Good afternoon -

Does anyone know the reasoning behind the item barcode of a copy hold not
appearing in the patron's list of holds? The item barcode doesn't appear
until the item is Available. It seems to me that since the barcode won't
change since the hold is a copy hold, the barcode should appear during all
phases of the hold.

There is an Action menu in 3.3 and there was in the XUL client. That's
where Lost and Long Overdue items are found. I wonder what happened to 3.2?
There is a separate tab for non-cataloged items so there are three tabs in
Items Out.

Good morning -

Booking items aren't in the searchable catalog. Is there a way to find an
item's current location? For example, once we send the Rug Doctor to a
branch, we can't search Evergreen to find where it is. We could keep a
paper record but that defeats the purpose of an ILS. What are we missing?

Cathy, I haven't heard about the consortium making this decision. If it
did, the time period must be longer than seven years if Jake's materials
haven't been deleted before he gets to them at seven years.

We have been talking about this at Scenic in conjunction with patrons
bringing back materials after they have been lost for years and expecting
the bills to be voided. If the items are no longer in the catalog, it is
questionable whether we want to add them in again. If we void the bills and
don't add the item, we are out of $$$. We may need a policy about when it
will be too late to return items and have bills voided. Thus---I'm
getting input about how long to wait before cleaning up the catalog. (I
loathe and detest having patron and material records hanging around when
the patrons and materials are long gone. It's like having an unending case
of indigestion.)

All suggestions are welcome.

Good afternoon -

Our library district is going to begin floating its collection. Can someone
who already floats tell me the procedure you follow for moving materials
from one branch to another when one branch gets too full? We could just put
100 items in a box and send it to the other branch but there will be a
couple of days when the catalog shows the items as available in the
original branch when they aren't.

Also, how do your branches communicate about items needed and items that
need to be gotten rid of?

This is the slip that prints when a hold is fulfilled. This slip uses the
SUBSTR macro to truncate the Patrons Last name to the first 4 characters
and the patron’s barcode to the last 5 digits. This slip is designed for
libraries that use self-serve holds. So, you will notice a lot of

This is an excellent discussion. We do need to be careful not to develop
separate groups while at the same time facilitating discussion in whatever
language each of us speaks.

I'm with Scott. I receive notifications for bug reports and scan them to
see if they contain anything pertinent to circulation. If I don't
understand what the report is describing, if it says something about child
scope and bare primitives, I delete the email and move on.

I divide my time between being lead manager at a branch and coordinating
circulation for our ten branch district. Understanding and implementing
Evergreen for circ staff is my responsibility. I have to be able to
understand what is going on well enough to translate it for our circ staff
and my boss.

Since posting my first email about "discouraged," I have learned that one
of my showstoppers has been fixed with 3.0.3. We in Missouri just don't
have that upgrade yet. I also learned of a work-around for Dymo printers.
We tried it and it didn't work for us but, stillit was neighbor helping
neighbor.

Absolutely. If I only complained at my library and never sent a help desk
ticket to the IT department, it would be my own fault if nothing got fixed.

There are, however, two sets of people working with Evergreen. The
programmers and the end users. And we speak two different languages. I have
looked at the IRC and it is programmer-speak, not library-speak.  I would
like more communication with end users in library-speak.

Yes, Scott! We are all about resource sharing and one of the resources we
should share is our insights!

There are bug reports for four of the five showstoppers I reported this
morning. The slow-down/freeze-up happening often does not have a bug
reportas far as I know. (It is hard to find pertinent bug reports
because you need to think like the person making the report in order to
come up with the key words.) We used Webby for a month and had issues with
it not loading all information on a screen or showing something odd that
seemed to be tied with the number of functions we performed. After we had
been clicking around, checking out patrons, checking in materials, editing
records for a while, we were brought to a stand-still. Clearing the browser
history usually solved the problem. And meant reregistering the workstation
and checking settings.

I volunteered to keep track of Webby problems for the Missouri Evergreen
circulation committee. I am pretty discouraged. My library began using
Webby in December but there were so many frustrations that we stopped after
about a month. My spreadsheet of problems now has thirty-five issue on it.
Every time a new bug report is sent out my heart sinks.

