We in the Outreach Committee will be starting up the annual report planning
in October but this year faces a new challenge.  I always encourage
community photos but use those from in-person events for the bulk.  We
won’t have any this year.  So, I’m beating the drum early.  I’d especially
like to see photos of libraries doing things during these times whether
it’s in-person service you’ve maintained, doing curbside service,
rearranging shelving, staff doing online storytime, and so on. Please send
them my way.  Please note that by sending the photo you are assumed to have
gotten permission to use the photo from the copyright holder and those

Hello all,

The Evergreen Outreach Committee has decided under its umbrella of
providing information to those in and outside the community to take on
ourselves the cleaning up of the Wiki.  We are not the first to walk down
this path.  Dan Wells, Angela Kilsdonk, and others have put critical work
into keeping the wiki healthy but like many things, it's a job that needs
periodic effort.

And it is a big job and we are only a handful of souls so I would like to
extend an invitation to anyone who would like to join us for it.  Our next
meeting is Wednesday, September 2nd,⋅2:00 – 3:00pm Eastern.

Good afternoon,

Following up on my last email about the Hack-A-Way the planning group has
met and selected Hopin.to as the platform that we will use.  A doodle poll
is here for those who hope to attend so that they can select their

One of the major advantages of Hopin is that we can allow participants to
create their own breakout ad-hoc sessions.  These sessions can have up to
10 active / talking / on-screen participants and up to 100 people attending
the session.  That means 90 of the 100 at a time can only observe but as
people leave active participation others can step in, all without
moderation.  Participants can also share screens or windows of their choice
as well as actively share video and/or audio.

Moderated sessions can also be created as well as a "main stage" area for
planned events with speakers.  The reception area provides a nice
schedule and easy access.  Ad-hoc sessions can also be scheduled.  Some
large events are already being done with Hopin so I'm not concerned about
scalability.

The access  plan we are looking at for us does max out at 100 "tickets" for
the event but that should be plenty for the Hack-A-Way.  Although I expect
more participation with the online event than ones that require physical
travel 100 should still be enough.

In fact, the free tier of the platform addresses all of our core needs but
we are hoping to attract a sponsor that would pay for two months of access
to the platform for $99 a month (with a discount for non-profits).  This
would allow us to record the events as well.  We have not worked out the
details yet but the sponsor would receive recognition as well as possesses
the warm fuzzy feeling of doing a good thing.

Hi Millissa,

We haven't sat down and created a resource list for each video.  If anyone
wishes to do so, or presenters want to send me a list I will be happy to
update the descriptions of each video with their resources but
unfortunately watching all the videos and compiling the lists isn't
something I have time for.  I agree it would be a great resource though and
I'm making a note that on future projects we should request a resource list
along with slides link.

Hi Lynn,

I've done a few of these projects on a database level for libraries.  A
quick question, do they want to clear all bills over five years old or all
bills associated with transactions that are more than five years old?  The
difference can lead to some odd edge-case scenarios.  My experience from
making things as simple as possible for the patrons and staff to deal with
is to clear out transactions over five years.  So, some billings might be
more recent but the circ or booking that started them would be more than
five years old.  That really helps remove the oddball cases that cause
confusion in the future. I would also recommend closing out those
transactions.

You'll also want to consider what you want to do with negative balances.
At a minimum, you don't want to make them worse by applying additional
payment offsets to them and applying a negative forgive payment might work
but makes me twitch uncomfortably.

I'll look to see if I have a script I can share that can be cribbed from
but my general approach is:

a) does the transaction have any payments on it?  If no then void it.
b) is the balance negative?  if so then adjust to zero.
c) the balance is positive?  forgive outstanding amount.

