Structure too complex for TOC? Any tool or help out there?

I changed my EDD for a book I am working on, to show revision status
in the sidehead (in a single cell table for the background color) by
the chapter title and section headings.
The sections are level based and the formatting of Head changes with
the level, and I do not use paragraph tags for this.

However, what escaped me was that by inserting the set of elements to
read the chapter and section revision attributes between Chapter and
Title / Section and Head, I am no longer getting the title/head text
when setting the TOC up by section levels -- I have to call the Title
and Head in order to get the headings into the TOC.

In order to get things right, I have to copy by hand the Section
references and paste after the RevText, and then delete the marker the
Head line and then combine the two by deleting backwards the page ref
and tab in the Section line.

I know this could be scripted, but is there anyone out there that
knows of a different method that will not make things still more
complicated, maybe a plug-in that could handle this.

There are other manuals I would like to see in a similar way, and I
really think Adobe should consider allowing for more flexibility in
the TOC making in their next revision. After all, I just want the TOC
to call in some elements with reference and relation to a child,
sibling or parent.

IIRC, and if you are talking about an XML document, you have to set
the path (can be relative) with the file name.

I think you can use the same convention as in the last example. After
all, this is an URI.

Hope this works for you, but I am not quite sure I remember things
correctly. It is a long time since I have worked with XML.

I'll have a look at it when I get home. I got my XML books there.

From Framemaker to Trados: Superscript, subscript and italic

Is there any problems with getting superscript, subscript and italic charcters 
from Framemaker through Trados?
 
My manager wants to have to translate Framemaker files using Trados and he has 
heard that Trados cannot handle the above characters. Is that correct?

In my experience (over 11 years working with Trados) Trados can handle this 
with no problem. I have been working in the translation area (Layout) since the 
90's and using Trados for a large amount of that time. Your FrameMaker MIF file 
will contain Tags around Superscript, Subscript, Italic etc. In Trados these 
Tags so up and IF the translator maintains the Tagging you will have no 
problem. A Translator can override these by not placing them in, but Traodos 
will complain and the translator will have to say yes so that Trados will 
continue.

FrameMaker + SGML 6.0p405

We have a two-column table with columns named Field and Description, e.g.

Table
[Field][Description]

This table is in multiple books.

The names of two of the window fields that are listed in the Field 
column and described in the Description column of this table are named 
Folder Status and Description, e.g.


Table
[Field][Description]
Folder Statustext
Description  text

We are importing the descriptions of Folder Status and Description into 
the Description column cells.


The Folder Status text inset is a txt file. The imported text fills the 
cell. Folder Status text inset looks like this:


-- [top border of cell]
TXT text TXT text TXT text
-- [bottom  border of cell]

Good.

But the Description text inset, because it must have formatting, is a 
FrameMaker file. The problem is, when the FM file is imported into the 
Description cell, the imported text plus an empty line fills the cell. 
Description FM inset looks like this:


 [top border of cell]
FM text FM text FM text
[blank line]
 [bottom  border of cell]

What to do to eliminate the blank line?

Instead of:

!DOCTYPE TitleFile SYSTEM carmen.dtd

The correct public identifier is different than the one I show.  You
should know what the public identifier is for the Carmen DTD.  If a
system identifier is used in the XML instance then the system identifier
will be used in place of a public identifier in the application.

In your structured Applications file (structapps.fm) the public
identifier is mapped to a system location.  Something like this:

Public ID:  -//CarmenCorp//DTD Carmen//EN
Filename: $STRUCTDIR\xml\carmen\carmen.dtd

If you can change your Description text inset pgf tag so its pagination 
is Run-in Head, the blank will go away.


If you can't change that tag for some reason, then you can't make the 
blank go away, but you can make it almost invisible. Before importing 
the inset, create and apply a pgf tag for the Description cells that 
specifies a font size of 2 pt, and then play with the Bottom Margin 
setting on the Table Cell tab of the pgf designer until you get the 
result you want.

