requiring that the custom view 
engine be updated to include them. If the mobile apps couldn't use them then 
Views transferred to them wouldn't work either.
So I agree with Dwight, it needs to include the mobile apps to be supported.

[MLO] In ipad mlo3 'view panel' disappears.

Not sure what you mean by the "View Panel" but if you mean the left pane with 
the Inbox at the top, this can be hidden with a left swipe and shown again with 
a right swipe. Other that that I don't see the problem on an iPad Mini Retina.

5 is actually Yes. More than one person can enter data to MLO if they are using 
different devices. Sync will sort it out but it may take a couple of goes 
before all devices have the same data. Cloud sync required for more than 2 
people.

One caveat, don't try to edit the same task on more than one device as you'll 
get sync conflict and lose one set of changes.

Eddie - I use a similar approach as a consultant working for several 
organisations, but add the step of creating a separate workspace on the mobile 
devices zoomed to the folder level of the organisation. This way I can used any 
of the views while focussed on a particular organisation, not just a flat one.
Doesn't work so well with the Windows version as it multiplies tabs if you 
switch views.

A quick and dirty way to do this would be to set up 13 contexts, one for each 
month and one called Agile with includes those 12. You could then write a view 
that filters on the Agile Context and groups by context. Any tasks with the 
month context set would appear within the relevant group.
You could set the properties on any tasks to make them active at certain times, 
but would need to ensure your view included all to make them visible.

I don't know the methodology you refer to, but have you tried "playing" with 
the Importance and Urgency sliders in an Active Actions view? These coupled

I use a custom view that shows all Active items with a Due Date of Today-7 or 
later, plus anything in the Inbox plus any Starred items. I group it by Due

If you don't use folders(?) why move them out of the Inbox. I don't know what 
you mean by "activate" a task, it should be active unless something like dates 
prevent this. You can complete them in HD Inbox.

If you are using folders and want to move a task or even a whole tree of tasks 
out of the Inbox to another folder, there are several ways to do this, but I 
find the easiest is often Cut (ctrl-X) and Paste (ctrl-V).

I think that many people's exposure to Outline will be in word processing or 
report preparation, and this is exactly analogous to the use in MLO. See here

I see the headings and indentations as directly relatable to Tasks and sub

The task shows because you have included an active context in it. I think the 
only way to prevent this is to have two contexts, "Personal Calls" and "Work 
Calls" and set the active times appropriately. You may be able to include these 
within the context "Calls" to see the whole picture when both are active, but 
i'd need to experiment a bit to see the effect.

[MLO] postpone the task

If I have a recurring task that I need to postpone the current occurrence of, I 
simply check it as completed and then uncheck it again. This generates the next 
occurrence as normal but then leaves the current instance active. I can even 
edit the due date if I want without affecting the next occurrence.

You need to make sure you are in a view that doesn't hide completed items or 
you will have to go searching for it, and also that the item is set to keep 
completed instances.

This has been reported a number of times over the years, including by myself a 
couple of years ago. One problem is that MLO uses midnight as the time for 
untimed tasks which get screwed up on a sync in a different time zone. It would

Regarding the crashing, it sounds like you had a corrupted or malformed task. I 
had this a long while ago, but without identifying the task and it's location 
in the tree it will be impossible to track down the cause. I couldn't replicate 
the problem and it never came back.

Regarding the cloud service, it's brilliant and reliable. It just works. I sync 
multiple devices including Windows, Android and iOS, and this would be 
impossible with Wifi.

I wasn't suggesting that older Android versions get updates of functionality,

[MLO] MyLifeOrganized for Android v.2

I have responded that v2 should be developed for and only support Android v4+, 
but I'd like to add the caveat that v1 should continue to be available for 
older devices and be supported to the extent that it is kept up-to-date and 
compatible with any backend changes that are made to the cloud infrastructure 
in the future. This way older devices can continue to be used although won't 
receive new features.

[MLO] When moving task to other folder it loses the link to parent project

You've moved the task out of the project tree so it is no longer part of the 
project. A task has to be a sub-task of the Project task to be part of it.

In a similar situation I add a context @WaitingFor to those tasks and have a 
view that just shows tasks with that context.

Yes, but I'm not sure if this is an Android issue or a cloud server issue. My 
problems were slightly more complicated as . Was travelling to a different 
timezone at the time of the DST. change, but it affected my iPhone beta and 
ipad versions without me knowingly using the Android version. 

I found many tasks, and not just recurring ones, had a time set to 01:00 or 
occasionally 23:00. I never use times. Equally many tasks that are seemingly 
identical weren't affected.

The four-way arrow at the top right activates move mode. Then use the bars on 
the right of the item to drag it to it's preferred location. Turn off move mod 
by pressing the four-way arrows again.

