Incorporating external documents containing tables, into a book
Hi, guys...long time. Anyway...I have a book that when printed, comes out at over 900 pages and is composed of about 300 files. I have 25 8-page documents that I created in Word that I need to include in the book. I can supply them in either Word or PDF. However, the issue is that each Word document is a single table with tables inside of the tables and they don't come into the FM well because FM doesn't break rows between pages..and since each 8 page document is one table (PLEASE don't ask...its a battle I've been fighting since October), the eight pages just run down off the bottom of the first imported page. Any ideas? I also have the issue of working in a locked down environment, so installing other software is not an option. BTW...I'm on FM11. John Posada - ** This E-mail is confidential. yes, I could bring in each page of the PDF separately...but we're talking about 200 pages. Need to insert hundreds of hyperlinks
Hi, guys... Over the next few days, I'll be needing to insert hundreds of hyperlinks. Right now, it is a three step process. Copy and paste the hyperlink. Highlight it, then select Special > Hypertext > Command Go To URL, paste hyperlink all over again. Highlight hyperlink again and apply defined Character format to make it underlined and blue. Thanks, guys... Looks like, without coding, I'm not going to be trimming alot off the process and being that I'll probably finish by Wed., any time savings from automating it will be eaten up by the time to implement the solution. If the answers did anything, it showed I was at least doing it the right way...not bad after being away from FM for about 5 years and 4 versions. BTW...to the poster who said I didn't have to re-identify it as a hypwerlink, I do...my average link is a URL along with a document to be openned from the URL and Acrobat doesn't recognize the file part, just the web URL address to the SharePoint folder,, so it goes to the folder but won't launch the file. When I include the whole path, works fine. Now, my next task, after I populate the links, is to index this book, now well over 1500 pages. is there a way to show Index markers inline in the text

What is the recommended way of having a TOC appear in multiple places of a book?
Hi, guys... I have a 1,500+ FM11 book that is divided into two volumes. The book has a TOC and Index with both volumes. Both Volume 1 and 2 have covers and the pagination starts at 1 for each volume. Everything good. It's also conceivable that I'll eventually have Volumes 3, 4, 5, and 6. Now, I want to put the same TOC in the front of both Volumes and the Index at the end of both volume.. Need to get my FM11 styles under control
Hi, guys...As I created my template from scratch, I have a number of P styles that I've used, then stopped using. I therefore have a bunch of styles that I need to clean out...from about 500 files. I maintain a control document with only the valid styles and when I need to change or modify a style, I do it in this document to test it's impact, then import to all other docs in book. Putting variables in cross references
Hi, guys...I have an FM11 book that is composed of two document books, with each book having multiple volumes, them each volume multiple chapters. I have a variable defined for "Book 1" and "Book 2", and will soon have "Book 3" and "Book 4" (as we expand the book to more Lines of Business) and I have the appropriate variable copied to all files in the applicable book. I want to create a cross-reference format that goes something like "See , starting on page Y of book number Z" where X is the heading and Y is the book number variable.. Thanks, Robert...Here's the problem with using <$volnum> I'm already using it. :-) As is many documentation projects, the total scope of the documentation set was unknown and its getting bigger and bigger. As it got bigger, I want from Chapters, to Sections having multiple Chapters. I then went to Volumes having multiple Sections. Now, I have Books having multiple Volumes. I know what I'm going to have to do...stop moving up and move some down; move Sections down to Subsection, Volume down to Section, and Book to down to Volume. BUT.. in FM11, I've been ending up with our 1_Heading1 style (since its first in line of style names) because the system is playing catch up. Replicate groups of files
Hi, guys... I have a book with maybe 700 files. Our product is composed of multiple rules, or scenarios. Each scenario has five documents. Every time we add another scenario, maybe 20-30 per month, I replicate each of the five documents and add them to the book individually. What I would like to do is replicate a template set of the five files for each scenario in one action, then modify the files for the specific scenario. Any ideas on how I could approach this? Stopping a process in the middle.