It doesn't work like the plain text import because you're bringing in an
FM paragraph object, complete with its carriage return, space below,
etc. A text inset has a text location, which is the existing pgf in the
cell. So you end up with at least two pgf objects -- one or more in the
text inset, plus the one that contains the text inset.

Stuart just now beat me to the run-in head solution. So I'll add one
caution to his second solution. Actually, it's something you should
always do when using FM-source text insets: Make sure there is something
-- text or a space -- between the text inset and the end of the pgf into
which you import it. 

It's an annoying FM bug: If the text inset is the only thing (or last
thing) in its container pgf, the container pgf takes on the pgf format
of the first pgf in the text inset. If the text inset starts with a big
heading, this causes some serious spacing grief.

I made a 2pt pgf tag and used it. But how do I use the Bottom Margin 
setting to reduce the empty space further? The setting is 0.0 pt. I can 
increase the gap but I do not see how to reduce the gap. I tried a 
negative number, -10.0 pt, without effect.

Sorry, my answer wasn't fully fleshed out...

In the Table Designer, reduce your Bottom cell margin by 2pt. (E.g., the 
default is 4pt; change that to 2pt.)


For the cell pgfs containing the insets, on the Table Cell tab of the 
pgf designer, set the Bottom margin to From Table Format plus 0.0.


For your other cell pgfs, on the Table Cell tab of the pgf designer, set 
the Bottom margin to From Table Format plus 2pt.


That should even everything out.

Numbering changes went smoothly, thanks!

Art, Steve,

thank you for your help and answers to my numbering questions. Changing 
the outline, as well as the numbering of figures and tables was 
surprisingly easy. I was really worried that I'd screw up all my 
paragraph styles. Especially, since I often read on this list how 
people have difficulties with inconsistent settings in the book and its 
documents. Yet introducing $volnum and $chapnum was painless, and I 
needed only to fix a few tags. The numbering issue with anchored frames 
became obsolete as soon as I changed the numbering of figures and 
tables to include the chapter, and to restart numbering in each file.

(1) This book has a numbering issue with anchored frames.
The numbering setting  is to continue the numbering from the previous
paragraph in the book, and it is consistent in the book and in each
document. However, this does not work when the first occurrence of the
paragraph happens to be in an anchored frame. In that case Frame
stubbornly restarts numbering for that paragraph / tag, and it happens
for paragraphs containing any numbering tag. As soon as I enter the
same paragraph format in the flow (somewhere before the anchored 
frame)

the numbering continues correctly. Any ideas or workarounds?


Anchored frames are outside the main flow. The easiest solution is to
number outside them.




(2) In addition, I'd like to make a number of numbering changes. Maybe
these changes should be done first, because it includes restarting the
numbering in each chapter, which could make the issue detailed above
obsolete. However, I'm not sure if there is any order in which I 
should

tackle these changes. I'm particularly uncertain if I'm missing
something about numbering definitions of the book vs. numbering in the
paragraph format that could get me in trouble.

— Introducing Parts should be the easy part:
Part I: Chapters 1 to 3
Part II: Chapters 4 to 6
Part III: Chapters 7 to 8
I was planning to create a new paragraph tag and to include that in

Yes. I'd use the $volnum variable and control it in the book file.

empty brackets in the auto-numbering format,

Make sure to use a different numbering track, not A: and you should be 
fine.

You could also set this up at the book level, really the preferred
method, using the $chapnum or $volnum variables instead of your
active counter.

Please note that I have multiple paragraph tags for Figures and 
Tables,

so there are 2 numbering tags but 5 paragraph tags in total: Figure,
FigureWithSource, TableTitle, TableTitleWithSource, and another
paragraph tag for the Figures  that are split into panels. The 'with
source' paragraphs have a different spacing, ruler and 'next 
paragraph'

property, because they are followed by a paragraph indicating the
source. However, they are using the same numbering tag, so there are
only 2 numbering  tags, one for Figures and one for Tables. Also, the
paragraph tag for split Figures with panels numbered 1a), 1b) uses the
same numbering tag. However, these  panels are not included in the 
List