[OPEN-ILS-GENERAL] Hack-A-Way 2020

As many know, we have had two institutions express interest in hosting the
2020 Hack-A-Way.  I was discussing the logistics with both early this year
when the COVID-19 situation escalated and everything went on pause.   I've
been waiting a while to write this email hoping that as May arrived the
future would be clear and I'd be able to say we would still go ahead with
plans for the 2020 Hack-A-Way.  It's about as clear as mud on a foggy day.
At this point in time, I can not ask anyone to commit to the resources
necessary to ensure the hosting of an event in October.

It is possible that by October the situation will be remarkably better.  I
certainly hope so.  However, there are some pretty dire forecasts for the
current infection vectors as well as the possibility of another outbreak in
the Fall ... just in time for the Hack-A-Way.   I also suspect that many of
us are working for institutions that will be evaluating their travel rules
in light of all these variables and that may complicate attendance for
many.  Waiting until June or July for a decision, aside from the difficulty
for a host, also adds a time based set of complications for attendees in
regards to budget request cycles.

So, to get to the point (finally) my inclination unless I hear an uproar of
"no, we can definitely make it!" is to cancel the in-person Hack-A-Way this
year.

I am open to investigating online options.  They are less than ideal and
the Hack-A-Way was intended to avoid those same barriers that an online
event causes but sometimes we just have to keep calm and Evergreen on.  I
will investigate options for collaboration software such as GoTo Meeting or
Zoom that may allow for both the whole group to meet and break out into
smaller interest groups.  This could also be useful to supplement the
future in-person events.

So, I welcome feedback, including from those who think we may have a means
to make this happen.  But, at this point I am going to proceed with
creating plans to take things online this year and will be reaching out to
others in the next few months both for feedback and with a few
supplications for assistance.

[OPEN-ILS-GENERAL] Announcement - Online Conference

The Evergreen International Conference is the premier event for the
Evergreen open-source ILS community.  Each year, a broad cross-section of
software developers, systems administrators, librarians, and other
stakeholders gather to discuss, learn, and do work related to the continual
development and implementation of this full-featured and highly scalable
library management system.  The conference serves as both a high-level
professional development opportunity as well as a vehicle to develop and
fortify community relationships.

This year, due to the CoViD-19 pandemic and the pursuant societal
constraints, local planners and community leaders made the responsible, but
difficult, decision to cancel the in-person conference.  The content that
would have been shared during the traditional event, however, remains
valuable and relevant.  Responding to all of these realities, and with
thanks to the willingness of those groups and individuals scheduled to
present, teach, and facilitate to shift gears, the Evergreen community will
present its first-ever online conference June 9-11.  Mark your calendars

To me, and this is personal preference I think, I don't see a big
difference between writing something once outside the db versus in it.
Both approaches are fine in my mind.  It does make me think of a point I
didn't mention though, which is I wouldn't store a function in any existing
Evergreen schema.  If you do make your own functions for tasks like this
create a distinct schema for them along with any tables.  I'm not a fan of
mixing project stuff into the stock schemas.

Hi Glen,

If you have someone on staff comfortable with MARC::Record this is a simple
thing to do with PLPERL as a function.  In fact I'd say this is a good
really simple one for someone to cut their teeth on if they were learning
and the kind of thing I was going to do in the preconference.  Depending on
how things work out I may still do something like it for the virtual
conference.

As always caveat auctor (writer beware) - use a test server first, test
carefully, etc...

Good afternoon,

I just wanted to express thanks for everyone on the conference committee
and the board that is having to deal with this situation.  Obviously no one
anticipated this when they signed up for helping with the conference and
this is added stress on top of whatever else is going on.

Hi Trisha,

On the circulation source there is a field of Parent Circ.  That records
the previous circulation when it is a renewal so if you do a filter
requiring that to be null it won't include renewals.

Hi Kate,

If I'm undestanding your question correctly it's not possible.  The
circulating library is an item attribute and requires an org unit id or it
can't save the entry in the database.  The owning library as others have
noted is a volume / call number attribute and has the same restriciton to
not allow null values.

[OPEN-ILS-GENERAL] photos for annual report

As many of you know the Evergreen Outreach Committee annual produces a
report about the state of the Evergreen project that is shared at the
conference.

