MS Word Numbering (was RE: FrameMaker uses)

I highly recommended using Sequential fields for numbering in Word. Read 
the one page in Word's help on Sequential fields. Then use the Tech-Tav 
macros (free) to quickly insert them.

Offtopic: Questionnaire about documentation

Users don't want to read the manual, let alone read and complete a 
questionnaire.

My advice is to keep it short. Enclose a self-addresses post card with 
one or two questions and an area where to write any comments that they 
have on the manual, including errors and things that were insufficiently 
explained.

Reasons for using graphic and table anchor tags

It's always a good idea to tag content well. It allows you to search for 
similar content, which can be a big time saver in each future version of 
the manual. Also, the convenience of being able to easily search for 
similar content tends to improve the consistency in the manual.

Flare's main advantage is it's topic-based single sourcing capabilities, 
like AuthorIt and maybe structured Frame. If you could benefit from a 
real single-sourcing tool than it's something to consider, but from what 
I hear there is a learning curve.

These are my impression from what I've heard about them. I have not 
actually used Flare or structured Frame.

File Comparison Tool

Is there a reliable file comparison tool out there that I can use to 
compare versions of a manual, either Frame books or PDFs. I need 
something that will not get confused when there are large deletions or 
reorganization. Is Acrobat's comparison tool reliable enough for this?

that works on text files to change the path? Notepad++ has a global

One more question about sharing FM files

In the footer, is it better to use a variable for the book name or 
hidden conditional text.
Conditional text seems better in the sense that there probably are other 
things in the chapter that are conditional, but I've heard there is a 
limitation on the amount of conditional text types you can have.

What do most people do for this?

   It's seems like there are to basic methods for the headers and footers and
   different product names:
   1 - To have one set of variables, and when working a book, apply a specific
   template to all the files with the correct variable definitions. This option
   would not require conditional text for the product name, just for sections
   that apply only to specific manuals.
   2 - To have several variables, one for each product name. Put them all in
   each header or footer, and apply conditional text to each one.
   I originally was thinking of using option 1, but it seems pretty simple and
   stable to import only the variables from a separate file maybe called
   Template.fm, to all the file in the book (option 2). So I could have a
   variable called Footer and import the correct variable formats for each book
   before printing.

Shared files

When using shared FM files, what you do when you have a cross-reference
within a shared file to a chapter that is not shared. The same
cross-reference will reference a non-shared file from book A and another
non-shared file in book B. Does this present a problem? Can I use
conditional text for the cross-reference? Will I get unresolved
cross-reference errors?

There is a simple solution that was provided by Art in a previous email:

Right click in the first row of the table. Select Table.
Select Add Rows or Columns.
Specify 1 Row and in the Pull-down, To Heading.
Click Add.
Type, don't copy, the text that describes the columns and which you
wanted repeated when the table breaks to a new page.
Save.

Copy into document graphics vs. Import by Reference

If you keep the graphics in a separate folder within the folder that 
contains the FM file, the refereed file has a relative path. So if you 
want to pass it around, all you have to do is zip the entire folder 
including the graphics folder, and it should be fine on other people's 
computer. Of course have to be inserted after you place them in the 
subfolder.

Missing fonts can lurk in lots of unexpected places that cannot be
found with a simple Find operation. For example, Find only searches
the current view--typically the body pages. To search the master
pages and the reference pages, you have to switch to each of
those views before initiating the Find. The font(s) may also be
specified in paragraph formats or character formats that you don't
actually use in the document. And then there are the obscure
places, like embedded graphics (no way to search those) and in
table formats (one must remember that each table format embeds
the formatting of the title and of each cell in the heading row,
footing row, table title, and first body row, even if those formats
are no longer defined in the paragraph catalog or character catalog.

When you open a file that has missing fonts, the substitution
normally only applies to the screen display--the original font
specifications remain intact in the file itself when you close or save
the file. But there *is* an option in the Preferences dialog that
changes this behavior. It's called "Remember missing font names"
and it is turned on by default because it is normally a very good
feature (particularly if you are working on files that have to move
back and forth among Windows and UNIX or Mac platforms). If
you disable that option before opening a file with missing fonts,
FrameMaker will display a different message upon opening, one
that ask you to confirm that you wish to make a permanent font
substitution. If you confirm and open the file, the file's format
definitions will be updated as necessary, and if you then save
the file you make those substitutions permanent. When you're
don, remember to turn the "Remember..." preference back on,
because it really ius a good thing.

