 I use the same basic setup.  Its easier to restore only the docs and
 prefs to the disk after you have restored everything else with an
 image.

Keep in mind how Retrospect works (based on Eric's ASCIIart).

If you're already using disk imagine software (Mac or Windows) to roll out
computers, Retrospect only makes one copy of identical files. So, there's
only one copy of those files in the backup set -- and, if you install those
files locally to the backup computer, those files never have to be copied
across the LAN.

So, you don't have to limit the backups to the Docs folder.

 I was just looking through my log file and I notice that there are a lot
 of entries for a user that say that the user was deferred every
 4 minutes yesterday from 9:48am to 4:48 pm.
 
 I have seen this before with different users. 
 
 Does anyone know why this happens? What is going on?

Sounds like the user clicked "Defer" and then didn't enter a time.

 Apart from repeatedly badgering users to make sure Outlook is quit
 before having the backup run, is there any fix in the works for the
 Mac version of Retrospect to back up the "open" Outlook *.pst files
 when backing up PCs? ...

 Or is this something the PC version of Retrospect backs up
 correctly (like the Win2000 registry issue somebody pointed out a
 while back?)

If you run backups from a Windows box, you can tell the Retrospect Client to
exit Outlook 2000, start the backup, and then restart Outlook 2000.

One thing you can do for any client (and for any file, not just Outlook) is
to use autoexec.bat to make a copy of the file on start-up. It will slow the
start-up speed, but it will also ensure a good .pst file is available for
backup.

Checking the user option to leave mail on the server until filed/deleted
plus this type of backup will ensure no in-bound email is lost.

The key here: you have to think about Retrospect differently than Backup
Exec or ARCserve.

Retrospect tracks every file copied to each backup set. So, the first time
you back up, every file that matches your criteria is added to the set. The
next time you back up (assuming normal backups -- not new media or
recycle/full) only those files that are new or different are copied.

If you want to back up more than one disk (or more than one computer), the
process is the same. Retrospect looks at each disk to see what files are
unique and are required by the backup set to be complete.

So -- another answer to your question could be: you can store as many
different backups onto a single backup set as you want -- but by default,
Retrospect will only copy unique files to the backup set.

(If you want more than one copy of a file, use more than one backup set as
Irena mentioned below.)

Faster catalog matching (was RE: Anyone used Retrospect onmedium-large systems?)

  time.

 Hi again,
   I only received one response to the email below about 102
 errors disappearing after restarts...so if anyone else has any light
 to shed it would be appreciated. Since I posted we have found that if
 IE crashes (which it does extremely frequently on the backup) machine
 then we will always get the 102 error unless we restart first.
 However, this is not the only cause of the problem...

How do you know? Have you tried never running IE on the computer? If the
problem goes away after a restart, there's definitely something corrupting
your system over time. If the computer is a dedicated backup system, disable
all unnecessary extensions and control panels and don't run IE to see if it
happens again.

 ... when Retrospect gives us the 102
 error it assumes that the current tape cannot be used and asks for a
 new one next time the backup runs, even if the tape appears to be
 less than half full...

 So, is there any to force Retrospect to keep using that tape?

I don't know of a way to get Retrospect to append to that tape, but you can
certainly get Retrospect to use the tape by either setting the tape as
missing or erasing the tape. In either case, Retrospect will recopy the
files already on the media and continue to fill the tape.

RE: Backing up a remote site over DSL

 How feasible is it to backup a remote office over a DSL line?  A
 client has
 a backup server at their main office and a remote site with 3 Macs.  Each
 office has DSL.  Assuming we can get through the firewalls, and get static
 IPs at the remote site, is it just a matter of entering the remote IPs in
 the Client configuration window?  Has anyone tried this?

I do it, but it's slow.

I think the best way to accomplish the task would be to do a duplicate from
the source drive to a local drive, and then back up the local drive.

 I'd like to say that I am not knocking Retrospect in the very least.
 This discussion on compression started by a feature suggestion.
 Retrospect is the best backup software on the market.  I say that
 without hesitation because our department has tried at least 2 others
 and they quite frankly suck in comparison.


 My suggestion was _not_ to add software compression and get rid of no
 compression, 2:1, or hardware compression options.

 My suggestion was to add a feature that allowed greater compression
 at the cost of speed, but allow people to have a choice.

 Could someone techy from Dantz weigh in on this?

Wow -- where to begin?

1. Retrospect only copies unique files to the backup set, which does reduce
the amount of data copied to the backup set without reducing safety.
Typically, you can expect to only copy 70-80% of the data on a network,
depending on the numbers and types of computers and how they're used.

