Mnemonic board report due in one week.

Hi folks. The Mnemonic board report is due in one week, Weds April
6th. You will be reporting monthly for the first quarter, then
quarterly after that. The final form of the report needs to be posted
here by April 6th:

Most communities put together a draft report following the format laid
out on that link in their public dev list. Then post it to the wiki.
If you have any questions please ask and the mentors can provide
insight.

Looks good. One thing that still seems a bit off to me is that
"Apache" isn't mentioned until near the bottom of your home page (on
my laptop it gets cut off before apache is even mentioned). Most (?)
other incubator projects make it clear right up front that this is an
Apache X project current under incubation... etc

Perhaps you can squeeze your tag line btw your logo and your code example? e.g.

Something like that would make it clear right up front that this is an
Apache project.

In particular the release artifact is typically an archive of your
source repository which exactly matches the source control tag. It's
fine to have other "convenience artifacts", such as binaries and code
jars published to maven, etc..., however those are beyond the scope of
the official "release" itself.

Unfortunately the incubator release documentation doesn't come out and
say this directly. I looked around but I couldn't find it. Take a look
at something like the Twill release guide, it's a good example of how
most projects (at least the ones I'm familiar with) do it:

Do notice the checklist here:
http://incubator.apache.org/guides/releasemanagement.html#check-list
Things such as the disclaimer, notice and license files need to be
contained within the release artifact.

EOD the release artifact, the source code, is what defines an Apache
"release", and only then once it's been voted upon, etc... More

http://www.apache.org/dev/release.html#releases

Note:

I'd recommend linking to Apache resources, e.g. git.apache.org rather
than github.com in any messaging.

Let me know if you have any questions (ask on your dev list). The
first release is always the hardest and typically takes some
back/forth.

Hi folks. Kudos on getting bootstrapped and filing your first report.
I have been very impressed with the progress.

One thing you should get into the habit of doing is reviewing your
incubation status page each/every time you file a report (prior to
filing the report really).

I'm talking about this page:
http://incubator.apache.org/projects/mnemonic.html
and more specifically the "Incubation work items" section.  Please go
through the list ASAP and ensure that whatever is completed is noted
("NA" is also possible) along with the date of _completion_. For
example it's very important to verify that all mentors are signed up
for the lists, hence an early item is "Subscribe all Mentors on the
pmc and general lists.", etc

Additionally a few comments:
1) You should get your cwiki setup, I can help you with this if you
give me a cwiki account id for 1 or 2 folks that would like to start
as administrators for your "space".

Typically you want all your "non product documentation" on the wiki,
things that are geared for developers (vs users which is typically on
the web site), etc... What lives where is up to you but I usually see
stuff targeted at community members/developers on the cwiki. Things
that might change relatively frequently and are not release version
specific.

2) Remove "extra" from your project info. I don't see where that adds
value and might be confusing. Folks can query your jira to see who's
contributing, and that's typically a good place to keep an eye out for
folks that should be moved up to committer. (although that depends on
how you track things in jira...)

3) there is a "incubation status reports" section on that page, not
sure the value but you should probably link it to the incubator report
pages which contain your report.

Those are great goals, however the only things really gating graduation at
this point IMO (other mentors can chime in if they feel otw) is; 1)
continue driving releases, esp with different release managers to show that
a number of people understand "the Apache way" (one aspect granted), 2)
increase community involvement, esp diversity (typically we talk about this
in terms of not having a single company represented, but overall diversity
is a good goal as well) in committer/pmc membership.

Re: Do we use the IRC chatrooms?

Decisions should not be made over chat or any other out of band
communication aside from the mailing lists (the jiras are mirrored to the
ML so that's fine as well). The expectation is that if you have offline
discussions you bring it back to the group via ML/JIRA and then make
decisions. This ensures everyone is included in the decision making
process, even folks that might be on separate timezones, etc... keeping
them from participating in things like p2p chats. That said IRC etc... are
fine and good tools to help build community, but you do need to keep this
particular issue in mind.

fwiw the same would hold for things like meetups. Great for community
building, but discuss things there, bring them back to the group and then
make decisions.

disagree? I don't believe this has changed significantly in the past
month/two. For example all releases have been done by a single person.

Hi Debo, it looks like there was some confusion on the incubator general
vote? Do I read that right?

It looks like the result was declared prior to calling for the general@
vote, subsequent to voting on the dev list, do I have that right?

If so you should finalize the general@ thread with a proper "result" now
that the voting has completed. If I don't have that right then please
clarify my misunderstanding.

If the voting is indeed complete and the release finalized is there
anything else left to do? It looks like the announce needs to be sent as
well (but ensure that the voting is indeed finalized before sending :-) )

feedback on how to release:
* very impressive :-)
* link the "dockerfile" to the actual dockerfile?
* for things like 1.1.3.1 (checkout) I'd recommend listing the actual
command. It makes it foolproof for anyone trying to cut a release to
copy/paste. In my experience the more you can cut out potential for error
the better off you'll be long term.
* for things like "send XXX email" i've found it helpful to include the
template in the instructions. It's pretty boilerplate with a number of
required bits of data, easier to just include this than expect the RM to
figure it out. Again, smooths the release mechanics and ensures anyone can
pick it up at any time.

Agree. As noted to the IPMC previously the mentor activity hasn't been
great. We're effectively at 1/2 strength. Perhaps with more mentor
involvement we could cover more of the bases.

That's a good forcing function. Unfortunately it can set expectations with
the podling that their mentors "are the bad guys, keeping us from
graduation", vs looking out for their best interests and best interests of
the foundation. I would expect the mentors to be consulted before
significant changes are recommended.

I've mentored a number of podlings over the years and this one if very well
run and is on a good trajectory. As noted my main concern is about
diversity - in particular "self-sustaining and self-governing communities".

That's pretty clear and concise statements from the Apache community as a
whole as to what it takes. The podling is following "the apache way" quite
well, so it's really the sustaining part for me. Ensuring that community is
being built and the community as a whole is owning the process.

ic. If it's a regression I would personally terminate the rc vote, fix it,
and then cut a new rc. But that's my personal preference, I don't believe
there's any specific rule wrt this type of thing. Would suck for folks
