My Training Diary says “We use 1 to 7 instead of the usual 1 to 10 because most 
people can’t discern the difference between an 8 and a 9”.

 

So I agree.  Moreover, this is why I love when my view shows 7 (or 6) levels 
because I can drop the level of one by dropping it a notch.

 

But with a slider? What’s a notch? Is 75 to 70 a notch?  Or 70 to 50 a notch?  
I don’t know.

 

So I agree with you 1000%!

Having a slider of 1-100 for importance and urgency seems to be a little 
superfluous and makes it hard to put some tasks on a level playing field with 
similar tasks. 

 

I think radio buttons 1-5, 1-7 or 1-10 makes better sense and would be more 
user friendly.

 

At the minimum a text box could be added to be able to type in the desired 
level for each task as opposed to the slider. 

 

Love the product and was a user in 2014 and recently upgraded to V6 and started 
using it  after life got complicated again.

Me too. I like gamification. What you can play with, meaning think of creative 
ways to use it, is this: I have a Dashboard called Accomplishments. Every task 
that actually does something, meaning is meaningful and productive (compared to 
“Check email” or “Carry forward to do list from yesterday) I have set to “Show 
completed copy”. My Accomplishments Dashboard only shows completed tasks 
completed in the last 2 hours. Since I can resize the Dashboard, I can set it 
to try to gamify doing 1 accomplishment (completed task) per hour. Then two. 
Then three. As the hours pass by in the day, old completed tasks slip off the 
Dashboard. Which means I have to do more productive work to keep them filled.

 

As for rewards, levels, etc., you can probably drum up something as well as I 
can, so I’d leave that to you.

But becaouse sometimes it so helpful to me to add some motivation to my work I 
would so much wish to be able to use some gamification ideas in MLO and found 
no way whatsoever to integrate it smoothly.

This would be f.e. a counter for done tasks or counting dredits for them or 
streaks for repeated tasks or sth..

Maybe so has a suggestion or the team a easy integrated solution for that..

BOTTOM LINE: Like you, I hate overdue tasks. For day-recurring tasks I set long 
lead times. For hour-recurring tasks, I beg to have a “working hours” field in 
MLO settings which it considers in setting the end date/time.

 

First, I am exactly the same as you: I hate to see overdue tasks when, for 
example, I wake up, or as you said, travel.

 

For awhile I’ve proposed being able to put in a calendar of working hours/days, 
similar to MS Project. So that, If I have an 8 hour tasks starting at 7 p.m., 
it’s end date would be Next morning around 9 a.m., rather than 3 in the morning.

 

And almost exactly like you, I have an apartment near Boston. So when I get 
there it shows me all these tasks that are overdue! There, what I do is to 
create week long lead times for daily recurring tasks. Like “tidy the office 
every day”, instead of having a lead time of 1 day, I put a 7-day lead time.

I struggle with this too. My workaround is to set the start date for when I’d 
like to do the task and the due date as the latest date eg recurring weekend 
tasks start on a Friday and are due on Sunday. When completed they start the 
next Friday etc

Interesting! I’ve never had that problem. While I can’t think of what would 
cause it, I strongly sense that mlosupport… can. I say that because I had an 
odd issue, one I thought would never be answered, and they answered it just 
fine. So, I suggest work with them and I’ll wager it’ll get solved. My guess is 
you probably already did that, so instead, HAVE A GREAT WEEKEND .

In the desktop app, I frequently want to drag and drop a task from one context 
or folder to another.

 

If you click on a task then drag the mouse, it selects the task and whatever 
other tasks you happend to drag the mouse over.

 

Normally, I would expect that to work more like windows file explorer, where it 
would begin dragging the selected task.

 

To achieve that, it's necessary to click (i.e. select) the task, un-click the 
mouse, then click again and do the drag to move.

 

It's inconsistent with the way most other UI's operate.

 

Hoping it can be addressed in a future update.

If you’ll forgive me for not trying these ideas beforehand, I’ll share what I 
would do that typically gets me to what you are looking for. I’ll use the term 
to “play with” to mean “You’re a smart guy, so start fiddling with these and I 
sense you’ll get it”.

 

In the Advanced Filter section, I’d try adding, one at a time, these filters to 
see if they bring you towards what you are after.  I’m not thinking about 
order, just throwing down what’s worked for me in the past:

1.  “Parent project=empty” or does not exist. The idea is that the actions 
have a parent project, but the parent project itself doesn’t.
2.  Set your hierarchy to flat list.
3.  You can set Group By to whatever you prefer, including nothing.
4.  In the advanced filter, try “Parent is none”, which is similar of 
course to (1), above.
5.  You can set the view settings to “Active” tasks, or you can set it to 
“All” then add something like “Start date On

I'm a new user, coming from NirvanaHQ as my previous task manager, and looking 
to set up a GTD-esque system within MLO.

