If you put all the PDF's into one directory, Acrobat Reader has an option to search across multiple documents in a specified directory. In the search window, look for the "Where would you like to search?" section and select the "All PDF documents in" option. 6. Save every E-mail that you send or receive if it's not archived somewhere else (e.g. the arslist archives). Then use a free desktop search product from Google (http://desktop.google.com/), Copernic (http://www.copernic.com/) or others when you "seem to remember that topic coming up previously". Creating archive folders and occasionally moving blocks of E-mail into them (e.g. I create one folder per month for inbound E-mail and one folder per quarter for outbound) can help keep your online Inbox smaller.