But you should note that this process may or may not make the
substitution in each and every place where a font may lurk. In
some cases, the only way of completely eliminating a missing font
is to save the document as MIF and do a Find/Change for the
missing font name(s) in the MIF file, which is in a text rather
than binary format.

Dang Extra Pages!

While we are on the topic, I noticed that there are different options for:
Format > Page Layout > Pagination > 1st Page Side
when you select the chapter in the book than when you select this menu 
option with the chapter open.
When the chapter is open, you only get Right and Left options.
When you select the file in the book, you get 2 additional options:
Read from File and Next Available.

Do the settings that you select when you select a file in the book 
override the setting when the book itself is open?
It's also interesting that this menu option is not available when you 
select the top level of the book, only when you select one or more 
chapters in the book.

Mif2Go won't create graphics

Try ZipGenius. After installation, select the files in Windows Explorer, 
right-click, go to ZipGenius, then select the middle option. It zips all 
the files and leaves the zip in the current directory, so you know where 
it is. It's freeware.

Text Inset Problem

original formatting and it's still the same problem.

(However, since copying-and-pasting directly from Word usually
necessitates paragraph retagging anyway, this does not add that much
more to the process...) More time consuming, but safer, in my
experience. I haven't tried Jeremy's plugin yet.

I've found an interesting solution to the inadvertent "Change All" 
problem in FM. You can shorten the Find dialog box on the right side, so 
that the "Change All" button is hidden.

FrameMaker Conditional Text Question

I have three manuals that are mostly identical, Manual A, Manual B and 
Manual C (for example).I have 3 conditional text tags named A,B and C. 
When I print, I will need to able to show only A, B, or C, to get the 
features for that book.

The problem is that some features apply to both A and B, some only to A, 
some to B and C. How do set up the conditional text to handle this?

When I marked text as A and as B, and then I showed only A, the text 
disappeared. This is not the desired result. So it seems like I will 
have to create additional cond text tags called "AandB," etc. Is this 
correct? Is there an easier way to do this?

FrameMaker Conditional Text Question

Apparently I made a mistake in my original post. When I tried a second 
time to mark text as both A and B, and then show only A, the text did 
not disappear.

So this solves the problem. Text that appears in both A and B manuals, I can 
mark as both A and B, then when I print Manual A I can select to show only A 
text.

HovText looks useful, Steve, thanks for the link. But does it acually
work for copying and pasting strictly within FM (which uses its own
internal clipboard, not the Windows clipboard)?

Or is it strictly for Windows clipboard operations, such as pasting
something from another application into FM (which the maker.ini setting
controls)?

FrameMaker, Missing fonts

I have a FM file that uses unavailable fonts. The FM message is:

The "CenturySchoolbook,Italic Italic" Font is not available.
  "Times New Roman Italic" will be used in this session.

There is not Times New Roman Italic in the font list, so I searched for 
the "Times New Roman" font and replaced it with another font.  
Unfortunately, I still get the same message. Any ideas? It won't let me 
update the book this way.

possibilities. After searching for the font that Frame used as a 
replacement and not finding it. I figured it couldn't hurt to turn off 
"Remember Missing Fonts" temporarily.

I've started to use conditional text for different drafts. Each draft is 
a different color, all are underlined. I have a separate template which 
only has those conditional text defined, so I can apply that template 
without interfering with other conditional text. The PDF will the colors 
(or if you have a color printer). All of them can be spotted on a black 
and white printers by the underline.

Heading with autonumber and square bullet

Here's a previously posted reply:


If you don't want to mess with character codes, set your desired bullet
font as a character tag (for example, Dingbats, Wingdings) and use the
character tag in the Automnumber field. This way you can merely use the
letter that corresponds with the character in the bullet font that you
want. For example, the letter 'N' equates with the large square in Zapf
Dingbats.

You can also use this method to set a different font size for the bullet
if you wish, although you may get baseline alignment problems. There is
a MIF hack for this which I forget but which has been documented here
before.