I am trying to create a view that only shows ACTIONS, and not PROJECTS, and I 
can't figure it out.

When I go to "Active Actions", I can see projects in there. I can't complete a 
project, I can only complete actions.

 

They are labelled as projects and are a blue colour, but still appearing on

Only hard coded in in views conditions. For ad-hoc workspace filtering you have 
to use a workaround such as using tags for durations or using contexts for 
durations.

I didn’t read Flet’s full reply, so excuse me I repeat. Here’s how I did it:

 

1.  Either create a flag for each person, then set views for each person 
which filter for their flag.
2.  Or, ditto for text tags.

 

So, each colleague has MLO, and a view which filters for their tasks (flags or 
text tags).  With 1 click you can delegate to anyone you want.

In short, you can't. It doesn't have that ability natively. HOWEVER--

 

What you can do is sync an MLO file via MLO cloud-- or just a portion of one 
(probably even a single task), and have the other use sync to the same file in 
the cloud.

 

It's been 10+ years since I did this last, but MLO doesn't really change.

 

If I recall what I did, I had my "Master" MLO file that had all my own stuff in 
it.

I had a section in there for a particular project.

I created a specific sync (branch option) for just that piece of the project.

I had my friend connect to that section, so we were now "sharing" that bit 
section of tasks, but he couldn't see anything else in my Master MLO file.

This part, I'm not sure about, but I think I had my own, separate sync for the 
entire Master file, but it seems like double-sync'ing the same section would 
cause problems, though I don't remember it being an issue.

 

Since Tasks don't have an owner (you could make one via custom fields, I 
guess), I used flags and icons to indicate what was delegated and its status.

 

MLO is not at all set up for it, but you can see what's possible.

it worked for a day, I was quite enjoying the applause on task completion
and then it stopped, I can find the sound bytes and they work but the
application is not triggering them.

 

i have deleted and recreated the task completion condition but this did not
fix it

 

I note that a stop sound command exists, within Tools but maybe a Start
Sound Command should also be included, noting that i did not click this that
stopped the sound

 

i cant recall what i was doing, i was clicking around looking at the MLO6
features or trying to find them etc

Hi.

 

My approach for zoom would be to go to the Main View and set in the Advanced 
Filter section “Top Level Folder Name=Joel’s Stuff”. That would just show me 
tasks from one folder.

 

To hide completed tasks, I do this:

1.  Since the view in the pane is set first in the Main Window, I
2.  Edit Advanced Settings and add “Complete=False”.  That will hide the 
completed tasks in the Main View and as well the Dashboard with the same view 
name.

 

As an aside, I have a dashboard that shows JUST completed tasks over the past 
hour, so that I can see my rate of accomplishment.  I only have true 
accomplishments set to “show completed tasks”; otherwise, “Have coffee” would 
be incorrectly shown as an accomplishment.

Regarding the Dashboard, does anyone know how to hide finished tasks or to zoom 
into a folder?  This is an absolute must for this tool to be of any use to me.

I cannot find anything in the help files.   I'm looking for any reason to buy

POSITIVE. No one is bashing this app here. Personally, MLO remains my favorite 
task manager and certainly my most used app.

I agree with you that integrating calendars would be a worthy release, 
implemented exactly as you say.  Phase I might be a calendar viewer.  Phase II 
would be the ability to add new appointments, including recurring ones.

BOTTOM LINE: I have no problem with reminders.

 

It may not be the same thing, but reminders work for me.  When I miss a task, 
and I’m looking at an overdue reminder, I mark it done, and then it fires again 
at its normal scheduled time.  I realize this has a couple of problems, 
including it shows a task marked as done when it really wasn’t done, but I’m 
used to that by now and worse case go to my completed items and delete the 
completed task (obviously I’m talking about a task where I have ‘show completed 
task’ unchecked).

 

Back to reminders.  When I click dismiss, the task is still shown as overdue, 
and when I mark the task done, the reminder still re-occurs at its scheduled 
time.  So, while I sense you are probably correct, I don’t have any issues with 
reminders…now that I understand how they work! (I didn’t used to).

 

In the past I’ve suggested having “working hours in settings”, so that a task 
that is set to recur daily on workdays doesn’t go off on Sunday.  Or for hourly 
tasks I don’t get a reminder to check email in the middle of the night.  In 
other words, it would count an 8 hour-recurring task NOT including non-working 
time, as MS Project Manager does.

I struggle with using MLO for daily repetitive tasks.  I have a problem where I 
set tasks to reoccur every day.  This works until I miss a day and accidently 
dismiss the reminder then I don't get notified every again.  

Sometimes this goes un-noticed for embarrassingly long periods of time and I 
clearly need a better solution.

 

Before I start looking at calendar reminders from other platforms I thought I'd 
check here.  Does anyone have a working solution that would still remind me if 
I forget a day?