I'd like to see a long-press cut and paste implemented like all the other 
versions to go alongside this move method.

I'd like to see a Windows Phone 8 version too, as the lack of MLO is one of the 
main reasons I'm not getting a Nokia 925 as an upgrade. I've been testing a 
Nokia 520 and like the interface, although hoping they improve the notification 
side with the next update. At present it's on a par with iOS 6 but nowhere near 
as good as Android.

Another solution might be to set a due date so far in the future it will 
effectively never come up. It will keep getting pushed off each time you 
complete the task a generate a new one.

They should be automatically hidden in todo lists if Active is selected on the 
left. They will appear if this is set to Available.

In the Outline/All Tasks view everything is shown of course except those 
completed tasks excluded by the Show Completed setting.

Regarding the number of devices that can sync, I can relate my experience.

In the dim and distant past I used to synchronise 2 Windows machines using a 
Pocket PC as an intermediary. I then added a USB drive and synced 3 Windows PCs 
via this, plus the Pocket PC. I work in several if fernet locations as a 
consultant in case you are wondering!

When the Cloud sync option came along it was brilliant. I often test different 
devices and at one point was syncing 3 Windows PCs, 6 Android devices and an 
iPad. I now regularly use 2 PCs, 2 iPads (one Mini, one v3) and 3 Android 
devices, although some are used more frequently than others.

So regarding a limit, I can say it's at least 10!

As Blackberry sales are only a fraction of even Windows Phone I'd say it 
shouldn't be a priority. I'd prefer windows Phone to be the next mobile phone 
platform for MLO development, although the iPad app should come before even 
that. Hopefully the latter will drop naturally and quickly out of he new iPhone 
version.

I would really like the Sync dialogue to have the options to completely replace 
the Cloud or Local file. I get all sorts of issues when I pick up an old test 
device that hasn't been synced for a while as it puts loads of old entries in 
the cloud, and this then propagates to other devices if I haven't noticed. Can 
take a while to unravel.

There is the completely resync option but I'm not entirely sure what it does. 
There's also the problem with the autosync in Android which activates if you 
turn way before you've had a chance to set the complete resync option

I can understand the question here. I too would find it useful to have a 
separate window for a particular task, to open outside of the main application 
window. This would operate in the same way as Evernote, where normally an entry 
is shown in the view panel but double clicking opens it in a separate window 
which can be dragged to a separate area or even another monitor if required.

There is the option to run MLO directly from a USB stick without any 
installation on the PC. This may work for you depending on the group policy 
restrictions applied by your workplace.

As others have said there is some activity on the iOS development side although 
it is slower than on Android. I think this may be due to restrictions Apple 
place on testing. Watch this space!

That's not correct, unless the Kindle prevents you installing anything other 
than from the Amazon marketplace. Purchase directly from Google Play or form 
the MLO site and you can use the same license key on multiple Android devices.

I find the iPad version much less functional than the Android version on either 
phone or tablet. The info/task editing panel is particularly poor compared to 
the Android full screen panel.

When in portrait mode the navigation panel is hidden, which is good, but it 
needs more highlighting when it is in view to indicate which view you are in.

Hopefully some more time can be devoted to this now that he desktop v4 is 
released.

[MLO] MLO opening slow on Android

It sounds like you have an old Android device, which will be most  of the 
problem. On my Motorola Defy (2.3) it takes 14 seconds to load from scratch 
while on my Samsung Note 2 it takes 3 seconds. On both it is instant if Android 
hasn't closed the app due to lack of memory.

Depending on the device there may be an option to keep it in memory as a 
priority, or alternatively to auto end other apps to keep the memory available.

I disagree that not developing a Mac version is a terrible mistake.  Mac has 
less than 10% of the user base of Windows so doesn't even get near the 80:20 
rule for focusing development effort. It wouldn't be worthwhile. Linux is in a

I find the cloud sync solves all these problems. I synchronise many devices, 4 
x Android, 1 x iPad and 3 x PCs and all stay perfectly synced. I don't even 
need to be near the PC or even near the work/home networks to sync, so long as 
I have an internet connection.

Try checking the times for the contexts on the desktop. I had a
problem with this on one context, and unfortunately I couldn't get it
to change so had to create a new context that was active all the time
and then delete the rogue context, moving all items to the new one.

[MLO] Re: iPhone or Android? What is best smartphone platform for MLO?

For me it's undoubtedly Android. I'm comparing the iPad and Android
(phone and tablet) versions and assuming the iPhone version is similar
to the iPad. The Android version is streets ahead it terms of UI,
workflow and functionality. It has more reports, better working
between views (where's view in outline on the iPad?) and this despite
being a beta. The iPad version feels very constricted in comparison.

