just an update - since I archived my emails I had to check on something 
archived and it worked fine. However today I am unable to find the "account" 
that his now holding
these emails?  The database is still in its location on my external drive but 
the easy way to check an email is not possible if I cannot find the account.
Any idea why this is now hidden and how to look for it - any trick to "unhide 
this" without having to create a new account and then link the storage to the 
archive I previously created?


and one more update - not sure why but after restarting TB the Account Archive 
is shown again and I am able to open my emails with password again. I would 
normally assume it was there all the time and I was not looking properly but I 
did check several times very slowly and in particular at the bottom of my 
Accounts tree. That's where I "parked" this account and it was not showing 
earlier today.

Glad my finding Thomas' message was useful to you.

What would be a highly useful feature to me would be to have a function where 
you command TB to make a new database mimicking the current ones structure, but 
with all folders showing an Archive and pre date identifier. 

So one would select an account, select a cut off month and year and tell it to 
archive, the result being a separate database created on a destination medium 
of user choice, containing only messages created or received pre whatever month 
and year. The database remaining within TB would then only contain messages 
created or received after the cut off date desired.

I am getting old and forgetful. It suddenly occurred to me that I had once 
asked a similar question here, and as I have kept all messages from starting to 
use TB! I found it for you. See below, Thomas Fernandez answered and although

What I do is I "archive" old messages to other folders. For example, I

Used to be that TB was a bit slow (=5 seconds) to open folders with more than 
~9000 messages, but this hasn't been the case in a while (despite me keeping 
the message base on spinning rust, not SSD).

As for why I keep all of it? Because it's less work than not keeping it.

Slimming Down the database / Archiving

Hello Everyone,

my TB has grown over the years and the backup files are now more than 
 gb in size.
I would like to tidy up a bit without messing up everything.

My idea is to create new Archive folders and then moving older emails into 
these archive folders. 
Can I then remove these completely to a different harddrive/backup storage in 
case I ever need them again? 
Currently my mail directory is at on my OS drive at %APPDATA%\The Bat!\

  Yes! Reading the directions is the key!  You did say
  to copy the filter antes de clicking on the Read. Having the

It  will  probably  work.  However,  if  it  works, it will be quite a
tedious  task  redirecting  messages  one at a time. Unless there is a
'bulk re-direct' option somewhere that I am not aware about.

That's  really  strange.  Did you highlight/select including the first
line     TB!   Message  Filter  ? If this line is not included
when copying, it seems that TB 'detects' that what is in the clipboard
is not a filter and doesn't allow pasting (Paste is grayed out).

It  should  not.  Actually,  I  have tested in my wife's laptop and it
works.

Just  select  the group of filter (Incoming, Outgoing, Read) where you
want your filter to be, right-click and select Paste.

I  don't  know  what  you  exactly  mean  by that. The name I used was
ExtAtt.

In  my  message, select all the lines starting with (and including it)
'  TB!  Message  Filter  ' to 'endFilter' (including it also).
Then  right-click  and  select Copy (or Ctrl-C). Then open the Sorting
Office,  select  the  filter  group/type where you want the filter and
Paste.

Once  pasted,  select it and in 'Actions' on the right panel, click on
the  Edit button at the bottom and the Extract Attachments window will
open.  There  you  will  see where you can set the directory where you
want  attachments  to  go, and also the mask for file type you want to
extract.

I  still  have to find a way of defining more than just one mask. I've
tried several ways but none of them did work.

.doc, .xar, etc. or just include all the likely types but to

This is valuable. I have now changed the setting as I was indeed 
keeping them in message bodies.

In the sorting of the account, I did not see where to paste the
filter. Also, I did not understand the syntax of the name of the
filter. Where is the text enclosed by $ to be pasted? Should it
be copied from 'beginFilter' and end with 'endFilter'? I have
never used a filter such as this, even though I have seen various
similar filters in the list over the years. Normally, my needs
are so simple that the macros one can choose for message
filtering are enough for my needs.

I want it defined in the attachment location directive in settings. This 
way I set it once for all incoming mail without using filters.

