You have to set your numbering at the book component level, not the document
level. Right-click on the components and set the numbering there and then
update the book.

You have to set your numbering at the book component level, not the document

   Did you change the numbering in the book file? Or in the FM file?
   You have to select the book file and in the book file select the
   appendix file. Then change the numbering.

internet, so downloading was almost instant, but it took two or three
minutes to open in Acrobat Pro DC, and 20 minutes later it still
hasn't finished saving as reduced file size.

[Framers] Help Replicating Very Specific Word Styles

I have 3 Word styles I need to replicate in the new FrameMaker template I'm
creating and I'm not sure how to do it.

 

I have sample images of each style if anyone wants to reply off-list.

 

 

1) Procedure heading that prefaces all instruction sets.

- It runs the width of the page, has a special bullet image and is backed by
a wide grey line. 

 

2) NOTE format that in Word, is located inside a single row table, with
lines above and below to set it off and a special bullet image as part of
the tabbed intro. 

- A NOTE can have multiple lines but only the first line has the special
bullet.

- There will need to be several versions of this item as indentation is
dependent upon the style in use above the note (eg, bullet or instruction).

 

3) Safety Advisories (DANGER, WARNING and CAUTION) that are inside a
3-celled single line table. 

- The first cell has no borders and holds the relevant cautionary image (an
exclamation point inside an appropriately coloured triangle).

- The second cell is coloured to match the relevant cautionary image and
contains one word (and some hidden text): DANGER, WARNING or CAUTION.

- The third cell contains the safety advisory text and may be one or several
paragraphs and may or may not contain (regular) bullet points and/or cross
references.

- Many safety advisories are repeated multiple times in the manual (and
reused by many different products). 

- Cells 2 and 3 are surrounded by a thin, black double line.

 

If it matters, we do a lot of translating, so that will have to be kept in
mind.

 

 

As I recall (through a dim haze) there is a way to use the Reference page
for items 2 and 3.

Thanks and thanks for asking.

It was a great fun doing that job. I did three different layout versions
for different book sizes. Actually, it was the New Testament plus the
Psalms and the Proverbs, but it is the same amount of structured work.
However, I don't think there will be more upgrades for this since the Bible
is now available online and in audio as well, and this is what the young
people and the old ones who are losing eyesight want.

I have only been doing one or two small jobs a year now, and just now I am
doing a book of short stories (2-3 pages each, 80+ pages in all) which is
the product of a course some people are taking in Story writing techniques.
Just sent a first draft layout copy from the preliminary copy I was sent
today. Still waiting for the final copy. I am obliged to Lynne A. Price for
her suggestion regarding the TOC as I had to (well, actually, I wanted
to—not sure the buyer needs it!) merge three paragraph references into one
TOC Item. So, Lynne, if you are reading this, THANKS!

has the autonumber of the SectionNumber paragraph followed by the text of the 
SectionTitle paragraph. The format of one TOC entry cannot include information 
from multiple paragraphs (or elements in a structured document). However, you 
can create two entries that appear on one line by making the first one a run-in 
head. In your case, you can enter SectionNumber in the TOC, using <$paranum> 
and formatting that paragraph as a run-in head. Also enter SectionTitle in the 
TOC using <$paratext>. As long as all sections are consistent in the use of 
both paragraphs at the beginning, the result should be what you want.

luck. . . .

In a nutshell, . I am trying to extract a paragraph number from one tag 
(SectionNumber) and get it assigned to another tag (SectionTitle) when 
generating the TOC.

I have punted for now, and come up w/ a less than elegant solution, but it 
works and I have to move on to bigger fish to fry, but I am open to any and all 
suggestions.

Tammy,

I don't remember exactly, but you can make autonumbering remember 
different series of things. There is some variable like SORT A, SORT B 
that makes you able to say something like A: B:

Tammy,
FrameMaker uses the building block <$sectionnum> to number the section. I
am wondering what the reference page shows for the TOC list. If you see the
actions listed but not populating properly, you will likely have to edit
the Reference Page to emulate the format for the Chapter TOC entry. Go to
View>Reference Pages (it is toward the bottom of the menu).

You will see something that looks like this:

openXmlElementId <$relfilename>:<$UniqueXmlElementId>
<$RelativeXmlElementId>
openObjectId <$relfilename>:<$ObjectType> <$ObjectId>
<$paratext> <$chapnum>-<$pagenum>
<$paratext> <$sectionnum>-<$pagenum>

Each of the <$paratext> lines references either the chapters or sections as
you perhaps set up to include in the TOC list. You may have to edit the
line for the Sections to get it to populate correctly and you may have to
add tabs to the TOC paragraphs to get them to carry the dotted leader line
from the text to the Page Number. Remember that you have to Update the book
after making any edits to the Reference page. It may take a few updates
before it is behaving correctly for you.

