I gave up, and set flat rates for trips.  I found another company's list
of acceptable costs for major cities (lunch, hotel, cars, etc.)  Know
the hourly costs and airfare.  I just refer to that, add the components
together, and cost it at $X (then add about 20% for incidentals).

Beats the heck out of spending all that time trying to nail it down
precisely, and most clients, if they know in advance what they're
paying, are happy to do so for the sheer joy of *knowing* what you're
going to cost them  ;)

but then, I almost always get my clients prepared to cost everything in
advance . . . which is perhaps not the norm.  Living with your bids can
sometimes be a pain . . .