Your concern was probably answered already so ignore this if so.

 

1.  Starting with my Main View, I create the view I want and in my advanced 
filter I put “Completed = False” as one of the line items.  Then, once I save 
that custom view (or resave it), the Dashboard will reflect the change. But you 
know this, apparently, so….
2.  …so first let me give my own answer.  In my case the Dashboard always 
reflects the filtering from the Main View (I have one view that doesn’t update 
properly but it indeed acknowledges the filtering).  Again, you apparently know 
filters well, so what’s the problem? My guess, and it’s just a guess, since I 
think you’ve tried the obvious, is that it’s possible you haven’t re-saved the 
custom view once you edit it’s filter.  In other words, if I edit a view to 
remove completed, the Dashboard will still show them.  If I edit a view to 
remove the hierarchy, the Dashboard will still show them.  That is, until I 
re-save my changes in the main view.  Then the Dashboard should update 
instantly. If not…

 

…then you either have a special bug, or else someone else has a better answer.

great work on version 6. I like the dashboard approach, but I am confused by:

1. I set up a new dashboard and it I can't hide the completed tasks. That makes 
it very much unusable for me. Maybe I missed something, but I couldn't find an 
option to change it. The selected views for the different windows have 
completed tasks hidden.

 

2. when selecting a custom view with filters/options like:

specific context, completed hidden, no hierachy (so basiacally a plain list of 
all uncompletd tasks with the selected context)

It still shows the complete outline / all tasks with folder structure.

 

I haven't yet found a solution to change above. It looks different on the short 
clip on the MLO website.

BTW I use a dashboard on my laptop (and desktop) with no problem, and it has 7 
panes, each showing the top few tasks (I’m experimenting with each window being 
a different level of critical-ness).

I am still playing with it, but my intention is to use a Dashboard for my 
weekly planning (ala Franklin Planner). One window would have my goals, the 
next my key roles and "Sharpening the Saw", then finally my project review 
window. It would only work when I'm connected to my monitor as my laptop screen 
would be too small to have that many windows in one Dashboard. 

 

This is just my first thought and would be interested in hearing what others 
are using it for.

Something much more useful would be split views. You could create a split view 
using an editor similar to the dashboard editor. Instead of opening in a 
separate window, the split view would open in a tab. It would provide the full 
functionality of adding/editing tasks within each pane. So it would be two (or 
more) views combined into a single tab.

I see your point, but have a different perspective on text tags.  I’m guessing 
that you (correctly) mean that nowadays “tags” means you can affix as many tags 
as you want to an item.  Of course you are correct.

 

But the usage here, I feel, is rather not a tag as we know it, but rather an 
additional text field, one which can be used for filtering. Furthermore, unlike 
photos, web pages, etc. I can’t see a need where I’d say “Show me all the tasks 
that involve ‘Tools of the Trade’.  For that, I’d use a folder or flag.

 

Again, your point is valid, but I wouldn’t recommend it for adoption.

I agree that it is limited. but you can put more keywords in it.

Then, use the search text tag function instead of the filter. This way you will 
be able to find the task with multiple text tags.

To differentiate text tags with task names, you can put in special symbols like 
@ # ?$ ...etc so the search will include these symbols and will not show the 
search result with the task name.

I don’t think you can use custom formatting on Android. (Obviously), you can 
use automatic formatting on desktop, which I use all the time.  But I’ve never 
seen such features on Android.

Here is my best idea (but not very good).

 

1.  Create a project
2.  Make the start be 9/1st and the end be 9/30th
3.  Each subtask is 1 chance and there are 30 of them.
4.  Create a delay of 1
5.  For each and every sub-task, make it dependent on the preceding sub-task

 

 

This way, if they cast a vote, it is 1 day before another is available. After 
30 days, the due date is past and all subtasks are red.  

 

NOTE TO DWIGHT:

Dwight, I LOVE this guy !!! This is a perfect – repeat perfect – example of 
why the dependency AND delay should implicitly default to the preceding 
sub-task.  Who wants to create 30 dependencies?  No one.

Sorry I don't speak english very well, I used google translate. 

 

I'm participating in promotions and the rules are focused on: a number of 
chances per month (say 4) and a limit of one chance per day. There are many 
such activities, so I want to manage them through MLO. I have tried several 
methods, but they are all flawed. Do you have any good suggestions?

 

I tried "Complete subtasks in order", the problem is that in the Widget 
interface I can't quickly know if a group of tasks has been completed that day 
- it will continue to be displayed on the interface (after the previous task is 
completed, the next one will naturally appear, sometimes I wonder if I 
completed it today).

 

Then I try to add dependencies for each subtask and set the delay to 1 day, the 
problem is that the delay time is 24H, and I expect it to be 1 natural day (for 
example, the first task is completed at 20:00 on the 1st, and only after 20:00 
on the 2nd can see the second task on the widget).