of Figures. The caption for the whole figure that gets into the LOF is
either a paragraph Figure or  FigureWithSource.
Again, the goal it to change the numbering to Chapter—Figure  or
Chapter—Table,  respectively. I guess that I can handle that with the
correct structure in the  empty-brackets-approach, where Figure and
FigureWithSource have to use the same item in the list. To get the
'Figures with panels',  I'll probably need another item in the
structure. Again, the question is whether there is a better way of
doing this, using the chapter numbering definition in the book? Is it
possible to use a variable definition like $chapnum in the
auto-numbering of a paragraph tag?


Sure, use $chapnum for this -- that's what it's designed for. But it
would only replace the set of brackets you're using for chapter
numbering.

Setting the numbering at the book level and using the $chapnum and
$volnum variables would be the easiest way to do it. If you have to
redo tags, you'd just import the new formats into multiple files at
once,

A recent posting suggesting the use of the volume number as a solution caught 
my attention, and may also help me to resolve a similar situation I have. 
However, one thing I also do in my guides is put the section title in the 
footer of each chapter within that section. Can anyone suggest a way in which I 
could make that section title a variable such that if I moved the chapter to a 
different section (or I import my page layouts/variables from one chapter to 
the other 20... ), the section (or volume) title would also be correctly picked 
up, via the volume ID?
 
For instance, in a guide I'll have these individual documents

about this manual
TOC
Section 1 intro
chap 1
chap 2
chap 3
Section 2 intro
chap 4
chap 5
chap 6
 
and so on... so in the footer of my chapter 1, 2 and 3 pages, I'd like to 
include not only the section number, but the title of that section. 
 
It's late on a friday, so if you find this incoherent, I'll not be surprised!

Frame 6 crashes on WinXP with edited fmdlg.dll file

Hi folks

Just posting this in case anyone else has had the same problem.  I 
received a new PC late last year and had to reinstall all my software, 
updates, patches, etc.  I also changed at this time from Win2k to 
WinXP.  I duly installed Frame 6, plus the updates for 405 and XP, plus 
my own customisations (keyboard shortcuts, maker.ini, plug-ins, etc).  
All was well until last week when I tried to open a Frame file with 
missing referenced graphics.  I selected to skip the graphics, and Frame 
crashed.  To cut a long story short, I uninstalled Frame, then 
reinstalled it, making sure I did install the 405 and XP patches, then 
installed my customisations.  I then tried to open the same file and got 
the same result - Frame crashed. 

At this point I remembered that after the first crash, I thought I might 
have forgotten to install the XP patch after I got the new PC.  At that 
point I tried installing it again, and it came up with an error about a 
file not being as expected.  I was pretty sure the file it mentioned was 
fmdlg.dll, so I then suspected that the crash might have happened 
because I have edited fmdlg.dll to increase the size of some dialogue 
boxes (using Resource Hacker).  I replaced my edited fmdlg.dll file with 
the original file and opened the Frame file with missing graphics 
again.  I chose to skip the missing files and it opened with no 
problems.  I went back to my edited fmdlg.dll file and Frame crashed.

I've chosen to keep my edited fmdlg.dll file as the expanded dialogue 
boxes are very useful.  But now I know I can change back to the original 
if I need to open a file with missing graphics.

Has anyone else encountered this problem, or know of a way around it?  
Is it fixed in Frame 7?  I presume not many people have hacked around 
with the fmdlg.dll file, so I may be the only person to come across this 
problem?