Hi, guys... I have several books that are well over 400 files each. When I do a book-wide process, such as update book, TOC, etc., This can take 10 minutes. I sometimes need to stop it...like when I select book rather than document for search and replace. Is there a keystroke combo that aborts a launched processes? Escape key sequence
Hi, guys... I currently maintain a book with about one thousand files in the book. Sometimes, and it's my error, I'll launch a process such as Search and Replace (S&R) and forget to change the default "Book" to "Document". Needless to say, something like that can take 15-20 minutes to complete. Two questions: 1) Can I change the S&R to default to Document instead of Book? 2) Once I launch a process (S&R, Update Book, etc.,) is there a key sequence that will abort the process or do I have to wait for it to run its course. Changes made with Track Test Edits don't show in PDF
Hi, guys...FM11. I turned on track changes (Special > Track Text Edits >Enable). I make changes, looks good in Frame document. I now want to send the book, with changes, with track changes, to someone. When I PDF the book, the changes don't get included. It creates the "before" version and I want to show the "after" version with edits tracked. What am I doing wrong? URL Checker
Hi, guys...FM 11. I have a section in my books that is just pages and pages of links to text, sql, excel, and PDF files that are out on our Sharepoint system. As we go forward, the links are becoming a maintenance issue. While I know I cannot automate the creation of the links, I'd like to have something that can validate my links. Each link is defined as a "Go to URL" hyperlink and it is an absolute link, not relative. Has anyone done this kind of scripting? Good Morning I make extensive use of Groups in my Books. Are there keystroke combinations that will expand and collapse Groups? Is there a way of having a Group appear in more than one place in a book
Hi, guys...OK, this may be hard to follow: I have an FM11 Book that greatly relies on Groups. There are two main groups. Within one of the groups I have 4 sub-group. One of the sub-groups has maybe 30+ files and additional groups. I want that sub-group to now also appear in another group If it was only one file, I would (and do) create a file shell and utilize Import File to share the content. Hi, guys...need to buy an application that will check links from either FM or the PDF output. My "books" are now 1500+ pages and contain hundreds of links. Money is no object (within reason). However, the stipulation, because this is a very secure and locked down banking environment, it must be COTS software...I tried going through the custom script plugin route and I can't get it through...sorry. I've been looking at Debenu's PDF Aerialist (http://www.debenu.com/products/desktop/debenu-pdf-aerialist/features/audit-bookmarks-and-links/) and it seems to be the kind of software I'm looking for. Questions: Anyone ever use it? Anyone like anything better? Wouldn't it make sense for Acrobat to include that functionality? Does it? Many the very latest version? COTS is Commercial Off The Shelf The links are to external URLs, mostly to Sharepoint Files using an absolute http:// link. Implemented in the FM document with the "message URL" construct I can go with either checking in FM 11, or from the PDF of the book. What are the steps to accessing a file
Hi, guys...I'm having discussion with my service support people over what I deem to be poor network access speed of FM files. I'm trying to define what FM does when it accesses a series of files from the perspective of disk and network read/writes, for something such as search and replace. It would be in the form similar to the following, for unstructured: Access file on disk Download to application. Apply file lock and write locked file to disk Write duplicate of file on disk as backup Perform examination in file and make changes necessary Write file to disk Delete lock file. I'm sure I don't have this exactly right...anyone know better? Persist a variable to the next file
Good afternoon, guys.. I have a book that uses the variable "Running H/F 1" in my footer that picks up Chapter Title. The hierarchy is Chapter Title, Heading 1, Heading 2, etc,. The problem is, for the sections that follow Chapter Title that start with Heading 1, the variable displays blank. The question is, how to I get Chapter Title to persist until changed by the next Chapter Title? Nothing complicated about it: <$paratext[ChapterTitle]> I don't think the issue is the composition of the variable...it works fine when the page has a paragraph tag Chapter Title. The issue is when the para text doesn't appear in the FM file, but does in a previous file that I want to carry forward. OK...I have some time...let me go into greater detail. If