Agreed.  

 

I don’t like them either, mostly because I always feel that if the developer 
stops development for any reason (including retirement), I’m left with nothing. 
 Also, by now everyone has experienced software that’s taken a big step 
BACKWARD.  E.g. this “sharing phenomenon”, which I always thought a waste of 
time, has often resulted in dropping features.  The most blatant example I know 
is Adobe Photoshop Lightroom.  I’ve used the same version for 6+ years.  When I 
looked at the new Adobe Cloud that Adobe raves about, literally half the 
features were gone.

 

Ditto for Quickbooks.  I went from desktop to cloud…then called and cancelled 
my cloud, in favor of the feature-rich version I had been using.

 

Thus, I can foresee the day when I read…”You can now have shared MLO lists for 
team work!”, but with it gone is advanced filtering, gone are hourly contexts, 
gone are text tags.

I agree. I am not a fan of subscription models...especially for standalone 
software. I'd rather pay once at retain ownership. I'm happy to pay for 
upgrades. As I approach retirement, this becomes even more important to me. I

reasons MLO went entirely subscription-based, I'd probably sign up because I'm 
a long-time user and many, many searches and trials have shown me that while 
almost everything else looks nicer (mostly talking about Windows), there's 
nothing out there with a comparable feature set. Just don't piss on my head and 
tell me it's raining...subscription models are all about generating more (and 
more steady) income.

I have a view that shows all tasks that were modified in the last 48 hours, 
sorted in descending order by time modified. It's useful when I want to undo 
something. It's better than "undo" because I can undo the penultimate thing I 
did without having to redo the last thing I did. It's also useful when an item 
I'm working on vanishes. For example, working in a view sorted by context I 
decide to change the context and due date for a task. If I change the context 
first, the task will vanish because it no longer p[asses the filter. To finish 
changing the date I have to find the task. Easy, it's at the top of the 
recently-changed view

I “think” you can?

 

I believe that the way reminders work is this: if you set the reminder manually 
to be 3 days after the due date, the reminder will always be 3 days after the 
due date, even if it recurs.

 

You may be saying something else; e.g., that there should be a default reminder 
that you can set to remind you when any task is 3 days overdue.

Pretty much same here.

 

I used to enter time effort, and target my total time, but now I use flags to 
group tasks by priority, ignoring time.

 

The only slight exception is that a “*” in the caption indicates that it is a 
quick-task, one that can be done with other similar ones quickly.  I used to 
enter 2 minutes in effort, but now I use the “*”.

If it’s of use to you, I’ve been using the desktop version and cloud sync for 
many years and never have problems, so I sense it’s something resolvable by 
support.

 

I’m saying this because indeed there are softwares that never seem to work 
correctly syncing (haha I just uninstalled one yesterday!). MLO isn’t one of 
those; it works fine.

Hello! I am using MLO with great joy on android phone and iPad. A few days ago 
I decided to go full in and also bought the windows version (and crossover for 
Mac) Quite an investment..

I also have a cloud sync subscription, syncing well between iPad and android.

When I log in on the windows version to sync I get the error: 

could not login to server. Server response: "Invalid pointer operation"

 

I tried resetting password, uninstalling and reinstalling.

I sent an email to MLO support and they answered this:

*   Starting out with a clean, WINEARCH=win32 wine prefix.
*   Using winetricks to install the following packages: msxml3, msxml4, 
msxml6, riched20, wininet, xmllite, urlmon
*   Setting the OS version in winecfg to "Windows XP" ("Windows 7" did 
not work).

Unfortunately, there is nothing more we can do.


this sounds like abracadabra to me. 

 

one thing that comes to mind now is that I bought MLO4x with might be different 
from MLO?

 

Anyone that can help me? thanks!

I’ll add to #2 with another reason for past date task completion: sub-tasks 
with delays that depend upon the task “PROJECT BEGINS”.  If I want to fast from 
4 p.m. to 4 a.m., and I get home at 6 p.m., I need to be able to mark that the 
fast began 4 p.m., rather than 6:10 p.m. when I marked it complete.

It is related to the suggestion MLO needs an API, and the bottom line is the 
longer you keep adding extra code to have more and more features, the more 
bloat, slow-down, and unnecessary complications I have to deal with even if I

The more you keep changing in features without rewriting as an API-friendly and 
scriptable tool, the more wasteful work has been done for nothing because if

The advantage of scripting is more than one might think because any event can 
be a hook to run script in any context and once people can add features then

The only problem with adding scripting or at least the API interface to allow 
scripting is if you don't properly implement to be efficient and capable but 
there should be many examples to learn from in opensource communities.