[Framers] Help with setting up a paragraph tag in the TOC

OK, 

 

Please have pity on my senior mind. It's been sooo long since I
have had to set certain formats up from scratch in Framemaker, that I am
just going bonkers trying to remember how I did something before. Here's my
current conundrum:

 

On the first page of each chapter, I have the following tags: 

1.  ChapterNumber, with the numbering set to N:Chapter <$chapnum>. At
the book level, I set Chapter Numbering to 1 for the first chapter in the
book, and Continue numbering from previous chapter for all subsequent
chapters. The tag is set to start at the top of a page.
2.  ChapterTitle, which immediately follows ChapterNumber, and is set to
Keep with Previous Paragraph.

 

 

In each of my chapters in a book, I have Sections. The Sections are denoted
with a special master page layout that is different from the first page of
the chapter. On this page, I use several paragraph tags including the
following:

1.  Section Number, with the numbering set to the following: S:Section
. The tag is set to start at the top of a page.
2.  Section Title. This is the tag that immediately follows
SectionNumber. This tag is set to keep with the previous paragraph.

At the book level, I have paragraph tag numbering to start over for each
chapter, so the first time I use SectionNumber in a chapter, it is numbering
correctly as Section 1, and then followed by Section 2, etc. 

 

For my TOC, I have selected the requisite tags, including ChapterTitle and
SectionTitle. 

1.  For my ChapterTitleTOC tag, here is the format:  Chapter <$chapnum>:

Since FM-15 with its new PDFL machine to generate PDF the following characters 
let 
the generated pdf disappear in the last moment: # % & ; [ ]

My file names are usually with no spaces and no punctuation, from old
Mif2Go days, which could not cope with anything like that.

It was just the folder name, and such a strange and unconnected problem
that resulted.

Fred did a great job of explaining why the ampersand (and some other
characters) can create problems.

On a side note, a few years back, I had a client's files that I was creating
an EPUB from and it would error out after a while. Drove me crazy for a
while until I realized that they used periods in their file names. For
example: "Chap1 File Name.new.fm".

Renamed all the files in the book and it went to EPUB without issue.

Moral of the story--keep the file names simple. You don't to go back to the
8.3 DOS days, but don't go crazy with punctuation. I pretty much stay with
underscores and sometimes hyphens.

It does have a help condition. In the Frame file when I apply the condition
it appears, but it does not appear in the Help file that I create.  I
cannot find anywhere a definition that says the MiniToc should not appear

This all worked very well for the last year, but suddenly does not work
well today and I cannot work out what could have changed.

Does anyone have any idea what I can do?  Or how to solve this?

[Framers] 404 Behavior in Context Sensitive Help from Frame

We're developing context sensitive HTML5 help for a project using Publish
from FM 2017, and have most of the first round integration and
troubleshooting done.

The problem: When a topic is called from the application, but turns out to
be not found, the first page of the book/help is displayed, which isn't a
lot of help to anyone.

Is there a way to remap this behavior within Frame, the mapping table, or
the application so that a Topic Not Found page or message, and/or the
search tool is displayed?

[Framers] Help Wanted -- FrameMaker Project

To all,

After 18 years of serving as editor and publisher of a quarterly astronomy 
journal as a hobby ("pro bono"), I've decided to pass it on to others within 
the parent organization to produce. The organization consists of just under 400 
professional and serious other astronomers worldwide who are involved with 
Earth-based solar system observations. Astronomy has been my biggest outside 
interest since I was a youngster in the early 1960s. But now I wish to enjoy 
the hobby more by getting out with my own scopes and other paraphernalia to 
enjoy the night skies with others. Plus, I'm pushing age 70 in a few months.

In my position, I received and proofread the science papers after they were 
already peer-reviewed for correctness by subject matter experts, then used 
FrameMaker to perform the usual electronic layout and produce the journal 
itself as two different pdf files (one for placement on the organization's ftp 
site for downloading by the membership and another -- much larger -- pdf file 
for transmittal to an outside firm that prints and distributes the hard copy 
version).

While I have secured another member of the organization to serve as editor, 
there is no one within the organization to do the production (that is, 
FrameMaker) side of things. Thus, I'm asking here if any of you would consider 
this position. 

First, knowledge about astronomy is NOT required. Second, we are prepared to 
pay a reasonable fee.

As stated above, the journal is released quarterly, with the first issue under 
the new personnel not due until December of this year.