Hyperlink marker gotcha to be aware of

**BUG**
Hypertext markers in generated files with long strings crash FrameMaker 
7.0p578, 7.1p114 , 7.2p158

Steps to reproduce bug:
 1. Create a book with a number of components, including a test-target 
file which is nested deeply in folders so that its relative pathname from 
the *.book file's folder exceeds 143 characters.
 2. Apply a custom condition format to some text in this file.
 3. Generate an index of condition tags with Hypertext markers added to 
entries.
 4. Ensure the test target file is closed.
 5. Open the index of conditions generated file and Ctrl-Alt-click the 
entry pointing to the test target file. FrameMaker crashes.
 6. Choose File > Open and open the test target file.
 7. Repeat Step 5.  FrameMaker crashes.
 Results:
FrameMaker crashes as described above.
 Expected results:
The test-target file should open and display the hightlighted condition 
format. Other Hypertext markers with instruction strings less than 143 
characters do not crash FrameMaker. 
 Comment:
The fact that three versions of FrameMaker crash, and the test-target file 
can be opened in the normal fashion in all three suggests that the file is 
not faulty but that somehow a bug is provoked by an instruction string in 
Hypertext markers that is longer than approx. 143 characters.  One would 
expect that an attempt to create an instruction string longer than 255 
characters would provoke a crash or other unexpected behaviour but the 
string length is well short of this well-known limit.

Structure too complex for TOC? Any tool or help out there?

I changed my EDD for a book I am working on, to show revision status
in the sidehead (in a single cell table for the background color) by
the chapter title and section headings.
The sections are level based and the formatting of Head changes with
the level, and I do not use paragraph tags for this.

However, what escaped me was that by inserting the set of elements to
read the chapter and section revision attributes between Chapter and
Title / Section and Head, I am no longer getting the title/head text
when setting the TOC up by section levels -- I have to call the Title
and Head in order to get the headings into the TOC.

In order to get things right, I have to copy by hand the Section
references and paste after the RevText, and then delete the marker the
Head line and then combine the two by deleting backwards the page ref
and tab in the Section line.

I know this could be scripted, but is there anyone out there that
knows of a different method that will not make things still more
complicated, maybe a plug-in that could handle this.

There are other manuals I would like to see in a similar way, and I
really think Adobe should consider allowing for more flexibility in
the TOC making in their next revision. After all, I just want the TOC
to call in some elements with reference and relation to a child,
sibling or parent.

the path (can be relative) with the file name.

from Framemaker through Trados?

My manager wants to have to translate Framemaker files using Trados and he has 
heard that Trados cannot handle the above characters. Is that correct?

In my experience (over 11 years working with Trados) Trados can handle this 
with no problem. I have been working in the translation area (Layout) since the 
90's and using Trados for a large amount of that time. Your FrameMaker MIF file 
will contain Tags around Superscript, Subscript, Italic etc. In Trados these 
Tags so up and IF the translator maintains the Tagging you will have no 
problem. A Translator can override these by not placing them in, but Traodos 
will complain and the translator will have to say yes so that Trados will 
continue.

We have a two-column table with columns named Field and Description, e.g.

This table is in multiple books.

The names of two of the window fields that are listed in the Field 
column and described in the Description column of this table are named 
Folder Status and Description, e.g.

We are importing the descriptions of Folder Status and Description into 
the Description column cells.

The Folder Status text inset is a txt file. The imported text fills the 
cell. Folder Status text inset looks like this:

Good.

But the Description text inset, because it must have formatting, is a 
FrameMaker file. The problem is, when the FM file is imported into the 
Description cell, the imported text plus an empty line fills the cell. 
Description FM inset looks like this:

 [blank line]
 [bottom  border of cell]

What to do to eliminate the blank line?

The correct public identifier is different than the one I show.  You
should know what the public identifier is for the Carmen DTD.  If a
system identifier is used in the XML instance then the system identifier
will be used in place of a public identifier in the application.

In your structured Applications file (structapps.fm) the public
identifier is mapped to a system location.  Something like this:

Public ID:  -//CarmenCorp//DTD Carmen//EN
Filename: $STRUCTDIR\xml\carmen\carmen.dtd

If you can change your Description text inset pgf tag so its pagination 
is Run-in Head, the blank will go away.

If you can't change that tag for some reason, then you can't make the 
blank go away, but you can make it almost invisible. Before importing 
the inset, create and apply a pgf tag for the Description cells that 
specifies a font size of 2 pt, and then play with the Bottom Margin 
setting on the Table Cell tab of the pgf designer until you get the 
result you want.