*   Improvements for Hopeless Holds - http://masslnc.org/node/3388 - this 
project would provide a new interface for managing hopeless holds. In the 
current description, we identify hopeless holds as ones that do not have copies 
in the hold_copy_map. However, we do have at least one site that has holdable 
statuses that they would want to show up as hopeless holds. Our current 
requirements don't cover this use case, but I wanted to throw the idea out 
there in case anyone had ideas of a way to incorporate those with little 
additional development.
*   Update hold information when patron contact information is updated - 
http://masslnc.org/node/3388 - this project would prompt staff and the public 
to update holds contact information when phone and SMS numbers are updated in 
their record and in their hold preferences.
*   Test notification method - http://masslnc.org/node/3377 - an easy way 
for staff or patrons to test the e-mail or SMS number on their account.
*   Support for inventory date - http://masslnc.org/node/3379 - the 
addition of some inventory-related fields to the copy could help libraries 
performing inventory. It could be added to a copy at checkin through the use of 
a checkin modifier or from the item status page.
*   Improvements to Deletion of Serials Items - 
http://masslnc.org/node/3383 - When deleting these items, linked copies will be 
removed and summary statements will be updated.
*   Improvements to Spine Label printing - http://masslnc.org/node/3386 - 
specifically, support for sheet label printing.

thought we would use first three letters of the patron's last name and the
last four numbers of their phone number. BUT - there could be more than one
person with the same holds alias - husband, wife, bunch of kids.

I have yet to get a total amount on any receipt.
Using:

We countered some mystery with the price sum. Though using the same code, a

Hello, I just wanted to revisit this topic since I had a chance to look into 
the implementation side.  We have discussed the “should we do this at all” on 
our end and have decided that it is something we want to offer.  Specifically 
allowing staff to enable the circ history for customers.  I want to thank 
everyone for sharing their thoughts on this issue.  The feature mentioned by 
Eva, allowing staff to be alerted based on the users circ history at checkout 
was quite interesting.  That would be very useful for some of our customers 
that seem to devour some genre fiction.  I created bug #1745623 for that 
feature request.

 

It was really easy to add it, and the enabling part just works.  I should 
mention that we are still using the XUL client, I don’t know if this works with 
the web client yet.

 

The circ history is controlled by a pair of user settings, 
history.circ.retention_age and history.circ.retention_start.  If either of 
those exist for a user and have a non-blank value then the circ history is kept 
for that user.  When enabling the circ history in the catalog, only 
history.circ.retention_start gets set, and gets set to the current date.  But 
the value doesn’t actually matter, it just needs to be non-blank to be 
considered true.

 

To trigger that preference to show up in the patron registration screen, you 
need to assign it as an opt in setting type of a dummy action_trigger event 
definition.  I just created one based on the au.created hook, but I think that 
any passive hook would work.  The event def doesn’t even need to be enabled for 
it to work.

 

I also went into the user_settings type editor and changed the label for 
history.circ.retention_start so that it is called “Save my Checkout History”.  
We might change that in the future since that label isn’t exposed to customers 
in the catalog to something more staff focused.

 

After those steps the preference will show up on the patron registration 
screen.  The sorting of it seems to be based on the hidden name of the user 
setting, not the label.  So in our case it puts that preference first.  That 
isn’t ideal for us, but not that big of a deal.

 

If the preference is set by staff during registration or afterwards, it changes 
the value of the user setting to ‘true’.  Since the circ history just needs the 
setting to have a non-blank value this enables it.  If customers then disable 
the feature from the catalog, the feature gets turned off correctly and the 
circ history is purged like normal.  When staff turn off the feature the 
setting gets changed to ‘false’ and the circ history isn’t purged.  The setting 
of ‘false’ is non blank, so the history stays on.   So the one scheduled change 
we will run daily is to look for those situations and delete the setting and 
delete the circ history.   We will just make it clear to staff that deleting 
the circ history is completed overnight.  In some ways this is a nice safety 
feature.  Customers get a confirmation dialog for removing their circ history.  
This give staff a chance to realize they checked the wrong box and undo their 
change.  The batch query that we will run is at

The batch process could also add extra notifications to the user about this 
feature being enabled or disabled.  We could add a message to the message 
center, send an email, send a text, etc.  