If you mean using macros to define the folder where attachments should
be extracted, I have just tested and they work.

I  the  test filter I posted yesterday I defined the folder to extract
the attachments as:

C:\Datos G\Atachments

And  it  did  work.  When  running  the  filter, several folders where

Not without duplicating the folder. What I would do is to create a

Hi

I archive the mail from some of my folders using folder-specific
alternate deletion to move the messages to a folder in a
password-protected account after NNN days.

This works well for normal folders but I cannot use this for my Sent
Mail folders as the properties dialogue has nowhere to set deletion
options.

Can anybody suggest a way to automatically archive messages from the
Sent Mail folders after NNN days, that does not involve duplicating
the sent mail folders in the tree or holding multiple copies of all my
sent messages for the NNN days?

For years, I've archived mail by placing mail in common folders that I
simply named as Archive folders.  I now have well over 700,000 emails
archived most of which I never need to look at but I don't want to
totally get rid of.  What are my options for archiving outside of TB,
but where I could easily look at the emails?

An addition to Urban's proposal: you can even have your archive within
TB! without the need to load the extra 700,000 mails every time TB!
starts: create a new account for your archive and password-protect it.
Then the mails will only be loaded when you open that account.

I have a common filter set up that is manually asctivated (ALT-Z) to save
the highlighted email as an EML type file in a  directory outside TB.

I then delete ht email from TB.

Thanks, I will most likely buy Mailbag.  I am
awaiting delivery of a laptop with Vista, will
upgrade to current TB! on the laptop.  I am using
an older version of TB! on my PC.  I am making an
effort to be ready for the unknown when I start
moving data and moving the old very large (around
2GB) accumulation of mail to the active mail
program is not appealing.  But I still would like
to be able to easily access that old mail.

Archiving in a database

I'm wondering about the best way to do this. I know the different
formats that TB! can save files in  I've found that 'eml' is probably
the best way to go for my purposes (buy maybe not).

In saving a folder of msgs to 'eml' the problems I ran across are

each msg has to be saved individually
each msg with the same subj can't be over-written

With all msgs saved to eml format in one folder, I get headers + msgs
which I can then import as separate items in a database. There may be
other ways...

Archiving old emails

Hi,
I am trying to find a solution to backup/archive old emails. My
intention is to put them out of TheBat Voyager to save space on my USB
memory stick. Frequently I get emails with large attachments, so I would
like to archive (even triggered manually if necessary) old mails, e.g. older
than 1 year, on CD or somewhere similar. The usual archiving and
backup tasks within TheBat/Voyager probably work, but they need to import the 
files back to
TheBat/Voyager if I need to search within them.
My wish is to be able to search the archives without importing so that I
do not need to blow up my Voyager/mail directory again.

Is there any possibility for such an archiving idea? If not, what else
can I do?

This is indeed a nice trick. But one important point of my
requirements is missing: The memory usage is more increased instead of
being decreased. I want the archived emails out of the TheBat
directory.

I have a read messages filter that moves messages in my Inbox that
are more than 60 days old to an archive folder.  The filter is active
but it only works when I manually re-filter my Inbox.  Is there some
way to make this filter run automatically?

I know it is recommended to keep the size of the Inbox small.  Is it
also recommended to keep the Sent Mail folder small?

No, TB will filter automatically only on messages that are received in
the Inbox via POP or IMAP. there may be a command-line paramter in the
meantime though, I didn't check.

Yes. What both folders have in common is that they are high-traffic
folders. Mails come into the Inbox will will then be moved somewhere
else by Incoming filters; sent messages will go to the Sent folder and
then be moved by Outgoing filters.

Yes, but it does not use a filter. Right-click on Inbox and go to
properties. Check the box by Keep messages in base for (days) and
enter 60. Then, open your account properties. Go to Deletion. Under
Alternate Deletion, select Move to the specified folder. Also check
Use alternative deletion method for purging folders.

Now, every time you purge your folders, the messages will be moved.
Under Options - Preferences, I configured The Bat! to automatically
purge folders on exit.