What I mean is that, I like my parent folder to have all my case notes (phone 
logs, observation notes, etc).  The parent folder has many subtasks.  Those 
subtasks are simple todos though -- they never have notes.  So if one of those 
subtasks is currently selected, the notes pane should display the notes for its 
parent folder.  This would be a task-level option; not an outline-level option. 
 I can explain more if it helps.  

 

*Only one folder from this branch can be expanded at a time. 

If I have many folders, or subfolders, of the same level (i.e. all siblings of 
the same branch), then only one of them can be expanded at a time.  If I expand 
one, the other one collapses automatically.  This would be an outline-level 
setting.  It would have to be easy to turn this setting on and off.  

 

*Rich Text in Notes.  

I tried getting used to Markdown, but it just doesn't work for me.  I need to 
be able to edit the notes and see them at the same time.

At this point, I say “Try it”.  Ignore the following, but I’m thinking that if 
you filter out #TimeFrame contexts, at best you won’t get them grouped the way 
you like.  And at worst, you won’t see them listed at all, even if they have an 
@people.  Try it, though.  Again, I return to that from a human point-of-view 
the contexts #Today and @Person are two different things.  But to a computer 
they are both contexts.  So I sense you’re forcing a square peg into a round 
hole and do better to use flags, text tags or captions to perform another duty 
for you.

can't sort by Context, as that field can have more than one value. Group by 
Context makes a result appear under whatever Contexts you have assigned to it, 
so it can appear multiple times.

 

Because you're using Contexts for more than one category of "thing" - eg people 
and places, I can't think of a way of filtering and grouping to solve your 
problem. Just one suggestion: Have you considered using Flags or Text Tags to 
list the people involved in a task, instead?

Hello Grant.

 

Without getting too detailed, here’s how I edit them.  When you click the “add 
subfilter” button to the right, you are creating a new kind of filter, a filter 
GROUP.  Within the new group, you can add as many filters as you like, 
combining them as AND/OR as desired.  Finally, remaining is to specify how that 
new group relates to the other conventional filters which you are acquainted 
with.

 

It took me a while to get used to them, but once I did they became simple to 
use, except for cases with complicated filter conditions.

 

BTW, I also use those groups to combine similar filter conditions.  E.g., I put 
all my text tag conditions into one sub-filter, all my flag conditions into one 
sub-filter.  That way the overall filter looks cleaner.  In this example a 
sub-filter is unnecessary.  But I group similar filters rather than have 10 or 
so lines of filters.  This way I have two filter groups, each with 5 similar 
conditions: flags and text tags.

Hi,  I can not get my head around how to add subfilters in the Advanced Filter. 
 When I create a top level filter, and click on the 'subfilter'  button to the 
right, the conditions of the top-level filter disappear, and only the 'AND/OR' 
remains.  If I try to edit that, I only get the option to precede it with 'NOT' 
and maybe some other conditions.  The parameters are gone, eg 'is starred'.

 

The HELP file contains no details on using the Advance Filter, so I have come 
here for help, or a pointer to better instructions.

Well, I used to record all my notes relevant to tasks in MLO, though now I'm 
using OneNote at work (and that's a brilliant way for recording meetings, if 
you have it integrated with Outlook and can pull all the meeting information, 
attendees list, etc, from your calendar). 

 

In MLO, I would record any relevant phone calls or other activities in the note 
text for the relevant todo item, with a date stamp (using Ctrl-D hotkey, in my 
case) in front of each note. 

 

If I have a particular series of meetings, I tag any relevant tasks with the 
relevant meeting type (eg "progress", "technical" or "commissioning" meetings). 
I can then filter my tasks and folders by meeting type and/or apply a text 
filter for those which have a specific date stamp in the notes, to get a 
shortlist of all the items which need discussion at the next meeting.

Personally, I wouldn't try to use MLO to record full meeting minutes to share 
with other people, as it takes to much filtering, exporting and then 
reorganising in the document.  However, you could set up your outline so that 
you keep the general meeting discussion and the header (participants list, etc) 
in a folder-note, then place all the tasks related to that meeting series 
(along with their progress notes) as children of that folder.

I looked at it, as I do any goal software.  I agree with some reviewer, 
somewhere, who said that for some reason there isn’t any perfect goal software. 
 I use MLO goals to classify by importance (and use MLO importance and urgency 
for sorting).

 

My real goals are kept in my Daytimer, in paper.

 

BTW my guess is that implementing a graphical goal structure would be too 
difficult, program-wise.

Hi, I've just come across German app Goalscape (https://goalscape.com/en/), 
which does a nice job visualizing goals and would seem to be a perfect 
graphical overview for MLO. Except that it's a different and pricey app and 
data would somehow have to be synced back and forth.

 

Has anyone looked into that sort of thing, and maybe found a solution? The best 
I could come up with would be to use a Sunburst diagram (available in MS Excel 
and PowerPoint) and either fill in the data manually or do some advanced magic 
with MLOs' export file.