Using Conditional Text in Books

You can change the show hide settings at the book level. I think you can 
also import the conditional text settings to several books at a time. 
But it will only add the new conditional text tags, it won't delete the 
extra ones. When importing, only import the conditional text settings. 
When you import more than you need to, you can mess other things up.

FM 7.1 Compatibility

Strange.

I find importing Visio files as OLE objects (from Visio 2000 to FM 7.2) 
to work just fine. When I try to File>Insert>File (by reference) it 
doesn't recognize the Visio file format, and Visio is not in the list. 
Perhaps my version of Visio is too old.

If it doesn't support right to left, I saw a set of fonts advertised 
that claim that they add right to left functionality. Perhaps that will 
work for Frame.

Conditional Text Question

I don't understand why you have three files for each book. Why can't you 
have one file for both books and mark the text which should only appear 
in Version 1 as "Version1" and mark the text which should only appear in 
Version 2 as "Version2." The rest of the text should not be marked as 
conditionalized. You can mark an entire table or a table row.

You can select which conditional text to view (which also affects 
printing), and whether to show the conditional indicators (the color or 
style you used for the conditional text).

FrameMaker graphics question

I'd like to insert a graphic on the cover page that covers the entire 
page, then write text on top of it.

I inserted the graphic on the master page, but I don't see it on the 
body page.

Any ideas?

I planned on inserting the large graphic on the master page and the text 
in text boxes on the body page. Is that the right way to do this?

Shortcuts not working

I often have a problem that my Windows shortcuts stop working in Frame, 
CTRL+C, CTRL+V, CTRL+P, etc. (The ESC shortcuts keep working when this 
happens.) Also, when these shortcuts stop working, when I press SHIFT + 
an arrow key to select a letter, it selects two letters instead of one.

If I close Frame and reopen it, it usually helps.

linking to large unsorted para lists

This is one of FrameMaker's biggest annoyances, that there is no sorting 
order to the list of paragraphs when inserting a cross-reference. 
Meaning if you select "Heading 1," all the Heading 1's are listed, but 
they are not in alphabetical order and they are not in the order that 
they appear in the document. For some reason they seem partially in 
order, but not completely.

It would make things much faster if you had the option to sort 
alphabetically or by the order in the document.

Can a single footnote be used by more than one reference?

OT: PDF Compare

They should try changing the comparison options. The is a lot of 
flexibility in the options, but as usual with Adobe products, they are 
not very intuitive. Meaning, it's hard to figure out from the 
descriptions in the GUI.

One set of options shows differences based on the appearance in the doc, 
even if the text matches. So if in one doc the line spaces is larger 
than the other, everything will be marked a s a change. The other option 
is based on text differences.

Flare vs Frame

Flare is a full-blown single sourcing program, something like Structured 
Frame, and includes online help output. It's more complicated to use, 
but might be more powerful. I never used it.

You have to take into account that the downside to using more complex 
and less popular programs is that the company you are working for would 
be stuck with getting writers that know that particular tool.

Frame is a nice compromise of a relatively easy tool to learn, very 
popular and very powerful.

Historical FrameMaker upgrades

Most programs have a limit to how old your previous version can be and 
still upgrade. One Adobe saleperson told me they usually let you upgrade 
for about 4 new versions, but it's better to be safe than sorry. I 
upgraded from 7.2 to 9, just in case they wouldn't allow me to upgrade 
past 9.

FrameMaker10 and FrameMaker Server10 released in the market!!

I see Adobe has really raised changed their upgrade policy. They used to 
let you upgrade for $399 from any of the last few versions. Now it's 
only from the last version, Frame 9. From Frame 8 it costs more to 
upgrade and from 7.2 you can't even upgrade!

OT: Wireless headset

Bluetooth is the best option if you already have bluetooth in your 
computer. If not, the standard wireless mouse or keyboard comes with a 
piece that you plug into your computer that transmits, and has nothing 
to do with bluetooth. They probably make headsets with the same thing. 
The downside is that you have to keep that little piece plugged into 
your USB port, although they are stating to make the piece very small 
sometimes.

By Adobe changing their upgrade policy, to *not* allow upgrades for a 
few version back, they essentially have raised their price a lot for 
those who want to stay even somewhat current.

You used to be able to upgrade every three versions without a problem. 
Now you have to upgrade *every* version to get the $400 upgrade price. 
Essentially they raised their upgrade price 300%!