Please contact me directly off-list so as not to clutter up things here. I will 
be glad to go into whatever excruciating detail interested persons want at that 
time and will be glad to direct them to the online location where the entire 
library of these journals can be found for their reference.

If you're going to be publishing both PDF and online help, that's what I'd do.

The developers should let you know when they add a new context ID. If
they neglect to, when you notice a new ? button in the UI you can ask
them.

Again, be sure when the help call encounters an unmapped context IDs
it opens a default page.

So, based on Caroline's and Robert's info and contributions, and  thoughts
from everyone else, I'm going to reccommend that our starting point for a
coding spec be the Frame-to-RoboHelp workflow, with us, doc, retaining
control of the map file. TBD is how the coders would inform us / update
with new hooks on the code side.

Does that sound reasonable to y'all? After we do a couple projects, we will
revisit and tune.

Given that you have RoboHelp:

If this will be distributed as online help only, I'd create the doc in RoboHelp.

If you'll be single-sourcing to both online help and PDF, I strongly
recommend putting the source in FrameMaker and linking to RoboHelp.
It's a big time-saver to be able to see and fix bad page breaks while
you're editing. I couldn't find any Adobe documentation on how to link
(rather than import), so I created a sample project and a doc
explaining it:

With a significant percentage of users on phones, Responsive HTML is
most likely the output type you want.

I've generated CSH map files using various tools (standalone RoboHelp,
FrameMaker + WebWorks, FrameMaker + MIF2Go, FrameMaker + RoboHelp,
Flare, Oxygen, Scroll HTML Exporter, Paligo) and they all worked
perfectly.

They don't generate the map IDs (topic identifiers) themselves, you
write those yourself. The map number (context ID) is a UUID. Here's a
example from RoboHelp's old Salesbuilder sample project:

To clarify a few points:

   - The application is a SaS, but more on the database reporting side of
   things than providing a service
   - Some dedicated workstations will be primary user's work stations, but
   we expect a good percentage of people 30-40% to be using phones. Possibly
   tablets, but less likely.
   - We have FM 17 and will be single source authoring.
   - We have Tech Comm Suite 17, so RoboHelp is available

server uses HTML as the GUI?
Another question... Desktop, Tablet, Phone?  All three?  If you support a 
finger device, then you can't use hovering to display tool tips -- you have to 
offer an icon to tap.
HTML GUIs make walk-throughs easier to develop.  We use bootstrap tours.  We 
also single-source our content, where certain tasks can get squeezed into these 
tours.  Our source is DITA, and we convert the task to JSON that works in the 
bootstrap tour.  We do our transforms on the fly (we ship raw DITA with the 
product), but that's just us...  You could as easily transform to JSON as part 
of the build.  

What about text actually drawn on the GUI itself?  Do you provide that content, 
or is that a specific code asset?  Labels and tooltips are often managed in a 
local-specific json file.  If you want rich text in the GUI you need a 
different way to manage that.  But once you have that, you could include links 
that open up the online help for more information -- that would be a good way 
to indicate and link to the help.  Otherwise, you need a special icon, and it 
has to be different than the tooltip icon.
For context links to help (or any other asset), indeed a mapping table is the 
way to go.  You need to own that table as a doc asset so you can freely change 
the targets of the given IDs.  A change should not require a rebuild of the 
product.  OTOH, the devs need to indicate when they add a new ID to the product 
so you can add it to the table and set up the link.  I'm not a fan of generated 
mapping IDs...  A table can get pretty big, and you had better come up with a 
naming convention that makes it easy to sort through all the entries.  
Generated IDs probably won't suit that need.  

As I said above, we transform DITA to the online help and other formats on the 
fly.  We include a service in the GUI app itself to do that.  And then the 
online help is just another app that uses the same service.  So we own the code 
that makes it all happen.  That's probably out of scope for your concerns, but 
it's how we do things.

Developers" section. That's the correct way to write help calls in
applications.

[Framers] Best Practices for HTML Online help

My company is developing a new browser-based software package that is
specced to include screen-level context sensitive help.

The coders haven't done this before and are asking for
help/assistance/advice on developing the coding standard for this and other
products going forward.

I'm thinking the basics are the basics -- a call in the program goes to a
mapping table that invokes the HTML help screen in a new tab/window or a
popup.

What I'm looking for feedback / ideas on are a good method to call Help
from the application (icon/keystroke/widget), and any Best Practices that
people are already using, either on the coding or information development
side.

The "engine" that drives FM's publishing of HTML5 outputs (and WebHelp) are all

This system cannot link to graphics online. I do not think the users will
necessary have access to the internet.