 

In the future, I think the settings for enabling the circ history will be moved 
to a single Boolean setting, which should integrate with the staff access 
better.  The current two settings made sense back when the circ history was 
looking directly at circulation transactions, but now that it is stored 
separately it doesn’t make as much sense.  There is a comment in the circ 
history database function about changing it someday. bug #1745624

so that receipts left in books or lost in the parking lot don't have any
patron information on them. But that decision is for each individual
library to make.

  IS there a way to prevent the “place a hold” link from showing up in the 
public catalog, everywhere??   We want it so ONLY show up on items that fill 
our hold requirement – those items that are checked out or NOT available.   

 

  We have set the proper condition in the Library Settings to not have holds 
for available items, but the link still shows up in the public catalog for 
EVERYTHING.   Can it be made to go away?  What are the steps to make this 
happen?

 

  Right now it is so confusing to our users and they keep trying to “place a 
hold” on items that will never be holdable.It is extremely annoying.

[OPEN-ILS-GENERAL] patrons with bills

Good afternoon -

 

We are trying to find patrons who owe us more than $100. I ran the report
<javascript:void(0);> Patrons with outstanding balances by branch and item
due date range. There are 22,000 lines on the report, one for each billed
item. Some of the items are not overdue/lost. Some of the patrons in the
report do not owe us money. I have looked through most of the patrons with
last names beginning with A, B, and C and found $15,000 owed to us. But it
is a painfully slow process, looking for patrons with multiple billing lines
and checking their records for totals. Then copying their information to a
spreadsheet.

 

Has anyone else found this information by a quicker method?

Hello Scott, we do resource share.  One of our systems is 3x larger than the 
other, so the smaller system uses age hold protection on their new items to 
keep them home for a while.  Otherwise we were seeing 4x more holds placed by 
the larger system which was pulling a disproportionate share of new material 
from the smaller system.  The smaller system also recently decided to use FIFO 
vs proximity for their holds, while the larger system is sticking with check-in 
proximity priority.  

 

Most of the highly sought after items that have lots of holds are new items in 
our experience, so the smaller system that is using FIFO will only fill their 
own customers holds in FIFO order until the age hold protection expires.  Once 
it expires then there is a chance that the larger system’s holds will get 
priority if they are older than the remaining smaller systems holds.  We don’t 
know if that is going to be a problem in actual usage yet.

My library has nine branches but we told the ILS that we are all in the same 
building. That way, age protected items will be FIFO to all of the patrons in 
our nine branches. Anything without age protection is FIFO throughout our 
resource sharing consortium.

I scanned two items into item status, checked the box on each line, and chose 
Edit Item from the Actions tab. Two windows opened, one for each item. I 
changed the shelving location for the item in the front window. The location 
was changed for that item but not for the second item in the second window. ---

Item Status screen, as well as in Copy Buckets.  You'll scan in all the items, 
check their boxes, then go to Edit: Items in the Actions menu.  Any changes you 
make in the Copy Editor will be applied to all the items you checked.  Be sure 
that your pop-up blocker is off or set to accept pop-ups from Evergreen.

Good morning -

 

When our bookmobile visits school, students from more than one class come
onto the bookmobile at the same time. In XUL, staff keep several teacher
accounts open at once so that they can flip between classes as they serve
patrons. 

 

Is there a way to do the same thing in Webby without creating permanent tabs
for each teacher at each school - which, of course, we can't do because the
Favorites bar isn't long enough?

Good afternoon -

 

We are a multi-branch system and had the same situation you describe when we
migrated to Missouri Evergreen. The problem was solved by having our
settings edited so that the ILS thinks all of our branches are under one
roof.  All of our patrons are in one queue now. This was VERY important to
us. Otherwise, once an item goes to, for example, the Pacific branch, it
will fill all of the holds there before moving to a different branch,
without regard to the fact that some patrons in another branch placed their
hold before the patrons in Pacific.

 

The queue order is still not always what the ILS shows since other libraries
in the consortium have their own settings for filling holds.