Our Snapshot technology then allows us to restore any computer on the
network exactly as it was -- even if some of the files did not originally
come from that computer.

2. Several years ago, when DDS-DC (DAT-1 with compression chip) drives first
came out, manufacturers had different claims for capacity. This caused great
customer confusion in the marketplace.

When DDS-2 drives arrived, Dantz sent a letter to all our tape contacts
informing them that, regardless of their marketing, we would only market a
2:1 compression ratio. Some agreed, others didn't. When customers contacted
us about the drives, we stuck with our belief that 2:1 was reasonable and
beyond that was a bit over the top. In addition, we worked with the media to
make sure articles reflected reality. For the most part, the strategy seems
to have worked. (No more "16GB!!" DDS-2 drives.)

3. Backup is all about time and space. If you had infinite time and infinite
space, you could always have everything backed up. Unfortunately, one has
neither infinite time nor infinite space. We have to make sure everything's
in balance. If we spent too many cycles getting slightly better compression,
our speed would suffer. While this may be OK for some folks, pushing the
balance too heavily towards either time or space could make a backup
application unmarketable.

(Note also that may tape technologies greatly suffer if data is not
continuously streaming to the drive. So, not only would time increase but
also it's likely that the amount of data the media could store would
actually *decrease* because of pad blocks caused by underruns of the media.

4. Retrospect doesn't control the built-in hardware compression chip, other
than to turn off compression or turn it back up. We take advantage of the
technology if it's there. Otherwise, we use software compression which is
generally slower and not as efficient. If your computer is too slow compared
to your backup device, you may actually be trading off speed for marginal
gains in compression. Again, check out tech note #305.

5. Retrospect must rely on loss-less compression. We cannot get the same
compression as an MP3, jpg, etc., because it would be unacceptable to lose a
single bit of, for example, your payroll database. If there's a slight
artifact in an MP3 or jpg, it's hardly noticeable. If there's an artifact in
your payroll database, the results would be unpredictable, which defeats the
purpose of backing up in the first place.

 your system's room.

 This really does work...honest. Before I would conjecture on what's
 happening at your site I'd like to ask you some questions.

 Like:
 1) what does the log say?
 2) do you have any error messages in modal/non-modal boxes (like backup
 failed with error "blah blah blah")?
 3) did you save the scripts?
 4) is your date/time correct? (you might want to go to AutomatedCheck to
 make sure your script is ready and AutomatedPreview to see when the next
 script is scheduled to run)
 5) do you have media in your drive and is it turned on?

 Pam
 P.S. The walkthrough starts on page 57 ("Creating the Script") of the
 manual and moves into "Executing the Script" further on.

It may also be useful to manually run the script to make sure it works
(assuming you did go to AutomateScripts and save a script).

To do this, click on the Run menu and pick the script you're testing from
the list. If your script isn't there, Retrospect doesn't know the script
exists.

RE: Can I add new files to a backup set's selector?

 I created a backup set based on a selector I built.  After I did the
 first backup to that backup set, suddenly I realized that, oops,
 there are more files I should have included in it.

 Can I now modify that selector, adding another condition to included
 the files I forgot to originally include, and then run an
 incremental backup on the backup set that uses that selector?  In
 other words, can I now run an incremental backup on that backup set
 with the modified, more inclusive selector, and Retrospect will now
 simply add those additional files to the set in the incremental
 backup, and all is well with the world?

Any backup set can include any files, so it's no problem adding more files
(or even different disks) to any backup set.

There are two ways I can think of changing the selector:

ImmediateBackup
Set Selecting to your selector
Click Preview (the original files should be marked)
Mark the files you want to add with a check
Now, highlight all the checkmarks
Save the highlights again to your selector

or

Mark the new files you want to include
Save the highlights to a new selector
Go to SpecialSelectors
Create a new selector that includes both of your selectors

 I've noticed that on a number of occasions when backing up my ASIP server
 (6.3.1) from another Mac, any connected users get shut out, although the
 server continues to work and the backup proceeds without a problem.
 What's happening? any advice gratefully received.

Just a guess (in other words, pretend I'm not with Dantz ;-)

Is the priority set all the way to the backup in the control panel? If so,
the Retro backup may be taking a lot of the bandwidth.

(Note, though: if you move the priority down, Retro will slow down.)

Duplicates will only copy files that are not already there.