The skin shouldn't make much difference, that's just different CSS.

Seems like SnagIt's compression is not the best, so you should use
some other tool to get maximum compression.

Are all those images really essential? Have you cropped out all
irrelevant information?

Is the 15MB limit really necessary?

"package" to get them. This actually reduced the size of the .png files for
some reason.

I then used Photoshop to reduce the size of these files.

Eventually the size of the help package was reduced to 9-10 Mb approx.

However, the User guide/project will grow. We are talking about a user
guide which has nearly 300 pages, and they are adding components all
the time.

If you're cropping out the irrelevant parts, saving as PNG, and
importing by reference, then the large size is probably due to having
many, many images.

Snagit's PNG compression might not be the best. You could try running
a batch job to open and resave the PNG files with some other tool,
such as PhotoShop. Experiment on one file first to see if it reduces
the size.

[Framers] Size of HTML5 Help file - how to reduce

Hi

R told me that the HTML 5 help file that I made is too big.

It came out as 15 MB

Currently I have included the screen captures in the help.

I made a new version without most of the screen captures, and it is much
smaller.

1. Do you show the screen captures in help files?
2. Are there any settings in the Frame publisher that can themselves
compress the graphics used in the help file (instead of removing them all)
3.  Can you make screen caps as thumbnails?
4. Has anyone else encountered this issue, and have any insights?

You might check your Image Settings in your Publisher ( File > Publish >
Change Settings button > Edit > Style Mapping > Image Settings ).  Your
Margin settings might not be set to zero.

Hi Caroline,

You need to duplicate the MTOC paragraphs on the MTOC Reference Page and
assign a different condition to each set (for example, Print and Web).
Remove the <$pagenum> building block from the Web paragraphs. When you hide
the Web condition and show the Print condition, you will get page numbers
when you update the MiniTOC. When you hide the Print condition and show the
Web condition, you will not get page numbers in the MiniToc. I just tested
it and it seems to work fine.

[Framers] Need help with List Formats in Structured

I am updating a file to Structured FrameMaker and ran into a problem with
the list formats. I have many instances where lists have multiple levels.

For example:
a. Level 1
  1). Level 2
 (a) Level 3

I am having difficulties with the lists not resetting.

What I want:
a. Text
  1. Text
  2. Text
b. Text
  1. Text

What I am getting:
a. Text
   1. Text
   2. Text
b. Text
   3. Text

I am sure I have something wrong in my EDD, but cannot figure it out. Below
is my EDD text format rules for my lists.


Let me know if you need more info to help me solve.

My structure is set to PARA0 (ListType "Numbered") < Step1 < Para. Above is
the format rules for the Para element specifically.

Running structured index markers here, but keeping the index unstructured.
The downside to unstructured index is it cannot set headers and footers
from the structured book, and have to be done manually.

Hi Scott
In structured documents you would usually use a structured marker element 
(indexterm in DITA; in other schemas it may be called something else). This 
element would be defined as a marker element type. The marker syntax is the 
same.
You generate the index in the same way as in unstructured documents, except 
that you specifically choose the structure element ( indexterm or whatever) to 
do so. The index document itself is usually not a structured document, though 
some schemas might choose to make it one - there is little benefit in doing so, 
but a purist might want to do so.
You could also use a hybrid approach in simply adding unstructured markers to 
your structured document, but in my view that should be frowned upon.

I just got off the phone with a client and they are running a structured 
FrameMaker document. I have never used structured but have always used 
unstructured for our catalog pages.

They are wanting help in creating an index from a book. Is there any difference 
between running an index in structured vs unstructured?

It turns out you all had a piece of the ultimate solution.  For some, still 
unknown reason, the crash appears to be linked to the images in that 89th 
document where the crash occurred.  That FM wouldn't even publish on its own 
until I removed the pictures.

They were all PNG format so...I just put them back in, a few at a time, and 
recompiling.  It never crashed again so...something about the link itself, 
maybe.

Anyway, It's compiling successfully now.  Thank you for all of your suggestions.

For the record, I don't think this was off list... 

Actually, her concept is sound. Use the "binary method" to track down the
problem.
Output the first half of the book see if there are problems.
Do same for second half. 
Keep dividing sections in half and test each section until problem(s) can be
identified.

When I've had issues like this, I have copied my project, deleted pages from 
the Frame file, and published the help until I can pinpoint what is causing the 
problem. You might start by deleting everything after page 88 and publishing. 
If that is successful, add more pages back and republish.  I know this is 
time-consuming, but I've been able to find and correct problems doing that.