 

One minor problem caused by our new setting is that the ILS does think all
ten branches are in one building so a hold placed for a Union patron may
target a New Haven item even though there is a copy of the item on the Union
shelves. 

 

Does that make sense?

Hi everyone,

 

I would very much appreciate some feedback from libraries in consortiums
about how they handle holds compared to my library's hold situation. 

(my apologies for the long email - it's a little difficult to explain.)

 

Before my library joined in a consortium, we filled holds by the date the
patron requested an item. We are two branches at Lincoln Public Library, so
when we scan an item with holds waiting, whoever placed the hold at the
earliest date and time in the whole system will get it and so on. This means
items will be shipped back and forth a lot to both of our branches but we
don't mind because we have delivery 3x a week. Having this hold system meant
that the staff on the client could tell where in the queue a patron was e.g.
"you are 5th in line for Wonder Woman". Patrons could also login from home
and see an estimated wait time for their hold to arrive. 

 

This past June my library and four other systems joined together to create
"LiNC" (Libraries in Niagara Cooperative) which has been successful so far
except for how we now fill our holds. Instead of Evergreen checking who was
first in all of Lincoln to place a hold, It is now looking who is first by
branch. For example, if an item is catalogued for our Rittenhouse branch the
first person that placed the hold whose home library is Rittenhouse will get
it first even though the first person in Lincoln to place a hold has their
home library at the Fleming branch. We cannot see a queue and the estimated
wait time is no longer valid. This has caused a lot of frustrations both
from staff and the public. The other libraries in our consortium are okay
with the new holds system but in Lincoln, our holds and circs are the
highest and the demand for holds information is really important.  

In order to go back to the way things were, we would need to pay Equinox a
considerable amount to make the changes. 

 

To the libraries in consortiums, do you have this same hold system? If so,
how's it going? If not, how are you filling holds and what did you need to
do to make it that way?

Good morning –

 

There are several work-arounds to get items in transit to Missing Pieces. But 
most of our staff is part time and all of the intricacies are difficult for 
people working 16-24 hours a week to keep on top of. It will be easier if 
everyone knows to find the last patron and check the item back out to her.

 

If the issue is resolved, we will go back to using the time-saving Action 
option.

The Set Item as Missing Pieces is such a cool feature - when there isn't a 
transit. We can go back to handling missing pieces the way we did with our 
previous ILS. Find the last patron to circ the item and check it out to him. 
Then we won't have to worry about transits.

We tried this for a few days. Staff wasn’t happy. We can’t just select the line 
of the bill to be paid. We have to put a check in a very small box. Is it 
possible to make the action of selecting the line of the bill also check the 
box? (We have changed the setting back to Check All Bills By Default. I am 
driving Blake crazy.)

have to deselect everything on the list that isn't getting paid.. And the blue 
highlighting makes it nearly impossible to see the check marks used to select 
items.

There's a setting for that. If you go to the Library Settings Editor, you can 
enable the "Uncheck bills by default in the patron billing interface" setting 
to have everything deselected when the bill is first retrieved.

We see enough errors with applying payments that I'm wondering if a different 
interface would work better.  We are on 2.10 and are using the XUL staff 
client.  The problem seems to be with the payment type dropdown.  For some 
reason the wrong options gets selected occasionally, and the payment is 
submitted with the wrong type.  I think the drop down is just hard for some 
staff to see, and the level of accuracy required to select the correct option 
is high.  Also, I suspect that the interface just has too much going on when 
you first look at it, and sometimes staff are at a loss on where to start the 
process.

 

Also, there is no confirmation step before the payment is applied.  I think a 
summary of the payment about to be applied would be useful for staff to double 
check the options that they have selected.  Another error we see is having the 
wrong items selected to pay the bills on, or more specifically not selecting a 
specific item when that is wanted, and going with the default we have set of 
all bills being selected.  This also might be helped if there was a 
confirmation process.

 

I've seen the interfaces that some POS(Point of sale) systems use and one style 
that I've seen used is to show all the payment options as a grid of buttons, 
with unique icons for each method.  I think this would be more touch screen 
friendly also, which isn't something that we use now, but with the web staff 
client there is more of a possibility of staff using devices with touch screens 
 to help customers.

