[MLO] "Archive" is available in MyLifeOrganized-Android!

Good news to tell you: the feature of archiving and deleting completed 
tasks is now available in Android Task Manager!

Why do we need this function? You perform tasks day after day and the 
profile grows, slowing down the application, piling up the current view and 
creating discomfort. How to solve this problem? It is difficult to manually 
find all the old tasks that have been performed. In addition, you may not 
want to delete them altogether, but leave them just in case or for 
reference. What is the optimal solution in these cases? Archive! Transfer 
old completed tasks to another profile, freeing the current profile and 
leaving them for other purposes in another profile.

MLO can handle that, please rest assured. There is a limit in MLO Cloud of 
255 characters for a task name. If you do not use MLO Cloud Sync, it's very 
unlikely that you will ever reach the limits.

[MLO] Re: Syncing Views and Workspaces between platforms

There is no possibility to sync view in MLO now, no matter which platform 
and version is used. We do not plan to add automated views sync via cloud 
in the nearest future. However, we are considering alternatives that would 
allow to easily update views on all devices.

In the meanwhile, to transfer views between PCs, you need to export the 
view from the file on one PC (Right-click the view and select Export 
view(s)... from the menu. Enter a name for the file), open the required 
data file on the second PC and import (File->Import) the saved view to it.
Likewise, to transfer a custom view from desktop to Android, you need to 
export your view on desktop, transfer the exported file to Android device 
and import into MLO app from there.

You can Drag & Drop MLO tasks from one branch to another. Depending on the 
options, the Contexts of the task can be changed according to the new 
parent.
Also, you can use the right mouse button for alternative Drag & Drop 
operations: Add to dependency and Add links to notes. Drag with the right 
mouse button and select the option from the menu after the Drop.
And to quickly pull up the "Move to" dialogue click Ctrl+M.

1. Sure, MLO Cloud is here to sync the data across any MLO platforms. Even

2. MLO app is universal for iPhone and iPad, so only 1 license is needed. 
To transfer the license to another iOS device you need to restore your 
In-App purchase: open your MLO iPhone/iPad application, select ’Settings’,

Please just make sure you are doing this under the same Apple ID.

Some default simple views like "Starred", "Projects", "Inbox" has the 
ability to inherit properties. But it is not possible to add this ability 
to other default and custom views due to their complexity. Still, we are 
considering possible solutions.

Hello John, 

Sync with third party cloud services (Google Drive, OneDrive, USB-stick) is 
not supported and it cannot be considered as a full-fledged sync. This 
would just override an old copy of your entire data file with more recent 
one. Now it's possible to transfer data files only between PCs in this way. It 
is not feasible for transferring MLO files between Windows and Android 
because the database systems do not structure the data the same way. 

With MLO WiFi or Cloud synchronization on the other hand the record based 
synchronization is performed. It is more reliable and allows to avoid 
unnecessary conflicts or even data loss. You can change the tasks on 
different devices in the same time and MLO will combine them together. MLO 
cannot do it if you use OneDrive to sync your data.

We need some additional information. Please specify the version of MLO you 
are using and describe exactly the circumstances. Did you install the app 
for the first time,  reinstall it or upgrade from 2 to 3 etc.?

supp...@mylifeorganized.net. We will look into the matter.

It looks correct. In other words, the following rule is applied to the 
tasks with start/due date in future: the closer the start/due date to the 
date selected for filtering, the higher importance it has. And for the

You can have any non-hierarchic view shown in widgets, but this view should 
be ON ("eye" should be highlighted on the view editing screen) when you 
configure this view for the widget, otherwise it does not fall into the 
list of available widgets (once the widget has been set up,you can turn off 
the view in the application). So you can use the view "Due next seven (7) 
days" in the widget, but it is disabled by default in the application 
therefore you need to enable it first.

There is no way to view the numerical value of the Importance and Urgency 
in a task list. You can only view it individually for each task in its

A few words to add to Andrei's response. You may recreate the required tabs 
in the following way: open all tasks, click plus to create a new workspace 
and select the view from the left panel (if you do not see it click Alt+F1). 
Do not forget to save changes 

 
if you wish to use the modified view later.

There is no such an option, but did you try PUSH? With PUSH the data will 
be updated in background even when your phone is sleeping. In this case a 
sync is triggered in background once the data in MLO Cloud gets changed. If 
you disable PUSH you will save more battery, but you will need to run your 
app to get the latest updates from Cloud. 

When you turn on the "Use Push" button (MLO>Settings>Synchronization>MLO 
Cloud>Use Push), please make any change in your MLO tasks on your device 
and perform a manual sync to the cloud. This manual sync will register your 
device on the Cloud for future PUSH notifications and background 
synchronization.