Folders other than the Inbox can also be configured this way. However,
they have their own Deletion tab in their properties.

the account wide settings.

I was thinks of putting in a feature request regarding this. The
deletion settings under the account properties would be the default
for every folder. However, each folder (including the Inbox) could
have its own settings. At the top of the tab within the folder's
properties, there could be a checkbox that says something along the
lines of Define folder-specific settings that would enable custom
deletion settings for that folder. This interface would be similar to
setting up address book templates.

Thoughts?

In that case, I am going to stick with manual filtering.  Setting up
all of those overrides is too much work for me.  Thanks Chris for

I think hooking archive functionality into alternative deletion and
purging is very cryptic.  I think there should be a clearly named
Archive property at the folder level.  There could also be an
Archive property at the account level but I wouldn't have any use for
it.

An alternative approach would be to create a new folder, called say
Inbox2, and automatically move all received emails from Inbox to Inbox2.
This would effectively bypass Inbox and make Inbox2 your real inbox.

Then set up the purging after 60 days and apply folder specific deletion
settings to Inbox2.

of the mods would know though.

Yes, I think you have it correct.  You can select all msgs in a 
folder by clicking in the message list and pressing Ctrl-A.  As for 
the folder structure, you would have to recreate it in Windows.

Stuart's suggestion of just relocating your TB! folders into a new 
Windows archive directory is not a bad one.  You would go into 
Windows, and move them out of your default directory.  When you need 
them again, re-import them.  This approach keeps you bound to the TB! 
file format, which has some long term risk if the messages *must* be 
accessible into the future, but otherwise seems fairly 
straightforward.

Thanks to both Stuart  Joseph. I will give Stuart's suggestion a try first. I have no 
current plans to move away from The Bat!, it's just that because of how many old 
messages there are, The Bat! takes quite a while to fully get up  running, so I just 
wanted them out of the way (seeing as how I can't recall the last time I actually 
needed to look at one). Keeping the same folder structure is a bonus. In the future, 
if for some reason I need to have a message in another format, I can easily re-import 
the messages  then (using Joseph's suggestion), export them. Thanks again guys :-)

What is the best way to archive messages in The Bat? I have 2 specific situations in

Thanks for the reply. I would prefer to go with option 1. From what I can see, I 
export the messages to a file, then go into The Bat!  delete the messages  accounts 
I've exported,  then at a later date, I can just import them again? The only problem 
I can see with this is that the export command doesn't seem to work directly on 
folders or accounts. Instead, you have to go into each folder separately, highlight 
every message, then export. As well as taking a long time with lots of folders to 
export, this wouldn't keep the folder structure that I have now. Do I have this right?

 I am trying to setup the alternative deletion method to purge

 on OK I get:

 I have used the Browse button to fill in the folder name.

I got the same thing and I've fiddled around a little. I got rid off
the error message by also specifying a valid folder name in the
normal deletion field.

This allowed me to close the window without error message.

Afterwards I set the normal deletion back to the default.

all. It remains stubbornly unwilling to accept anything I type. And

Using TB! I have an archive folder in the account tree but the messages
are located on a different drive. Thus, the archive folder is excluded
from my daily TB! backup. No need for an external program as I can
search the archive directly.

Hi tbudl,
I want to archive my mail using the suggestion of purge my mail to a
folder called Archive. However, when i want to change the behaviour of
the folder (account properties deletion alternative deletion) i get an
error when i browse to  my folder i get an error saying i must use a
valid name for it. (name was \\\Archive).
Any suggestions wat is wrong?

No, i didn't. I made a new common folder Archive and i would like to
store messages in there when i delete or purge them. I get the

I've on my account News the folder TBUDL.
I've created a common folder called archive.
Than one folder below that called TBUDL.

Then I go to the TBUDL folder in my account News and I set the
deletion to alternative and move to folder \\\Archief\TBUDL.
Select compress automatically and on the first tab hold messages
for 40 days.

This works without an error.
I can change the \\\Archief\TBUDL to an other folder (Which I
create first) without error.