We have a strong batch of photos from major events such as the conference
and Hack-A-Way but I'm always hoping for more pictures from local events,
whether it is a regional meetup, a consortium training or a go live event.
If anyone has pictures they would like to share please send them my way.
Note that if you send them we will be looking to use them in the report so
make sure you have permission from the copyright holder to share them and
have them used in print and electronically.  Also, as a matter of
consideration we don't want to include pictures of anyone who would be
unpleasantly surprised to find their image used in the report so please
keep that in mind.

[OPEN-ILS-GENERAL] Hack-A-Way 2020

Proposals are still open for the Hack-A-Way in 2020.  Right now we have
several locations that have expressed interest but no actual proposals.
Past entities that have hosted the Hack-A-Way have included Calvin College,
Equinox (twice), State Library of Indiana (thrice), and MassLNC.

The Hack-A-Way is a great opportunity to host a community event that
doesn't require the resources of the conference.  The Hack-A-Way is an
annual event now in its 9th year and an opportunity for developers to work
together face to face and do strategic planning for the coming year for
Evergreen.  The event is held in the Fall each year and more details can be

The host facility is expected to provide the following:

   - A clean meeting space for 15 - 30 people.
   - Working space and power for laptops.
   - A TV, projector or other display.
   - Adequate bandwidth for the users.
   - A few snacks and forms of hydration and caffeine to keep blood sugar
   and typing up.
   - Facilitate reasonable hotel accommodations (cheaper is better but no
   bed bugs).
   - Although not required, it has become a tradition for the host to
   supply lunches.

What a host receives for their labors is good will, recognition, helping
move development forward and a warm fuzzy feeling inside.

With the 2019 Hack-A-Way now behind us it's time to start looking at next
year.  A few institutions have asked about hosting in 2020 but there have
been no actual proposals at this point.  If you're an institution that is
interested in hosting a community event the Hack-A-Way is a far simpler
even than the conference.  The requirements are:


   - A clean meeting space for upwards of 30 people.
   - Working space for laptops.
   - A TV, projector or other display.
   - Adequate bandwidth for the users

Just a quick reminder that we are still taking proposals for the Hack-A-Way
2020.  The requirements (which are minimal) for hosting are here:

The short version is somewhere reasonable to travel to, reasonably priced
rooms and some supplied caffeine during the event.  Traditionally, hosts
have provided lunches as well but it is not required (though welcome).

Last year we were in the Peach State, Georgia.  This year we are returning
to Indiana which has a history of being wonderful hosts to us.  Next year
we could return to a previous host or somewhere brand new!  Submit your
proposals by gathering the details and emailing me.

Following up on the mention this morning of the Hack-A-Way returning to

hosting the 2020 Hack-A-Way.  The Hack-A-Way is intentionally a much
smaller scale event than the conference and it would be very reasonable for

Just a a quick follow up from what Andrea said, if your assignment is
specifically to talk to a vendor (which it sounds like) look carefully at
that page and you may want to talk to some community members about vendors
first to make sure you good a good representative one.  Even better I'd
recommend talking to multiple.  Unlike a proprietary ILS vendors for
Evergreen don't offer a uniform slate of services.  One may only offer
development while another may offer hosting and another may offer those and
training and migration services.

[OPEN-ILS-GENERAL] images for annual report

Aside from proof readers I have another request of the community related to
the annual report and that is for images.  We always are looking for images
from the community that we can use for the report.  These can be from
community events (the conference, the Hack-A-Way) or from events at your
libraries.  Training events, meetups, even staff checking out patrons at
the desk are all welcome.  What we do need is permission to re-use the
image from the copyright holder and permission from anyone who is in the
image.  We don't need it in writing but anyone who sends us images is
assumed to have gotten all of that squared away.  And we need to know who
to credit in the annual report for the image if we use it.