there are holes in my explanation, attribute it to confidentiality. I have 5 main Lines of Business (LOBs) documented and arranged in "Books"; will call them Book 2, Book 3, Book 4, Book 5, and Book 6. I also have a Book 1, which contains methodology and procedure chapters that are common to all LOBs. Within each Book 2 through 6, there are Products (Style: ChapterHeading)...between 8 to 30 products; depending on the LOB Within each Product, there are 5 specific Sections (Style: Heading1); standard sections by title but different content each time Follow so far? When I do a compiled book for LOB 1, from the Framemaker Book panel, I include Book 1 and Book 2, excluding Book 3 through 6 When I do a compiled book for LOB 2, from the Framemaker Book panel, I include Book 1 and Book 3, excluding Book 2 and Book 4 through 6 etc. Now...sometimes I need to output a Mini-Book. A specific LOB, with only specific Products, with only specific Sections, usually on the request of a regulatory request. Because of the way I have the files set up, I simply Include only what I need and Generate My total document is almost 7,000 pages. using this system, I can generate a specific book with from 10 to 1500 pages in less than a half hour and know exactly what is in the book, not more and not less.. Framemaker 11 crashes when comparing books
Hi, guys... I'm trying to do compare books: File > Utilities > Compare Books I get part way through, then crash with the Internal error number 11004, 25719705, 25724600, 20819128 I get a successful report when I select Summary Document Only, but crashes when I select Summary and Compare. Both books are in individual subfolder in one folder on my C drive. I'm running FM 11.0.0.380 on Win7 with 12GB ram and plenty of disk space. I have the Log file if it would help anyone. In full disclosure, both books have well over 1,000 files in each book and some of the files can be over 100 MB in size has anyone experienced crashes and did something like pre-openning all files first? I hesitate to do this if it has nothing to do with it since if it does crash again, I'm going to have ALOT of Lock files to clean up. Figured it out. It chokes on files that have text inserts that are shared between multiple files. I noticed that a particular file name showed on the bottom left of the book screen when the crash message was displayed. I use a specific naming convention for those types of files. Once I deleted those files...there were 8 files that I used that construction method, the compare went to conclusion. Track Changes
Hi, guys...I have a book of about 2,500 pages composed of maybe 300 files. I want to track changes that I am making in a particular section composed of a single file of maybe 22 pages. The problem is, when I turn track changes on, it turns it on for every file in the book, which takes a long time and when I switch to preview to what it looks like with changes implemented, it also takes a long time...like maybe 20 minutes each time. How do I limit the implementation of track changes to only the file I am working on? Next question: Is there an element in a Framemaker configuration file that makes Document the default in the scope of track text edits? Also, I find that if I have a document in the state "Preview Final", and I make a change, it immediately turns off Preview Final and shows all the track changes. I'd like to be able to work in a clean view and only view the changes when I want.. I use a Windows Robocopy batch file to backup my three FM working directories at the end of each day and I don't have to wait around for it to complete...I launch and lock down my workstation. This way, when I start in the morning, I don't have to pull down a working set as they've already been archived the previous night.. As it takes about 20 minutes (up to 30 GB) to do the upload (depending on the number of files that changed since previous backup), which I don't have to wait through in the morning. But, it is one of the reasons I copy the files + book into an archive folder below the working folder before an editing session for any given document. Get a consensus on a sample from your organization that already exists and everyone likes, then create one yourself to replicate that template in FM. Shouldn't take more than a couple of days, including master page, reference page, and Char & Para styles . Hi, guys...I'm putting in a couple of days to clean up some inconsistencies in my documentation template and styles. I currently use the P style "Body Text" (no quotes) for normal body text. However, in the past, I'd used the P Style "Body" (no quotes) and I want to do a Paragraph tag search on "Body" to clean it out. However, it also finds "Body Text" which I don't want. How do I limit the search to just "Body"? What FM plugin suite give the most bang?