I've changed the names to \\\Archive\TBUDL (had to select the
folder again on the deletion page since it kept the \\\Archief
name) But this works also without error.

Did you first create the common folder?

That's what I mean when I refer to the account tree. I use common
folders too.

To continue the example, I keep messages in my TBUDL folder for 90 days
before they are moved to the corresponding archive folder. To do this
check the following in the Account Properties - General tab:

- - Keep messages in the base for (days) e.g. 90
- - Remove old messages

And on the Deletion tab:

- - Use folder-specific deletion settings
- - Move to the specified folder (under Alternative deletion) e.g.
Archive\Mailing lists\TBUDL
- - Use alternative deletion for purging this folder

With these settings old messages are automatically archived when you
exit the program or use Shift+Delete.

I copied some adjacent threads from this one to a new folder. I copied
ALL, and then set to Unread. Copied all to another, and then set all
to Read. Then I copied all contents of both to a new folder.

For these threads, after using Kill Dupes, I got:
'Cosmetic Bug...' 3 of 6 total left unread.
'Received registration...' 2 of 3 left Unread.
'Max number of stored...' 4 of 6 left unread.

Since I had marked all these threads as Read, the Read messages should
be the only ones that remain. Try a similar experiment?

So my question is with these duplicates. The method I described I was
saying it could work effectively if TB was convinced to kill the
Unread messages. If it kills Read messages, then I will be left with
two batches of the same Unread messages.  If it does cut out the
extraneous chaff, and delete not just *comparable* but *identical*
messages, then it will leave a complete archive. (Unless I'm
mistaken.) How does Kill Dupes work?

Am I right in what I said? Can it be convinced to do this?

One day here to experiment if there's some ideas.

incoming messages destined for that folder, copy to another folder. If
you do this though, the archive will not indicate which messages were
read, and which not. No statuses. So, do you think that can be
achieved?

I was thinking, well a Read filter could copy messages to that same
destination folder. So then, you'd have all the messages. Plus a bunch
of duplicates. So maybe you could try going to that folder. And
clicking Kill Dupes.

I wonder if you have tried such a solution. Or have you tried some
other method to create an archive, and either succeeded or failed at
it?

I archive my mailing lists using a manual filter that moves old
messages to an archive folder, which is located on another drive. Dare
I say, it's a bit like Outlook archive settings except I cannot
automate the method. Perhaps, some day scheduler could be used to
automatically run filters?

My archive is separate from the main message base because I like to
keep my C:\ drive small enough to fit on 3 CD/Rs. The archive folders
are available from TB! too - I find it much better at managing my
archive that Mailbag Assistant.

The problem is that if you kill duplicates, it seems to kill all the
Read messages. Can others confirm?

If it did kill the right ones, and Maintenance features could be
scheduled, then the system would work pretty well.

location?
What I'm thinking about is to create an Archive folder containing
old stuff which I can then put somewhere else to stop TB from using
it. And perhaps bring it back whenever required?
Though I'm asking I suspect the answer is that this ain't possible. So
what about exporting the contents of the folder, to re-import it again
should it be needed?
I've looked at Mailbag Assistant but don't like it...

No, it creates a new messages.tbb and messages.tbi file. Both empty
files, since TB can't recover any messages.
On copying the messages.tb? files back (take care that TB is closed
when you're doing this, just in case) TB will happily access the new

I sometimes move old messages to an Archive folder, export the
folder to a Unix Mailbox format then delete the folder within TB. If
I need to get them back at any point, I simply recreate the folder
and import the mailbox back in again.

MW You may wish to check out Mailbag Assistant:

MW product but if it's half as good as NoteTab Pro (by the same
MW author) it's worth a try.

Like some others on this list, I use Mailbag Assistant regularly to
archive mail, to search through archived mail for specific messages or
information, and to retain attachments in the same series as they were
originally sent. It's a fantastic program. Mailbag Assistant can take
mail from several different formats, compresses (if desired) and store
it in a proprietary format, and then can export the messages as
necessary in any of several frequently utilized formats.