Good morning,

Andrea Buntz Neiman and myself will be putting together the community
annual report this year.  One thing we always want is proof readers.  A few
extra sets of eyes is invaluable in the process.  By the time we reach the
proofreading stage content will be largely set in place so the primary need
is for spelling, grammar and proofing for readability though feedback like
"hey that page isn't using the header font consistently with the rest of
the document" is always welcome.  If questions come up during that stage
about layout issues, color choices, graphics, etc... your opinion will be
appreciated on those as well (and at least a few of those do usually come
up in that stage).  The schedule will be:

March 1st - Rogan sends version one to proof readers

March 8th - first proof with feedback due from proofreaders

March 15th - second proof due from Rogan

March 22nd - second proof with feedback due from proofreaders

March 29th - third proof due from Rogan

April 5th - third proof due back from proofers

Well, Hack-A-Way 2018 is officially wrapped up so that means we're already
planning for the future ones.  Before we completely say good by to 2018's I
do want to point to :

If you have some accomplishments not listed here please list them.  I know
the list isn't complete but I think we can agree that's a pretty darn
healthy list as it is.  I personally heard a lot of people felt it was very
productive and heard a lot of thanks expressed towards Equinox Open Library
Initiative for hosting.  This was a record setting year.  Not everyone was
able to attend every day but over the three days we had 27 attendees.

The 2019 Hack-A-Way will be returning to the land of Hoosiers.  Evergreen
Indiana have always been great hosts and will be again.  For those
interested in hosting in 2020 go ahead and start thinking about it. The
requirements are not particularly odious:


   - A clean meeting space for 15 - 30 people.
   - Working space for laptops.
   - A TV, projector or other display.
   - Adequate bandwidth for the users
   - A few snacks and forms of hydration and caffeine to keep blood sugar
   and typing up
   - Facilitate reasonable hotel accommodations (cheaper is better but no
   bed bugs)
   - Although not required it's become tradition for the host to supply
   lunches

I'd like to thank everyone for bearing with us while we work out some kinks
with the new AV setup.  I think it went well and I'll be reviewing the

One thing I personally learned is that the scheduled YouTube event has some
awkwardness with the interface that makes it simple to share screens (and
thus slides) which is why we started a second livestream feed.  So, the
future events may not be "scheduled" in the Youtube language specific sense

in advance to the community lists and via the community Twitter channel and
Facebook.

The above wiki page includes links to parking maps, lists of nearby
eateries for the evenings as well as policies.  We are expected in the
space between 9:00 am and 5:00 pm each day though we can arrive and leave a
bit on either side of those hours.  Lunches, breakfast, coffee and water
(as well as the space) is being supplied by Equinox Open Library Initiative
so thanks to Equinox. Equinox has tied Indiana with hosting us twice though
it will be short lived as Indiana is already scheduled to host us again
next year and take the lead again.

Everyone attending should have a working knowledge of two specific
policies.

We will have colored lanyards available at the event.  Please keep in mind
that if you consent to have your photo taken it may be used in community
communications (Twitter posts for example).  Also be mindful of the camera

of the feed who does not which to be on it but people may have to move
seating in some situations.  Speaking of that, if you want to subscribe to

Please keep in mind that the code of conduct is not meant to be
comprehensive.  This particular event is held in close quarters so that

in the course of the Hack-A-Way please do recognize that we come from
diverse backgrounds and viewpoints so some topics (such as politics) are
probably best to avoid.

Extremely eagle eyed wiki watchers may notice that a new page was just
created for the 2018 Hack-A-Way:

That's right, details are there!  Links are on the page but some of the
most pertinent information is that it will be November 5th - 7th and use a
meeting space at the Infinite Energy Forum in NE Atlanta.  Nearby hotels
are listed.  It's an excellent meeting site close enough to walk to hotels
and dining.  More details will come out as we get closer.  Minor things I
will simply post on the WIKI page but larger announcements will be posted
on the list and social media.   Feel free to go ahead and sign up on the
attendees page and if you're planning to attend and don't have a WIKI
account I'll be glad to add you.  Similarly, feel free to go ahead and add
topics of discussion to the agenda.