Hi, guys...I'm using FM11 unstructured and I maintain quite a large document set...10 books of 2,000 pages each give or take. Because of the amount of time I spend on housekeeping, I'm ready to take a stab at adding plugins that will save me time. In addition, I may be bringing in a team of 3-4 writers and I want the files to be as clean as possible. When you evolve to 20,000 pages of document from an initial 195 pages in 2 years, ya get careless at times. Now...I'm in a very locked down environment, so I know I'm in for a battle...this very well can be a 3-6 month project and I may loose. Money is no object. I was able to easily justify a $500 application just to check broken links (3 bullet points in an email) , but it took 4 months to work through the process from "request to license". So...if I was to try to put together a shopping list together with as many plugin components in as few different products as possible, what should that be? Thanks, John, but this is a one-shot deal. First, I'd never get a scripting product in here. The applications have to have specific functions they can test before installing. Two examples of easy, effective cleanup: * ArchiveFM.fso does pretty much what the late Bruce Foster's Archive plugin did - it takes all the files, images, and text insets in a book, even those referenced from distant folders, and puts them in a ZIP archive. Hi, David. I watched their video. They seem to stress linguistics and usability, and measuring that stuff. While those are secondary factors on my end, my priority is style, format, content control consistency, and authoring speed. It's hard to explain, but my stuff isn't to convince...my stuff is to show AML methodology and compliance for use during AML model review. I have one main output; PDF, with secondary output Word. It can also help other casual content authors (e.g., developer's and tester's design and use case docs; marcomm) or give you a fast-editing path to clean up such source prior to importation/reuse in FrameMaker. It's NOT cheap, and it take a significant setup and routine maintenance as your product lines evolve... but it's a joy to see working well! Hi, guys...I'm doing some reformat-intensive work and I find myself pressing F9 over and over to display and apply paragraph formats. When I select the format, the list goes away. Is there a way of detaching the list and have it stay open? Just change your mater page orientation landscape, It might be easier to get it through approval rather than creating a whole new templayt/style structiure. I wrote in Agile several years ago while at EMC. I liked it, most of the other writers hated it. Yes, sometimes I had to rewrite in a later iteration, but that's pretty much normal in any development environment. I do it the way Robert defines. I have two template documents, with all the same tags by name, but the tags are defined differently. Depending on how I want the finished book to look, I import all the formats from the applicable template document into the entire book. Using a template document also makes it possible to determine the impact of a para tag change before rolling it out to the entire book. I do similar, but once at end of day just before leaving for the night. I have a Robocopy batch file that mirrors my working directory on C: to my network drive that is backed up by IT every night. I have a shortcut on my desktop that I click, then lock the machine and go home. It looks similar to the following: -- echo "***">> c:\temp\robocopy.log robocopy c:\[source directory] \ h:[destination directory] /MIR /a-:R /log+:"c:\temp\robocopy.log" /nfl /ndl -- This copies only the later version of the changed files and deletes the removed files. This way I always have a mirror of my working directory and a log of what was done. This has saved my butt a number of times because since I know I have a mirrored directory, I can try things on my working directory of files knowing that if I don't get the expected results, I can always delete from my C drive and download my backup to try again. The time it takes varies with how many files I've changed...it could go from 10 files to over 4,000 files, depending on what I've done since the last backup. I'd tried that...I had unpredictable resultsI was getting crashes that started when I implemented it and stopped when I removed them. BTW...I do realize why what I want would would never work...How does the same document address having different page numbers and section numbers if I should try to gen a book with both instances of the same file. Our department has changed names 3 times. The first time, it took me almost all day to make the change. After I made it into a variable, the next time it took me about 45 minutes. I beat the process to hell and it seems to be stable. I use the "Go To URL" command and use absolute URLs to the PDF, then append #page=[page number] I've never used "Jump to Named Destination". How do I implement that to point to a destination page in a PDF that I cannot make changes to? I've currently only authored in unstructured Frame under a book paradigm, and am finding it impossible to track development. Basically, we have two writers to support ~30 developers. The SW group has moved to an agile scrum process and create software features in modular form. Then they are checked into the SW pool and tested by another team who then publishes the FW releases to the Web team. The testing takes about 1 to 2 weeks and some features may not get released. Also, we do not really know when the SW is released until it goes live (much of the process is automated and decisions happen overnight). Dev cycles are three weeks and the software is usually not available until it is checked in for testing since there are many dependencies. I'd like to find a way to have content more modular and easy to snap-in/out like the software folks can switch on/off software features. I've thought of trying this with conditional text, but I think the complexity and granularity of what needs to be controlled is too high. I'd also like for the writing resources to be more agile so they can work on any document piece as needed. Right now, we move around and track "book" packages and publish PDF books with incrementing revisions. Any suggestions on how to proceed or where to look for some ideas? Nothing interesting happens with unstructured content anymore, because the technology is decades old. Any technical writer in a high-demand environment should be using structured content. If you are not, you are now closer to the typewriter than you are to modern practices. Having said that, DITA is but one option. Some find answers there, others do not. There are many ways to structure information and get significant benefits. Fortunately, you are already using FrameMaker which is a very flexible structured authoring tool. Take some time to investigate and see what it has to offer. You would be in much worse shape if you were using Word or similar. Also, I have to comment on this one statement: "I can't stress enough that right now, we need short-term solutions." This is the quickest path to failure I can think of. All roads to success involve the long view and much investment. If you won't do this, nobody here can help you regardless any tools or technologies.