The two options are to either make the destination look exactly like the
source (i.e., delete files on the destination that aren't on the source) or
just copy the files to the destination that are not there.

 each night. Can someone please give me a hint of the settings in

Launch Retrospect
AutomateScripts
New
Pick "Backup"
Call the script "Daily"
Click Sources and set your sources
Click Destinations and add your 5 sets (Mon, Tues, Wed, Thurs, Fri)
Selecting: All Files except cache files
Schedule:Add:Day of Week (OK)
Put a check box on "Monday",
   make Action "Recycle"
   (or Full if you have an older version of Retro)
   set To: to Mon
Repeat for each day of the week.

Having said that, why not just do recycle backups every 3rd of 4th week
rather than recycling every week? To do this, you would set the action to
"Normal" and then do another schedule for each day with a "Weeks" interval
of 3 or 4.

Also, this is the type of thing you should feel free to email directly to

Select your source and destination volumes if they're not already selected
Click Options
Click More Choices
Click Matching
Uncheck "Match source volumes to catalog"
Click OK

Now, just select the file you want to back up by clicking on Preview.

 A company mailed me with a deal on an onstream backup solution. What
 technology does onstream use? Is that the name of a backup tape + drive or
 a company that sell OEM backups...?? (DLT's for example.)

 The tapes were 25/50 and the drive handle 4 MB/sec.

 What are they talkig about!? ;-)

 Is it possible to encrypt/password protect the content on the backup
 media? I know that you can encrypt/password protect the network
 transfer from the clients to the server but what about the contents
 of the media?

When you create a new backup set, you can set encryption. Click on the
Secure button.

Note that if your tape drive has hardware compression and you want to
encrypt your backup set, the hardware compression will be disabled
(encrypted data cannot be compressed). Software compression, however, can be
used: first Retrospect compresses and then encrypts the data.

 Here's the stress then.. I need a copy of retrospect for each machine then
 right. Who's got that much scratch. plus I prefer to not have retrospect
 running on any of my servers (putting the client on there hurt). so hmmm
 looks like I'll still do it manually. Or maybe set-up an applescript
 (that'll take some research).

Retrospect Express is ~$49. Even I have that much scratch. ;-)

One thing to note: it's OK if the backup is interrupted. The next time the
notebook shows up on the network, Retrospect only copies what it doesn't
already have.

If the user wants to see if the backup is still happening (not how much is
left -- sorry), s/he can open the client control panel to see if it's "In
Use".

 HI there,

 I have just installed Retro in our network to backup our servers and the
 directors Powerbook G3 500's. Everything works perfectly and the powerbook
 backups over Airport are a network admins dream!. Good job Guys!

 What I did want to know though, is it possible to show a progress bar on the
 clients as they are getting backed up? I have had to set the client backups
 to run in the for ground because I ran into the problem of the laptops being
 taken offsite while the the backups were in progress.

 The only problem is, there is no way to find out how much time is remain on
 the backup without looking at the server itself.

 Is there any way around this?

We have several SONY TSL-SA300C AIT (1) Tape Library (Magazine holds 4
tapes).

Have been using them for over a year now and we are quite pleased with
the performance and reliability of the robotics and the tape mech itself.
However this solution is limited by the 4 tape magazine.

A few months ago I evaluated the Spectralogic TreeFrog AIT library and
found it to be a KILLER Hardware solutionWe will be transitioning to
this product in the next few months.

If I may make one suggestion:

Just to give yourself peace of mind, it's a good thing to do a "test 
nuke".  If you can, remove your working mirror disks from the server and 
them aside and grab a fresh HD and drop it in your server.  Totally 
restore it from a retrospect backup, carefully following the instructions 
in Ch9 of the user's manual.  If something goes horribly wrong, you can 
always drop your working mirror back in. 

Every couple of months we do "drills" on one of our test servers - we make 
one of our techs see how fast they can bring a server back from just a 
catalog and a tape.  It really keeps the stress level to a minimum when we 
*really* have to do a restore.

This is a great idea, Mark. I wish all our customers tested restores every once in a 
while. Not only does it keep the stress level down but also it allows you to discover 
holes (like having "private files/folders" turned on inadvertently on clients) that 
you might not otherwise find.

 I hope Retro will be able to tell a CLIENT to do something (like run a batch
 file). That would be REALLY helpful if I could turn off virus software to
 speed the client up...

... or tell a client to exit Outlook 2000 (since the other versions will back up
cleanly)...

 If I do a full backup of any ntfs parition with retro server 5 will the
 security/permissions of all files backed up be saved and restored if needed?
 I'm fairly confident it will, I guess I just need confirmation and
 assurance of the process from someone with experience of the process.

Absolutely!

However, I highly recommend you test your backups. It's always a good idea to
restore occasionally just to make sure everything's working the way you expect
it to.
