I use the Caller ID/VM method of screening calls as well. If I don’t recognize the number and it is obviously from outside of our area, I usually let it go to VM. I try to answer most numbers from local prefixes and in-district unless I am in a meeting or don’t want to deal with the disruption from a project I am working on. I use different messages for outside and inside callers. Inside callers are advised to use our help ticket system. Outside callers are given my e-mail address and told that is the best means of reaching me. All callers are given the zero-out option to be transferred to the office (at which time they are usually transferred right back to my VM) and told that I usually don’t check VM until evening.
I try to respond no later than NBD to callers that follow up with an e-mail or at least leave me their e-mail address in the VM; even the pesky salespersons will get a polite “thanks but we are not interested” follow up e-mail. She makes any updates to it and sends it out as a Word and PDF document at least once a year (sometimes again in the spring if there are a lot of changes). But right now for staff we have the paper copy that is added to in the offices, but not always put in an electronic format or in a central location. I really want to build a list for me to put in the phone system. We use Skyward for the Student side of things, I can't pull staff info out of the system, or at least not phone numbers, unless I am missing things. I really hate finding that the system was used and we didn't have staff phone numbers listed.