 

So what if instead of the pay bill ui being on the bills page, there is a “Pay 
Bill” button at the bottom of the screen that brings up a separate interface 
for selecting the payment type, annotation, amount, etc, along with showing 
which items were selected and the distribution of payment on those items, and 
then a final confirmation screen?

canceled transit, but, in my testing, I found that I could check in the item 
with the canceled transit and then immediately mark it as damaged from the 
checkin screen. The system remembered the last patron and billed them (I have 
the library setting enabled that automatically bills a patron for a damaged 
item. Are you not seeing the same thing?

If an item is missing pieces, we have to go through several steps to set it as 
Missing Pieces. Cancel the transit, change the circulating library, sometimes 
make the item not holdable, then check it in.

if you have to change the circulating library, it sounds as if it's related to 
the way your permissions are configured. If you have this permission is set at 
the consortium level, you should be able to perform the mark missing pieces 
action on items from any library without changing the circulation library.

I believe in the current staff client you can scan the item into the checkout 
screen to update the item status (and to let the server know what physical 
location the item is currently at), and then you should be able to mark it 
damaged after that.

Thank you! I guess we can check it out to the last patron and make it Damaged 
from his items out screen -> show item details. We did create a Mending account 
to get around the transit issue for items needing mending. We just check them 
out to the Mending account.

 

If an item is missing pieces, we have to go through several steps to set it as 
Missing Pieces. Cancel the transit, change the circulating library, sometimes 
make the item not holdable, then check it in.

 

Will Webby make these extra steps unnecessary?

There's a setting for that. If you go to the Library Settings Editor, you can 
enable the "Uncheck bills by default in the patron billing interface" setting 
to have everything deselected when the bill is first retrieved.

We see enough errors with applying payments that I'm wondering if a different 
interface would work better.  We are on 2.10 and are using the XUL staff 
client.  The problem seems to be with the payment type dropdown.  For some 
reason the wrong options gets selected occasionally, and the payment is 
submitted with the wrong type.  I think the drop down is just hard for some 
staff to see, and the level of accuracy required to select the correct option 
is high.  Also, I suspect that the interface just has too much going on when 
you first look at it, and sometimes staff are at a loss on where to start the 
process.

 

Also, there is no confirmation step before the payment is applied.  I think a 
summary of the payment about to be applied would be useful for staff to double 
check the options that they have selected.  Another error we see is having the 
wrong items selected to pay the bills on, or more specifically not selecting a 
specific item when that is wanted, and going with the default we have set of 
all bills being selected.  This also might be helped if there was a 
confirmation process.

 

I've seen the interfaces that some POS(Point of sale) systems use and one style 
that I've seen used is to show all the payment options as a grid of buttons, 
with unique icons for each method.  I think this would be more touch screen 
friendly also, which isn't something that we use now, but with the web staff 
client there is more of a possibility of staff using devices with touch screens 
 to help customers.

 

So what if instead of the pay bill ui being on the bills page, there is a “Pay 
Bill” button at the bottom of the screen that brings up a separate interface 
for selecting the payment type, annotation, amount, etc, along with showing 
which items were selected and the distribution of payment on those items, and 
then a final confirmation screen?

board members. That number may be increased to seven or nine in the near

I believe the setting in question relates to holds that were never captured.  
There is an email notification in EG called "Hold Expires from Shelf Soon" that 
alerts patrons when their captured holds have been sitting on the shelf too 
long.

I did some digging, and that setting is indeed not currently used.
However, it was used back in the JSPac days, where it specified at what point 
in time to apply a CSS style to the My Account holds list to highlight hold 
requests that are about to expire. It wasn't carried over into TPAC.

I'll leave it to others to file a bug in LP to either remove the setting or to 
reimplement it in TPAC.

As a side note, I tracked this down by using the following Git command to 
identify commits that included the setting's code:

  git log -S "circ.hold_expire_alert_interval" --source

Currently the vote is 5/3 in favour of a new list. I am happy to wait until May 
5th to see if there is any further discussion on this topic.  Since this is the 
third time over the years that an Acquisitions specific list has been requested 
I strongly feel that we should go ahead and create the new list.