After some discussion and a resounding lack of objection (and quite a bit
of praise for the idea) we are going to go ahead and announce that the 2019
Hack-A-Way will be in Indiana again thanks to the gracious hosting of
Evergreen Indiana and the Indiana State Library.  Choosing them in advance
allows them to incorporate the event into their budget cycle.

In that spirit of choosing our locations far enough out to give hosts
plenty of time to plan I am also opening the floor to proposals to host the
2020 Hack-A-Way at this point.  All I need at this point is an informal
"we're interested." Right now Mobius has their hat in the ring and although
I'd love to see more of MO in fairness to everyone I'll keep informal
offers open until November 1st.  If more than one entity is interested in
hosting I will then ask everyone for more formal proposals and go through
the selection process.

and recommendations.  I believe their website is abovethetreeline.com.  The

While many folks are still en-route home from the Evergreen conference I
thought I’d start a conversation about the Hack-A-Way ... for next year!
We’ve planned the year in advance for the event before when it was useful
for the host and it may be again.  Evergreen Indiana is interested in
hosting in 2019.  As many of you know they were excellent hosts for us in
2016 & 2017 and would like to do it again.  This is a community decision so
if there are others interested in hosting in 2019 or 2020 please throw your
hat in the ring.  An idea I would like to propose for discussion is leaning
on the generosity of Indiana and an offer from them to host every other
year.  They are in a fairly central location with a lot of advantages that
I won’t elaborate on now though we can certainly can but first I wanted to
solicit initial feedback.   So, thoughts?

[OPEN-ILS-GENERAL] calling all photographers

Once again I'm gathering photos of Evergreen people and events to use in
the annual report.  If you have any photos you'd like to see considered for
inclusion from any Evergreen event please send them my way.  Evergreen
event here is a pretty broadly defined - it could be a community event such
as a DIG, a hackfest, the conference and so on or it could be a local
event, a training, a go live or anything else.  Heck, it could be a normal
day at the circ desk.

What I do require is that you have consent from the subjects, especially if
we can see their faces or anything identifying to use the photo for
community purposes.  The most likely purpose would be the annual report but
they could potentially get used in other media such as Facebook or
Twitter.  If you send a photo where the community lanyards are in use and
someone has a red lanyard in the photo I will edit them out or not use the
photo.

Just to follow up on this the essence of the triggers Kathy is pointing to
are triggers that mostly are there to maintain the MARC XML or tables
derived from the MARC in various ways so when only altering the visibility
row it's probably safe to disable them but I'd be hesitant to make that as
a blanket statement.  I do agree with Kathy that this is probably a similar
scenario though.

Am I correct in understanding that you're saying that particular update
took over a week?  That seems a bit extraordinary but I have seen where
some updates like this are better off broken up into chunks or run serially
for best results.  The best path will vary based on system level, well,

And I'd like to caution people about creating boundaries between parts of
the community.  I know that the technical and front line staff seem to
often speak different languages.  I worked on the front line of libraries
for two decades including as a circulation and reference manager as well as
systems librarian.  I now mostly do technical work.  Many of the
programmers have a very deep understanding of how libraries work.  They may
not know specific workflows but some have worked with libraries their
entire career and know a lot even if they've never brought the book drop in
on a cold morning (I don't miss that part at all).  The developers I've
gotten to know well in the community over the years love libraries and have
made them their career.  Those gaps should be bridged as much as possible
as it really is one community.

HI Marcia,

There are a few ways to do it.  Unfortunately Evergreen doesn't have the
functionality baked in to make it really streamlined.  I know that
Evergreen Indiana did a presentation a few years back and I think the PDF
of that is on the community wiki.  I wrote up a process I did with SC that
should be floating around (I'll look in a bit) and I've had feedback from
some others that used it that it worked well for them.  We've floated the
idea of baking in additional features for inventory several times over the
year but were never able to get the partners together to make it happen.  I
continue to cross my fingers that we do at some point.

