Hi,

That isn't going to work - Rebeccas problem is that only part of the 
text-to-be-referenced is in italics.

I'm not sure there is a solution to this...

Hi,

As for the macro trap - you are right that sometimes making a macro to do 
stuff takes (at least) the same amount of time that you'd spend doing it 
manually. BUT at least you are having fun developing it, you are using your 
brain at a different frequency, and over time you can build up a collection of 
macros that you can pull out and adapt for the situation at hand. 

So - I'm all in favour of using macros!

I'm wary of script languages generally because of the 'macro trap'. This is my 
term for a syndrome I noticed when I was a manager in the computer industry. 
It's real easy to think, 'Right, this is a tedious process, but I can automate 
it with a script and save *tons* of time'... and then spend twice as long 
developing and testing the automation than it would have taken to do the task 
manually in the first place ;-) 

I've even fallen into the macro trap myself... once, slightly scarily, with 
electronic *hardware*, during my postgrad research.

I'm sure Rick never does this, though ;-)

If you're dealing with a lot of content reuse, you may want to at least 
consider AuthorIT. That'll let you use Word in a fairly safe setup - or so they 
say! Check it out - there's an evaluation version on their home page at

material created in Word by people who aren't in the document business.

The good thing is there are few boundaries on change here. This process can 
literally be scrapped if I have a superior replacement that makes good sense. 
So if you could do it all over - what would you do?

My thoughts:

A. Office 2007 Word - This is supposed to have structured authoring.
We'll wait for a demo. 

B. Structured Frame - I've never designed a structured template, and would I 
have to buy seats for all contributors? 

C. Structured Frame with Frame Server - I haven't heard a lot of people here 
mention it. We manage a file based, and growing content repository to help with 
proposal questions. Does it make sense?

D. Arbortext - Pay to have all document issues resolved. 

Did I miss any? Did I miss the point of some?

Index sort order

Hi,

I discovered a problem in my index. Entries such as "semantic errors" and 
"search windows" were sorted _after_ Z. Naturally, I inspected the sort order 
on the reference page in the index file and found that the last entry in the 
sort order was "". If I removed that from the sort order, the above 
terms sorted correctly.

Now, the manual states,
"To indicate that a letter pair should be sorted as a single character, specify 
the letter pair between angle brackets (< >)--for example, C ? c ?."

Why, then, does "" (and "" too, btw) not obey that rule? Does it 
really only apply to PAIRS?

(I know that you can specify a custom sort order in the index marker, so you 
needn't tell me that.)

Here's the whole sort order if you want to see that:

Would the tables where this happens possibly be imported from, say, Word? If 
that is the case, you need to open the Custom Ruling and Shading dialog from

Would the tables where this happens possibly be imported from, say, Word? If

Two-column index

Hi Framers,

I run into this problem regularly (on FrameMaker 7.1):

I have a book consisting of quite a number of documents. Some of these 
documents have an index of their own (for historical reasons... And because 
making a book-wide index wouldn't make any sense).

The text flow in each document is single-column, right/left, with room for 
sideheads. Now when I generate an index, I import it into the document (just 
like a TOC). But naturally I want the index to be two-column...

As far as I can see, there is no way of doing this. I can apply a master page 
on the index heading, but that only covers the page on which the heading is 
situated, not the subsequent pages. I made a script which can reformat the text 
frame from a certain point onwards, but since the document is part of a book, 
adding or deleting pages elsewhere in the book will shift the whole thing - in 
short, it's a nightmare to maintain!

Anybody got an idea?

It is a book covering a number of different topics, but all of the topics are 
in the same category. Some of the docs are reference docs (which need an

I could pull out the reference docs, but how would you solve this: two 
programming manuals (A and B) dealing with different aspects of the same thing.

and attributes (B):bold and so on, otherwise the reader wouldn't know which 
reference applied where. But the manuals should be published together (and 
again, as a CHM) because they are related.

Two-column index

Hi Framers,

I run into this problem regularly (on FrameMaker 7.1):

I have a book consisting of quite a number of documents. Some of these 
documents have an index of their own (for historical reasons... And because 
making a book-wide index wouldn't make any sense).

The text flow in each document is single-column, right/left, with room for 
sideheads. Now when I generate an index, I import it into the document (just 
like a TOC). But naturally I want the index to be two-column...