I don’t think I’d want sections to be closing as I’m working on them, but what 
are your thoughts on an auto-close that closes sections after you haven’t used 
them for a pre-set amount of time, like 5-10 minutes?  I use Mindjet, which has 
that feature.  The result is I never need to hide/collapse anything because the 
software does it for me. My specific recommendation was to close the view and 
properties panes, rather than the sections.

 

Or do you still prefer auto-collapsing sections?

For me, goals and projects are two different things. First comes the goal, buy

There could be a project, there could be a set of recurring tasks, there could 
be affirmations on your mirror (which I hate), there could be visualization, 
etc.

 

A project is one approach to meeting your goal.

I’m not professing this will work, but I’d do this. Hierarchy yes, but don’t 
include children. Plus the advanced filter for no flag.  Alternatively, perhaps

I’m confused by this link.  Likely it’s me being stupid, but since the purpose 
is to clarify the process, maybe me being dumb is a good thing. Here’s the 
problem, as I see it:

 

1.  I have MLO 4 on one tablet but not the other (still 3).  So, I figured 
I’d go to 4 with the second tablet. 
2.  I clicked on the link.
3.  If I click on “this app website” (from my tablet) NOTHING HAPPENS. Dead 
link.
4.  Still guessing (which is bad), if I click on the link “Android task 
manager”, part of “How do I upgrade from v3 to v4, it brings me to “Buy Pro”, 
but…
5.  Then it says “How to buy MLO 3 Pro”.  We started with 4, but it ends in 
how to buy 3 Pro.

 

UNRELATED QUESTION:

1.  How do I install MLO 4 beta on my second tablet?  Before, I tried the 
email that said “Download the latest build”, from a 6/22 14:05 email, but it 
brings me to a completely blank “firebase app distribution” screen. My main 
tablet already has it.  Why can’t I get it on my 2nd tablet?

Dwight, I believe, gave me the answer to this a long time ago.  It’s not 
related to the upgrade I don’t think.  I wish I could remember the solution, 
but it had to do with looking at the parent, as the filter setting.  If that, 
or something like that, doesn’t work, ask Dwight directly.  Unfortunately I 
don’t remember which file I used it in; else, I’d look it up for you.

Certainly, your opinion is well worded.  I’ll add my own opinion, not to argue 
with you, but to offer a different opinion.  MLO is a mature product; as such, 
it shouldn’t have frequent updates.  It has tons more features than any todo 
list, and I’m challenged to think of something it doesn’t do…that fits within 
the realm of a To Do List.

 

I know what you mean though.  There’s another excellent software, Xpert-Timer, 
that TRULY hasn’t changed much in 10 years, despite 4 version numbers later.  

 

Finally, have you had any great softwares that you wish HADN’T been upgraded?  
So many windows products have lost features, for the sake of adding a “share” 
button, or a “like” button, or pictures of my friends…none of which are 
important to hard-core users.

 

Again, I’m not arguing against you, since I’ve had a similar opinion, only not 
with MLO.

I haven’t been a MLO app user for such a long time as you, but it didn’t take 
me much time to start suspecting what you are confirming here. It seems the 
frequency with which new MLO versions/upgrades are released is super low. I

I bet they don't even pay you for all this work you do, but thank you for 
sharing it with us. 

 

I bought MyLifeOrganized before 2.0, I guess it didn't even have a version 
number. Checking back the past few years I was shocked that they have improved 
absolutely nothing that would benefit me. I bought 5.0 because I thought hey it 
would have all the things fixed that make it too slow to be reasonable, but it 
is all the same problems still. I am sad every time I hear good suggestions 
because I know they will be completely ignored even 10 years later. I am very 
disappointed in that aspect, even though the original idea has yet to be even 
attempted by any capable competitor.

 

The best way they could have used their initial million or whatever they got 
from us making them popular could have been to integrate an API and then 
continue building their ideas on top of that. By API I mean giving my own 
applications ability to navigate and manipulate the tree of tasks and 
properties. Then most every idea I've heard could have been solved probably not 
by them but by people who want the feature enough. My idea was that you could 
add hooks and script things like populating a new task or set of tasks based on 
my own preferences.

I don't know of a way to get a list of workspaces, so I think this might be a 
good feature request. Even better if the list was filterable by typing part of 
the workspace name. 

 

One key combination which might work better for you than using the mouse: As 
with browsers and tabbed apps like MS Excel, you can use Ctrl+PgUp and 
Ctrl+PgDown to scroll quickly through your list of workspace tabs. The only 
problem is that it doesn't make the names of the workspaces visible anywhere.

Coincidentally I was looking at that feature 2 hours ago. While I'm not 
convinced I am going to use it, if I do it would be from my Android 
version. And correct me if I'm wrong it is not on Android yet.