Yes, when you run the app it weighs more than 40 MB. On the one hand, this 
is due to the fact that it loads up heavyweight system libraries. On the 
other hand, 
the app runs several background services which also require some memory. We 
are thinking of how to improve it ensuring that the app's functionality 
remains the same.

There is no possibility to sync view in MLO now. We do not plan to add 
automated views sync via cloud in the nearest future. However, we are 
considering alternatives that would allow to easily update views on all 
devices.
In the meanwhile, use the following guide to transfer views from PC to 
mobile and back: 
https://www.mylifeorganized.net/support/export-custom-views-from-desktop-to-mobile-ios/
 
(for iOS) and 
https://www.mylifeorganized.net/support/export-custom-views-from-desktop-to-mobile-android/
 
(for Android). You may use third party cloud storage (like Dropbox of 
Google Drive) that is accessible from both platforms. You may create a 
folder called "MLO Views" and store all your views there and update them 
there to avoid different versions of the view.

Did you know that contexts can be closed/open depending on schedule you set 
up for them (Tools->Manage contexts-> select the context-> Hours)? Your 
"Weekend Chores" context can be open on Saturday and Sunday so all the 
tasks with this context won't be active on weekdays and won't be present in 
your To-Do list on Mo-Fr. You are always able to filter out tasks by the 
"Weekend Chores" context even when it's closed. Just make sure "Include 
closed" is checked.

Hello Michael, 

MLO was initially designed as a personal tool for task-management and not 
for collaboration. Still, it is possible to sync a local file to MLO Cloud 
and share this Cloud file with other users. Each Cloud user who has an 
access to your Cloud file can download this file to the local environment, 
process the tasks and sync the changes back to the Cloud where you can sync 
them again to your MLO application.

version of MLO for Mac OS. If it’s you, please read on.
If you subscribed to our "MLO for Mac" news, you should have already 
received the same email.

First of all, we would like to thank you for playing an active role in the 
development of our product, your feedback is very important for us!

As you may know, MLO-Mac has been in our plans for a long time. Now we are 
at a moment when we must have the final cost estimates. As a small team we 
have to be pragmatic and carefully allocate resources. We must admit we 
received more MLO-Mac subscribers than expected which indicates there is 
considerable interest in MLO-Mac. This triggered us to take initial steps 
towards MLO-Mac development by preparing to port the iOS version to Mac. 
But there is still a lot of work before MLO-Mac is ready for release. On 
the other hand, a number of users would prefer a web version. That’s why we 
need your vote again. 

We’ve prepared a short survey  to find out if our 
users’ preferences have changed. Its results will dictate the way forward 
for MLO development and will help us to set timelines for improvements and 
additions. 
Your opinion is crucial for us. There are just a few questions and it will 
take not more than 1-2 minutes.

It is not possible to set up a recurrence without start/due dates. However,

It cannot be done with 'does not contain' rule indeed since it works with 
sub-contexts only. To filter out tasks by a parent context you need to use 
the sub-rule 'contains'. Here are the steps:

1. Edit views->Add view->Select the group of tasks for the view->Next
2. Advanced filter-> Add condition group ->All conditions, inverse-> save
3. Add condition (sub-level)->Field: context, Condition: contains, Value: 
Follow-up->Save

This should work.

In the "Projects" view all tasks marked as projects are listed recursively, 
therefore embedded projects will show up:

a) For the first time as a part of the parent project; 

b) For the second time as an independent project.


To avoid confusion, in MLO-Windows bring up the "Filter" pane and click on 
"Config" in the "General" section. Remove a checkmark next to "Continue 
searching in branch after main filter match". In MLO-mobile open "Custom 
View Settings" for the "Projects" view and disable "Continue searching in 
branch". The smaller projects will be only shown once as parts of the main 
project.

Also, you may focus on the parent project (use "Zoom in") to work on the 
smaller projects.


Do not delete sub-projects in the "Projects" view since they are not 
duplicates. If you are not sure, feel free to check the whole structure in 
the Outline (the "All tasks" view).

At this time it is not possible to represent the sum of subtasks' "Time 
Required Max" fields in the column next to the parent project. The only way 
to see the sum is to open the parent project's properties.

We are receiving quite a lot messages from our users and appreciate all of 
them! Most of the suggestions are the same, so we are aware of the need for 
calendar integration and we do agree that MLO has quite a learning curve 
due to its numerous possibilities, therefore more tutorials are necessary. 
There are also many feature requests for other things. Striving to keep the 
balance between powerful app and uncontrollable monster, we are constantly 
working on adding new features and implementing users' suggestions. We are 
also working on the tutorials and hope to please you with them soon. As for 
the platforms supported, we are equally developing all of them. Here 
 you can compare the 
features. If you need any help, just let us know.