I haven't tested recently so that's a significant caveat since dev has been
fast and furious but in the late 3.0 beta stages I was able to do quite a
bit in the staff client on an iPad.  I didn't systematically test features
but did enough to feel that there is at least significant functionality

Hi Irene,

Are you using the reporter table for this?  I have seen this before there
and not had the tuits to look into it in any depth since I've only seen it
on rare occasions but checking a few data sets it's not hard to find
examples under a number of scenarios and it's not hard to imagine a regular
expression creating this result.  It's probably worth a launchpad bag and
some discussion on how to handle it.  Maybe we should be checking for a
four digit number and using it when found.

Ultimately that table might get replaced with newer functionality of course
as the pub date field itself isn't RDA friendly but that's another
discussion.

[OPEN-ILS-GENERAL] Hack-A-Way 2018

I’m pleased to announce that the selection committee for the 2018
Hack-A-Way have made their choice.  We had several competing offers to host
the event in 2018 from wonderful community members.  Having just wrapped up
spending two years in Indiana, hosted by Evergreen Indiana, I can say that
the bar has been set pretty high for future events.  This year Kathy
Lussier from MassLNC, Dan Wells from Calvin College and Jason Boyer from
Evergreen Indiana, all past hosts, acted as our selection committee.

And the choice was …. we’re going back to Atlanta!  The host is Equinox
Open Library Initiative.  Equinox is now the second institution to be a two
time host and was the host of the original Hack-A-Way in 2012.  In a way it
seems fitting.  Back in 2012 we had the first discussions of what became
the web based staff client and we are returning as we approach the next
wave of challenges.

I would like to thank everyone who submitted proposals, who acted on the
selection committee and otherwise do so much to make this happen for the
community.  More communication will be forthcoming in the next week as a
follow up survey to the 2017 Hack-A-Way comes out both to look back at the
past Hack-A-Way and to start planning it for 2018.

The general list is good for general issues.   If your technical staff have
specific encoding problem they are encountering I would recommend the Dev
list though many developers also watch the general list.

For technical staff the IRC channel is also very active:

The technical community there is mostly English speaking and most active
during North American' daylight hours (roughly UTC -4 to -7 zones during
the day).  If the time offset is an issue the email lists are definitely
better.

Hi Eva,

I could certainly see that being a developed feature.  I certainly can
think of a lot of handy situations for it and it's certainly doable.  I'm
thinking of the folks that come in an bulk check out by genre and check out
20 items at a time because they assume they've read at least half of them
and won't remember until they are a chapter into the book.

I would be a little worried about the workflow and if it was meant as a
preventive (i.e. give them a chance to not check the item out) that there
might be a speed/timing issue so it might take a bit of thought of the best
way to do it.

There's a lot to think about here.  I do like the idea of the setting being
on the patron registration page so that staff can turn it on and off for
patrons as an assistance.  Actually, I think we should have had that for a
long time now.  If you're doing this as a local hack how you do it is
certainly up to you but if it's an actual change to Evergreen code the idea
of tying it to a nightly cron job unnecessary.  There is a question about
if older circs should get fed in but that might be tangential here and more
about how the reading history works.

I'm not fond of giving staff access to the history though.  Staff trusted
with reporter permissions can do that anyway, to the extent that you
haven't aged out circulations anyway.  It feels like an unnecessary
threshold to cross or at least one that we shouldn't cross, on principle.
It does mean that patrons that want staff to see their reading history have
to go to the step of giving it in some form to the staff but I feel like
that's an acceptable price to pay for privacy.  But I know that some
communities will probably see me as paranoid in that regard.

If it was implemented I feel library options, patron toggling, protection
for patron toggles, etc... would be needed.  It would be it's own viper
nest of issues to sort through.