I did a similar thing by tracking how many accomplishments I did each day.  
Then, each day I tried to up the previous days’ record.  Here’s how I did it:

1.  For those tasks I want to record as accomplishments, I checked 
“completed copy”
2.  I created a view for tasks completed in the last day
3.  I filtered out anything that appeared in the view that I didn’t want 
appearing
4.  I made a counter for that view

 

So if I drank water it showed 1 accomplishment.  Next day I might try that plus 
having a martini, makes 2.  Third day might be smoking a big fat bone before 
work, drinking water, then downing a martini (olive) makes 3.

Once you label something as a view group, you can drag other views into it.  I 
have view groups for different location (home, apartment, remote) and different 
views within them (active, forward, goals, etc.)

I use Pomodoro,  but my vote would be to keep them separate because I don't see 
enough integration potential.  Potential shines for work and recovery

If any next action on a task is designed to be completed within 20 mins, then 
that fits nicely.  The way I approach this is thinking to myself, can I 
complete this task in the time I've allowed (eg. 20 mins)?  If not, what can I

rinse and repeat as many times as needed.

I use them the way you are supposed to use contexts. My context are 
exclusively location and work or personal identifiers. I use the text tags 
for identifying active work vs delegated work vs can wait work. And on the 
desktop I Group by text tag. On the mobile devices I do not use text tags 
at all because I do not think we can change them on mobile devices. Maybe 
someone will tell me I am wrong haha. Hope that helps. Have a great week. 
PS I put a number at the beginning of each text tag so that when I group by 
text tag the active ones are at the top and the least important ones are at 
the bottom.

I agree.  I voiced this same complaint awhile ago.

And I don’t agree with workarounds.  For apps nowadays, I feel the best 
practice is:

 

SUGGESTED IMPLEMENTION:

Checkbox: Allow reminders on this device Y/N

 

You uncheck it, and voila, no reminders.

You check it, and your reminders come to life again.

Hi,

I love MLO but one thing annoys me a lot.

I constantly set up little reminders with my phone from MLO mobile version 
(android).

Then obviously these reminders are synced to my desktop version (windows 10) 
and it triggers a pop up, constantly disturbing my work (+ freezing windows 
task bar...).

The fact is I would like these reminders to pop up on my mobile only and be 
silent on my computer. I tried to modify the default reminder action on my 
computer (pointing towards a blank file for instance), but if the reminder is 
set from mobile, then it's the regular pop up reminder that will be set on 
desktop.

It annoys me a lot and maybe there is a registry hack or something off the 
books that I could implement to purely disactivate pop up reminders on desktop, 
while keeping them on mobile.

Any hint / solution would be highly appreciated.

[MLO] Sub-projects appear as two projects instead of one in a projects view

I agree. In my words, a sub-project shows up as two projects. There's 
probably a way around this, but is there on the Android platform ?

I’m not on tech support Kenny, but my understanding is that if you install it 
on other devices, you need to buy a separate license for each device.

 

Once you buy the license, you log into your cloud account and sync.  I’ve done 
this with a few employees; namely, bought them licenses and linked them to the 
one cloud account.

Thanks for a great solution.  I've used many over the years and MLO is EXACTLY 
what I was looking for.

 

I have the Pro version installed on my laptop along with a subscription to 
Cloud synch.  According to what I'm seeing in other posts licensing is per 
user, not per device however when I'm working on my home desktop or iPhone I 
constantly get messages stating I need to upgrade to the Pro edition.  Task are 
syncing so I believe it's setup correctly.

 

are there instructions for correctly adding additional devices so they 
recognize the pro license?

Apologies if I’m not understanding correctly (which unnerves me when it happens 
to me), but a task doesn’t recur until you mark it complete.  So, if I have do 
laundry for today, yet never check it off (this example is certainly realistic) 
then it’s eventually shown as overdue but never does another laundry appear.

Is this possible somehow to not re-create recurring task instances until the

Here is an example - I have morning routines for 9am daily. However, if I don't 
complete the routines on Tuesday - then I don't want new copies to be created 
for following days until I mark the ones from Tuesday as complete.

 

Or if I didn't do Laundry last weekend - then I don't need 2 laundry tasks on

I don’t know if this is the case, but the server was down briefly a few weeks 
ago and I couldn’t sync for a couple of hours.  Mine’s fine, though, so I 
suspect that’s not it.

Update:

This is the case with the PCs also. Icons are sitting there, ready to sync, but 
are not sync'ing.

This feature was working weeks ago, beautifully. I would complete a reminder on 
my phone, and within a minute or two, the reminder windows on my computers 
would close.

Now, doesn't even appear to be sync'ing on startup.

I keep my templates in my original file. They are under a folder called 
templates and it is marked as hide the branch in to do. I just copy and paste 
and do not inherit contexts (because I already set them up with the project

Why?  It’s a hot time management technique nowadays.  I implement it externally 
(app Productivity Challenge).  