It doesn't work like the plain text import because you're bringing in an
FM paragraph object, complete with its "carriage return," space below,
etc. A text inset has a text location, which is the existing pgf in the
cell. So you end up with at least two pgf objects -- one or more in the
text inset, plus the one that contains the text inset.

Stuart just now beat me to the run-in head solution. So I'll add one
caution to his second solution. Actually, it's something you should
always do when using FM-source text insets: Make sure there is something
-- text or a space -- between the text inset and the end of the pgf into
which you import it. 

It's an annoying FM bug: If the text inset is the only thing (or last
thing) in its "container" pgf, the container pgf takes on the pgf format
of the first pgf in the text inset. If the text inset starts with a big
heading, this causes some serious spacing grief.

Eliminate blank line?

I can see that Run-in Head would be my solution if the FM files that I 
want to import were simpler.

I made a 2pt pgf tag and used it. But how do I use the Bottom Margin 
setting to reduce the empty space further? The setting is 0.0 pt. I can 
increase the gap but I do not see how to reduce the gap. I tried a 
negative number, -10.0 pt, without effect.

Sorry, my answer wasn't fully fleshed out...

In the Table Designer, reduce your Bottom cell margin by 2pt. (E.g., the 
default is 4pt; change that to 2pt.)

For the cell pgfs containing the insets, on the Table Cell tab of the 
pgf designer, set the Bottom margin to From Table Format plus 0.0.

For your other cell pgfs, on the Table Cell tab of the pgf designer, set 
the Bottom margin to From Table Format plus 2pt.

That should even everything out.

Numbering changes went smoothly, thanks!

Art, Steve,

thank you for your help and answers to my numbering questions. Changing 
the outline, as well as the numbering of figures and tables was 
surprisingly easy. I was really worried that I'd screw up all my 
paragraph styles. Especially, since I often read on this list how 
people have difficulties with inconsistent settings in the book and its 
documents. Yet introducing <$volnum> and <$chapnum> was painless, and I 
needed only to fix a few tags. The numbering issue with anchored frames 
became obsolete as soon as I changed the numbering of figures and 
tables to include the chapter, and to restart numbering in each file.

Again thank you for the tremendous support on this list.

Bodvar,
   I'm guessing that you used to request that TOC entries be created from 
the Chapter and Section elements. When these elements began with a Head, it 
was actually the Head of the selected elements that appeared in the TOC.
   Am I correct? If so, the explanation is that when an element contributes 
to a generated list such as a TOC, it is information from the first 
FrameMaker paragraph in that element that goes into the generated list. 
Since your heads are always separate paragraphs, you can select a Chapter 
or Section and their heads will appear in the TOC.
   You have now changed the content, however, so that the Head is no longer 
the first paragraph. You can still set up the TOC to generate the correct 
entries, but you'll have to select the Head elements themselves. Since you 
probably want to distinguish entries for Chapters from those for Sections 
(and perhaps only select higher-level Sections), the technique is to change 
the EDD to that it assigns context labels to Head in various contexts. You 
can then select the appropriately qualified Head elements for your list.

volume numbers and volume titles

hi,

A recent posting suggesting the use of the volume number as a solution caught 
my attention, and may also help me to resolve a similar situation I have. 
However, one thing I also do in my guides is put the section title in the 
footer of each chapter within that section. Can anyone suggest a way in which I 
could make that section title a variable such that if I moved the chapter to a 
different section (or I import my page layouts/variables from one chapter to 
the other 20... ), the section (or volume) title would also be correctly picked 
up, via the volume ID?

For instance, in a guide I'll have these individual documents

Cover page
about this manual
TOC
Section 1 intro
chap 1
chap 2
chap 3
Section 2 intro
chap 4
chap 5
chap 6

and so on... so in the footer of my chapter 1, 2 and 3 pages, I'd like to 
include not only the section number, but the title of that section. 

It's late on a friday, so if you find this incoherent, I'll not be surprised!