Do you mean repeating reminders? If so, open the app, find the task and 
swipe left to preview it. You will see a status of the reminder and two

Hello Brian, 

You should only keep one Inbox in the MLO outline root. If more than one 
Inbox is created the system will use one of them and it is not defined 
which one.
Just delete one of the Inbox folders (move the content to another) and keep 
using the other. There should be no issues with the deletion. If you 
receive any errors, please provide a screenshot.

[MLO] MyLifeOrganized for Windows v.5 in detail: Sync with Google Calendar

Synchronization with Google Calendar - one of the most requested and 
expected features which provides for viewing selected MLO tasks on the days 
distributed over the calendar, together with the meetings from other 
calendars. This way, you can visually assess the whole load of yours and, 
on top of that, creating events there you automatically add subtasks to 
your MLO file. This is possible now with the two-way synchronization 
between a local .ml file and Google Calendar. This means that any change 
you make in Google Calendar – like editing an event name or changing the 
date – after the sync will be reflected back in MLO, and vice versa.

I am sure our users have many tips to share with you, I just wanted to tell 
some theory. A parent task in MLO can be converted into a folder or project 
if needed or left as it is. The main difference is that a folder is not 
really a task because it is not supposed to be ever completed. It is just a 
container for other tasks. Unlike projects or regular parent tasks with 
subtasks, folders never appear in To-Do list even if all its subtasks have 
been completed. For example, a parent task "Work" or "Personal" definitely 
can be turned into a folder.

Project is usually a large task that requires a set of actions to be 
accomplished. Each project is highlighted blue and has a dynamically 
calculated status bar so you can track its progress. All projects are 
included in a special Projects view where you can easy review them. For 
example, a parent task "Release a new product" can be turned into a 
project. When you complete all its subtasks, the project itself will appear 
in the To-Do list.

I think hotkey is what you need. Use Ctrl+Shift+Insert to add a folder.

It is not possible to have the same task in several places in the Outline. 
Instead of placing tasks into a folder for Morning Routine, you may assign 
contexts like @Morning Routine, @Daily Routines, @Errands etc to your 
tasks. One task may have multiple contexts. Then open a view with tasks 
grouped by context and you will see that the same task appears in several 
groups.

We are using HTTPS for secure connection to the cloud and the 
infrastructure of the cloud stored on Amazon Web Services located in USA. 
It is quite robust and secure. The price you pay for the sync is also 
invested to cloud performance, stability and security. 

The level of our cloud security is the same at the moment as Gmail for 
example which does not encrypt your emails as well.

Manual ordering in views cannot be synced across profiles or platforms. The 
only exception is the default Starred and Active Starred views. All 
positions of tasks in these views are tracked.  So, it is strange that your 
Active Starred view does not maintain its manual order across different 
devices. Could you export the view and send it to 
supp...@mylifeorgabized.net ?

The Project status is user controlled and not system controlled. We believe 
that the user has their own direct input into whether a Project is viewed 
as Not Started, In Progress, Suspended or Completed.

Here is an example: you could have a subtask under a Project heading that 
states "Create Project Overview Notes’ or "Plan Phase 2 of Project" etc. 
These tasks might be related to the Project overall but aren’t really part 
of the Project. If you complete these tasks, it wouldn’t necessarily mean 
that you had started working on the actual Project itself. In order to 
define the Project as started you have to manually change the status to "In 
Progress", in order to mark it once done you need to change the status to 
"Completed" and so on.

Hello Mark, 

Views in MLO can be modified on all the supported platforms. On iOS the 
"Completed Recently" view is set to 31 days by default. You can check and 
change it following the steps: swipe right->Edit-> tap "Completed 
Recently"-> "Advanced filter"-> tap twice to change the value. You can get 
back to the default views anytime, just tap "Restore" in the view menu.

I thought so, just wanted to make sure you know how to edit views. As for 
the eyeball button, on iOS the "completed recently" position cannot be 
changed. I've checked that it is set to show tasks completed today. 
Due to screen size limitations mobile clients do not have all the features 
that are available on MLO-Desktop. The program on each platform is 
standalone, but the most convenient and functional way is to use different 
MLO clients together. I realize that this solution is not perfect for you, 
but other users may find this helpful: like Andrei said it is possible to 
modify a view on desktop (and change the value for "show completed 
recently") and then transfer it to MLO-mobile. Here 

 
is the instruction on how to transfer a view.
