I use a multi-folder approach like yours, although I don't have the "index"
level ("A to C" and so on), just a long list of names. I manage it in a
number of ways; no one seems to be just right for every circumstance.
1. Primarily, I use the Custom View as Paul suggests. In my case, I have
three custom views set up: one for just Unread Mailing list mail, one for
"Important Mail" which is from a subset of work colleagues and my spouse and
family, and a third for all other unread mail (excluding newsgroups in all
of them). I would encourage you to learn about Custom Views. All they are is
an "Advanced Find" that, once you have it set up just as you like, you save
with a name. And, after saving it, if you decide you want to tweak it, you
can edit it and change your criteria.
2. My second method is using the "Folders with unread mail" popup that you
can see by Control-clicking on the "Mail" icon at the upper left of the main
window. It lists all the folders with unread messages, along with a count of
how many unread there are. This is the quickest way to see, "Do I have
anything new from Charize Theron?" If her folder is in the list, there is a
message. (Alas, it never shows up!)
3. For the filing side of things--messages that drop into the IN box that I
want to sort out and file in other folders--I have an Applescript I
developed called "File Msgs in Folders". It depends on the way I name
folders. I try to avoid having any two folders with the same name, even if
they are subfolders and would not conflict, because my script builds a list
of all folders and <sorts> it based on the lowest-level folder name. So you
might see folders listed such as "Robert:Contacts" and "Diane:Contacts",
where "Contacts" is the top-level folder. Identical folder names <could> be
used, because the parent folder names would differ: "Robert:Contacts" and
"Robert:Office" would be all right, for instance. The script works like
this:
A. Select one or more messages.
B. Run the script.
C. It prompts me to type in the first few letters of the folder name, e.g.
"rob" for "Robert".
D. The full list of folders pops up, with the first name matching "rob"
highlighted; since nearly all my names are unique this is almost always
exactly the folder I want. If not, I just scroll to the one I want and
select. But Step C saves a huge amount of scrolling time, since I have over
100 folders.
E. Tap return, and all the messages selected move to the chosen folder.
I will make sure that the current version of the script, tested for
Entourage v. X, is on my scripts web site (URL below). Look in "Entourage
Scripts:Message Operations:File Msgs in F :".