Another thing I have found when I've had a failure is that the problem is with 
an image. So you might want to take a look at any images that are on the page 
where the failure occurs. Remove images and try publishing again. (Working, of 
course, with a copy of the project!)

Hi Framers,

I have TCS 2015 on a 64-bit Win7 machine with almost 19 Gb free HD space & 16 
Gb RAM.

This is my first time around using FrameMaker 2015 and attempting to publish 
our Help files from FrameMaker.  I learned a lot from Matt Sullivan's course 
and successfully published a "test run" in November, so  I thought I was all 
set and all I'd have to do is update the content, tweak the CSS a little bit, 
and republish.  Well...nothing's ever easy!

I'm publishing a large book (2400 pgs) with about 100 component FM files.

-  All files open in FM without error.

-  Style sheet and mapping are complete.

-  When I attempt to publish to HTML5, the process crashes at the 89th 
document. A "Failed Importing Documents" message appears, then FM closes.  No 
files have been updated, even the first 88.  At least the Date Mod. property is 
still the date I initiated the project.
I contemplated dividing the book and attempting to publish the second half 
alone (as a test or to get the missing image files) but that would more than 
likely cause error messages due to unresolved cross-references.

Since I do have Tech. Comm. Suite, and I'm experienced with publishing CHM from 
RoboHelp, I tried going that route as well.  Everything seemed to go normally 
until I started scanning the output and found some missing images.  I see the 
*.PNG name, but no image.  On further investigation, I find there are almost

When I've had issues like this, I have copied my project, deleted pages from 
the Frame file, and published the help until I can pinpoint what is causing the 
problem. You might start by deleting everything after page 88 and publishing. 
If that is successful, add more pages back and republish.  I know this is 
time-consuming, but I've been able to find and correct problems doing that.

Another thing I have found when I've had a failure is that the problem is with 
an image. So you might want to take a look at any images that are on the page 
where the failure occurs. Remove images and try publishing again. (Working, of 
course, with a copy of the project!)

I have TCS 2015 on a 64-bit Win7 machine with almost 19 Gb free HD space & 16 
Gb RAM.

This is my first time around using FrameMaker 2015 and attempting to publish 
our Help files from FrameMaker.  I learned a lot from Matt Sullivan's course 
and successfully published a "test run" in November, so  I thought I was all 
set and all I'd have to do is update the content, tweak the CSS a little bit, 
and republish.  Well...nothing's ever easy!

I'm publishing a large book (2400 pgs) with about 100 component FM files.

-  All files open in FM without error.

-  Style sheet and mapping are complete.

-  When I attempt to publish to HTML5, the process crashes at the 89th 
document. A "Failed Importing Documents" message appears, then FM closes.  No 
files have been updated, even the first 88.  At least the Date Mod. property is 
still the date I initiated the project.
I contemplated dividing the book and attempting to publish the second half 
alone (as a test or to get the missing image files) but that would more than 
likely cause error messages due to unresolved cross-references.

Since I do have Tech. Comm. Suite, and I'm experienced with publishing CHM from 
RoboHelp, I tried going that route as well.  Everything seemed to go normally 
until I started scanning the output and found some missing images.  I see the 
*.PNG name, but no image.  On further investigation, I find there are almost

I don't know what you mean by "wasn't capable." As far back as RH7 the
default PDF output included the whole project.

If you have TCS, I think it makes more sense to have the source in
FrameMaker, generate PDF from there, and link to RoboHelp to generate
other outputs.

Why should context-sensitive help be any less useful than it ever was?

CSH uses the same TopicAlias markers for all outputs. RoboHelp can use
them as well if for some reason you want to link the project instead
of using the integrated subset of RoboHelp features.

Just started really testing the TCS 2017 today for evaluation so we can upgrade 
from Frame 12.

Anyone out there doing context  sensitive help (I know, I know, we shouldn't 
need to do it anymore and people should know how to use search tools but 
development will not let this one go) with HTML5 output rather than a .chm 
file?  From what I have heard so far it was a little easier in 2015 (which I 
was evaluating for our group for tools, plugins, etc. and finished the day they 
announced 2017 release) and could all be done from just Frame, but now may be 
back to method of needing RoboHelp.  Not a problem.  Might be nice if we could 
move to something more like HTML5 output, depending on the file size and how 
hard it would be to transition a project over.

Anyone gone through that process yet???

There aren't a lot of HTML help options on the default FM output to CHM.
For instance, you get a default small box help window in the top left
corner. The file that controls the layout is hardcoded into FM, apparently
it's an enhancement rather than a requirement (to allow it to be
customised).