As far as I can see, there is no way of doing this. I can apply a master page 
on the index heading, but that only covers the page on which the heading is 
situated, not the subsequent pages. I made a script which can reformat the text 
frame from a certain point onwards, but since the document is part of a book, 
adding or deleting pages elsewhere in the book will shift the whole thing - in 
short, it's a nightmare to maintain!

Anybody got an idea?

Thanks for all the good replies. 

I'd rather not add the index separately in the main book, as I sometimes 
publish the document in a "stand-alone" version, and I like to try to keep my 
books as free from generated files as possible. 

Steve Rickaby's answer did it for me - his comment: "Text inserts do have 
paragraph tags..." made me go Duh! and add "GroupTitlesIX" to the reference 
page for IndexLeft, IndexRight master page application. Now it works fine - 
thanks Steve (and the rest of you)!

Bizarre character issue (Uppercase F does not work)

Well, I can't use my ! (exclamation mark) - haven't been able to in ages. I 
suspect the answer lies in some keyboard configuration file - I suppose the ! 
maps to nothing.

Maybe I'll look at it again - actually you don't use the ! very much in 
technical documentation - but if I find out, I'll let you know! :o)

Open the document, and save it again using a current version of FrameMaker. 
Regenerate the TOC - the error should be gone.

You are currently failing to open files because there are spaces in the 
filename.

In the registration database, make sure that the key 
My Computer\HKEY_CLASSES_ROOT\applications\FrameMaker.exe\shell\Open\Command

-has the value
C:\Program Files\Adobe\FrameMaker7.1\FrameMaker.exe %1 

-the path should naturally reflect your own setup. The point is that both the 
path to the application (FrameMaker) and the parameter (%1) should be enclosed 
in quotes.

Before we started doing serious documentation estimates, we used the following 
formula. The developers describe every change to the software in "worksheets". 
We used to multiply the number of worksheets for a release by pi to get the 
number of required documentation hours... And guess what, it actually worked 
out pretty well... 

Now that we do serious estimates (with MS Project and all), we arrive at a 
number more or less equal to the number of worksheets multiplied by pi plus the 
number of hours spent on estimating...

Perhaps a PNG graphic slipped into the doc? Save as MIF and open it again - see 
if it took care of the unwanted color definitions. 

If this took care of your problem, search for PNG in the Framers archive for 
an explanation - should be quite a few hits. If not, I've no clue.

I appreciate that some you are afraid that the US will lose jobs to India and 
such countries. But take a bigger perspective on this, will you? If India 
(et.al.) are not involved with "Western" technology - if they don't get any 
hi-tech jobs and industries - how are they ever going to be able to buy 
American (or Danish, for that matter) products and services? Only by sharing 
our wealth (and jobs - even if it hurts) can we all survive and thrive in the 
long run.

an AutoIT script to update it - no manual steps after the initial set-up.

Changing TOC number format: On the Reference page in the TOC file, apply a 
character format to the $pagenum variable for the paragraph format in 
question. Regenerate.

Regarding the second question: Umm, fixing a TOC manually certainly is not a 
good idea - kinda defies the purpose. If you have too many TOC entries, 
something is amiss in the structure of your doc - like you are making something 
into a heading (and thus including it in your TOC) without really meaning to...

manipulating headers / footers through API?

Can't you manipulate the markers "Header/Footer $1" and "Header/Footer $2" 
instead, and just include those markers in the footer? 

I've made a FrameScript program that does this in order to create footers for 
an index, so I guess you can do that with the API. Might prove easier.

No need for plugins.

Select some text formatted with the char format you want to apply. Select Edit 
- Copy Special - Character Format. Then, in the Find/Replace box, choose to 
find a character format. Set the dialog to As Is (Shift+F8), and choose Bold in 
the Weight box. OK out. Then, in the Replace box, choose to replace By Pasting. 
Replace all, and you should be done.

I don't see the problem. If I Copy Special a Char Format, say the Emphasis 
format, and replace a bolded text by pasting the Char Format, then the text is 
stamped with the Emphasis format - the bold goes away, and the text is 
emphasized. If you later change the format, then the formerly bolded text gets 
changed, too. And that's what I believe Marcus wanted. Be ye the judge, Marcus!

Or you can select whatever is in front and then Alt+Arrow it to one side until 
you can select and delete the offending graphic. Then Alt-Arrow the former 
selection back the same amount of Arrow-depressions. (Remember to count the 
first time around!)