You really have to wonder whether we should be looking a for a cheaper 
solution. FrameMaker is a good program, but is it really worth the price?

How to replace curved apostrophe with straight apostrophe?

For open and close quotes to straight quotes: type a straight quote in 
the document (by turning off smart quotes), then copy/paste the straight 
quote into the replace box. I just tried it and it works.

Curved apostrophe to straight apostrophe is a bit tricky since after 
turning off smart quotes you still get a curved apostrophe. I suspect 
that there is no separate character for a straight apostrophe. You might 
have to apply Courier New to get a straight apostrophe.

If I'm wrong, hopefully someone will correct me :)

Hi,

Thanks you for asking for feature requests.

Here are the features that I would like:

- In the Find/Change dialog box: I would like a drop-down list with that 
last 5-10 things that I searched for. Many text editors have this, and 
it's a great time saver.
- In the Find/Change dialog box: I would like the search text to be 
highlighted when I press CTRL+F, so that instead of having to click in 
the text box, erase the previous text and type new text, I could simply 
press CTRL+F, type the text and press ENTER. The Find/Change dialog box 
is very frequently used when authoring and editing documents and these 
improvements would greatly increase the speed at which one could edits 
Frame docs.
- In the Cross-reference dialog box: When I select a Paragraph tag, I 
would like the list of Paragraphs to be in order. It seems that they are 
supposed to be in the order that they appear in the document, but it's 
not consistent. If it's too hard to automatically keep them them in 
order, I would like a button that I could click to reorder them, even if 
I would have to wait for the reordering process to take place. It would 
be even better if I could choose to order the list by the order of their 
appearance in the doc or in alphabetical order.

Verma on Educational pricing

FrameMaker pricing has been going way up since version 10, when they 
started charging $400 to upgrade only ONE version. At one point there 
was a rumor that FrameMaker was being put out to pasture. Now it seems 
they are just pricing themselves out of the market.

FNTCACHE.DAT missing

I used to delete FNTCACHE.DAT to help prevent FrameMaker from crashing, 
but ever since I switched computers I can't find the file. I search the 
entire C drive and nothing shows up. I have hidden files and operating 
system files visible. I'm using a Windows 7 64-bit computer.

Any ideas?

OT: Windows 7 operating systems, Windows Explorer failing to display files

I had that for a while. You forgot to mention whether you have a 64-bit 
computer. I think the problem by me was when I transferred a file using 
a 32-bit program. Windows Explorer, which I assume is 64-bit on a 64-bit 
OS, didn't always display the file. I haven't noticed in a while, so 
maybe a Windows update took care of it.

"Use Condition Indicators setting is inconsistent"

It means one of two things:

1. The conditions that are *selected* to be viewed in each file are not 
the same throughout the book. (Even if you do not apply the conditions 
to any text, there still can be conditions defined in the file.)

2. You have conditions that are defined in some, but not all, files.

Rucksprung durch Technik: reverse hyperjump key?

If you press ESC, v, P it takes you back to the source location as long 
as the source and destination are in the same file. If source and 
destination are in different files you just go back to the source doc 
and you should be in the same place, as long as the file didn't close.

Does anyone know why sometimes when you click on a cross-file 
cross-reference the source file closes and sometimes it does not close?

I edited the *cmds.cfg* file to add an easier shortcut, ESC, b, b
Mine is located at:
C:\Program Files (x86)\Adobe\FrameMaker9\fminit\configui\cmds.cfg
It's not so hard to edit. You might want to give it a try.

snapshot of table in FM for use as image in EPUB ebooks

I think a screen capture is acceptable for this, but if you want to do a 
really nice job you could figure out a way to convert it to a vector 
graphic, such as SVG. (You need to find out what vector formats Webworks 
works with.) One way to do this would be to print the table as a PDF, 
open it in CorelDraw (10 or later) and save as SVG.

Recommended graphic file format for single-sourcing from Frame to Robohelp?

Why is SVG better than WMF or EMF? I don't like embedding Visio files, 
so I save as WMF and insert the WMF. It seems to work fine and keeps the 
lines perfectly sharp (since WMF is partially a vector format.)

Is there a good reason to switch to SVG?