When choosing between the two for other functionality there's
obviously much more variation in the Android platform. I've used
numerous devices and have found the HTC ones to be the best and
slickest. The Samsung email client in particular is very poor and
won't work at all without a connection. As someone else mentioned, the
Swype keyboard is brilliant. I can type a lot quicker on that on a
4.3 or 7 device than on the iPad, and a lot more accurately.

I disagree. I've been asking for the restoration of the project name
in the to do lists since the start of the Android App. It was there in
the pocket pc version and was essential to c distinguish similar tasks
from different projects. I'd actually like the option to show the
parent task for non projects too.

[MLO] Suggestion - edit dates on recurring tasks

I'd like the option to edit the dates on individual recurring tasks.
When reviewing the task list I quite often need to reassign a task to
a different date, due to waiting on someone or just running out of
time to complete a task or deciding to postpone it for a bit. I can't
do this on recurring tasks without editting the recurrence.

I'd see it working as not changing the recurring schedule, just the
current instance. So a task that recurs a fixed time after the
completion would still do that, and a task that recurs on a particular
schedule, e.g. 1st of the month, would still do that even if the
current instance was changed to the 7th.

At the moment I end up with some tasks nagging me as they were due in
the past, but I don't know when I have decided to do them without just
remembering this, which goes against the whole idea of GTD (I've
finally started to read David Allen's book!) of trusting the external
system.

Or does anyone have a work around for this?

And do it from the PPC version as this is where I do most of my end of day 
fixing, quite often on the train the next day. You can't even edit the date on 
the PPC so have to remember to do it when back at the PC.

From my experience, which is based on Windows Mobile, MLO doesn't work 
particularly well with capacitive screens. it's much better on my Touch Pro 2 
than my HD2, which doesn't bode well for the iPhone or Android versions unless 
there's a major UI  rewrite.

Scrolling MLO on the HD2 is different and more clunky than the usual HD2 flick 
method. Hold close to the right edge and the scroll box appears - drag up and 
down. Not very accurate though.

I am a 3.5.4.1342 beta-2 cloud user and have recently taken out a
monthly subscription to the cloud service, I have also just bought an
HTC HD2 (uses windows mobile 6.5) on 2 year contract specifically so
that I can use MLO PPC on the move whilst the android/iphone apps are
developed and matured.

All very well, but I was very dissapointed to find that I cannot
scroll down my to do list and outline using the HTC HD2 on windows
6.5, I am very interested to know if this a problem others have had
using HD2 or touchscreen devices, and if so whether there are plans to
fix this critical issue in upcoming updates?

As a side note, I have had to use the 3.5.3 windows mobile sync
manager as i could not find a link to an MLO 3.5.4 set up file which
include a 3.5.4 windows mobile sync manager, I am unsure if this is
what is causing the problem.

I get the same for the HD2. I get around 2 by press and hold and then Toggle 
task, but it's not in the right place on the menu for easy usage.

[MLO] Bug: Completing items in ToDo

When I complete an item in the ToDo list by tapping the box on my HD2, nothing 
appears to happen until I tap another item, at which point the action takes 
place. This is most annoying as I can't be sure I've actually hit it.

Truth is I had thought about making that very same suggestion.  If you

I'd suggest either the HTC Touch Pro 2, which has a hardware keyboard, or the 
HTC X7510 which has a huge 5 screen. If you aren't using it as a phone (I 
don't, using a Sonim XP1, but have a data sim in them for connectivity) then 
these 2 could meet your needs.

Personally I'd avoid the HTC HD2 or WM7 devices as I find the capacitive 
screens far too slow and inaccurate for text entry.

MLO wasn't the only application I found difficult to use on the HD2. Typing on 
the virtual keyboard was very hit and miss, making data entry or text entry 
very slow and error prone. I could do much better on the Touch Diamond 2 
despite the tiny screen.

The HD2 was great for viewing information, useless for creating it. Makes me a 
bit worried for WM7 as it capacitive all the way there.

I'm getting on great with the Touch Pro 2, both using the onscreen keyboard and 
the hardware keyboard.

My Diamond (1) shows plenty of lines. I use Tahoma 7 as the font and get 16
lines of items in the outline view and 14 in the To Do view. Any smaller and
I wouldn't be able to read it. My version is 3.01, so has the font size
functionality been removed in the later version?

  The lines of text should be much closer together.

  I hope I am missing something and that someone can point me to a
  setting or two (or a zoom function?) that will fix the size of the
  text and the gaps between the lines easily.

  Please note that I am very pleased to see 3.5.0 has ironed out the
  major problems I saw with WM6.5, but this current usability issue
  makes it difficult for me to use it on the HD2.  I do not know if this
  is any better or worse than before as this is the first version of MLO
  on Pocket PC I have used.