 

MY WISH LIST:

1.   You have a set of time management items, just as flags and contexts

2.   You can specify how much time you want to spend in each category

3.   The software alerts you when you’ve exceeded the time in a given time 
category

4.   The software shows you the percentage of time spent in each time 
category (example: I spend 5% of my time reading email)

5.   You can specify what time period you want to track results for, e.g. 
rolling 7 days, rolling 30 days, today

 

Obviously, though, there are a lot of options possible, depending upon how 
complicated you want to get.

 

TO USE:

You set your time categories and optionally how long to spend in each time 
category per desired time period (see 5 above).  So if I want to check email 1 
hour per week, I put in 1 hour.  I use MLO as usual and a pop-up shows me when 
I’ve exceeded my time goal for my specified time period (1 hour in 7 days).

Once in awhile I experiment with an idea that most of the time I DON’T like:

 

I create contexts called 0800, 0900, 1000, 1100, and so on.  Each represents 
time.  Each has hours set to, for example 10:00-17:00.  Then I assign tasks to 
each so the day is more balanced.  In other words, at 0800 a bunch of tasks 
become active.  Then an hour later another bunch starts.

 

It doesn’t matter what the start dates are for each task, since they won’t be 
visible until its context becomes active.  

 

I do this so I don’t start the day with 100 tasks staring at me. 

 

Again, most of the time I DON’T use this idea, though it has merits in my 
opinion.

i.e. For any given day, how do you plan which Contexts you are going to do in 
which order?

 

 

[I apologise in advance that this is so long. Partly I am trying to get my own 
thoughts clear!

I've marked it up to make it easier to skim-read. ]

 

BACKGROUND

For any task like to know, some or all of the following:

 

1. What Area of Life it's in 

   ==> this I do through which MLO Folder I've put it in.

 

2. (If it's part of a larger project) what major project it's part of 

===> this I do by 

a) using a hierarchy

b) using the MLO Projects field in the parent task

 

3) "Priority" - what is the real-world Importance & real-world Urgency

==> I use the MLO Importance field, but because I find it too hard to enter 
both values for all tasks

Importance means importance, except if it's importance is "max" in which case 
it means must be done urgently, irrespective of importance!

 

4) "Do today"  status

==> I use the MLO Star field to flag up at the start of each day what I want to 
take on today. 

 

5). Different types of "contexts"

A) What "where context" 

i.e. Physically where must this be done

==> Use of MLO Contexts field (e.g.  @PC, @Office(paperwork), @Home, 
@Errands...)

 

B) What "mood context" 

==> I *also* use the MLO Contexts for this (e.g. @Calls, @DeepThought, 
@LowEnergy ...)

 

C) What "task size" 

This helps me pluck any quick wins - low hanging task 

==> I *also* use the MLO Contexts for this ( @Quickies..)

 

D) What "time of day context" 

I only use this occasionally, but it can be important.
Normally tasks get done at the correct time of day depending on their Area of 
Life

But sometimes a work task must be done during the evening

And sometimes a person task MUST be done during working hours 

==> I *also* use the MLO Contexts for this too (e.g. @Evenings, 
@WorkingHours...)

 

E) What resistance history?

For tasks that have been around too long, I also want to flag up "Frogs" - 
harder/high resistance stuff (witness by the fact that I have put them off). I 
like to start the day with tackling one of these tasks.

This ALSO goes into the MLO Contexts field  (e.g.@Frog)

 

 

6) What "Executable Status" (when would I like see again & execute) 

==> 

a) Partly I kick into the future (change MLO Start Date field) so task 
disappears of Active view  [GTD "Tickler" file]

b) Partly I also use the  MLO Context field too [@Soon/Later, @SomedayMaybe, 
@Bonus ]

 

 

GATHERING MY THOUGHTS


So I am now using the MLO Contexts field for SIX different types of thing: 

 

A) What "Where context"   ==>  (e.g.  @PC, @Office(paperwork), @Home, 
@Errands...)

[Explanation: I do find by using task management software it's all too easy to 
keep yourself busy executing lots of tasks... but it's not clear WHY you are 
doing stuff. In fact it's very easy to do all the wrong stuff.]

==> So I am really going to allocate Goals using the MLO Context field, as well 
as for the other SIX things listed above?

 

b) How (the heck) does one plan which Contexts I'm doing to do today and in 
which order... 

...And hopefully tie in which task area part of those Context?

  I prefer to tap someplace once, and I’m suddenly in edit mode.  Like, other 
apps offer 1-click editing, as an option, where you avoid any preview and go

My answer will either be reasonable to you, or else insufficient for you, but 
here’s how I’d implement it.  Apologies if you already know this.

 

I’d set up a context with hours, called @Evenings, with hours open from 18:00 
on.

 

If I needed to see what was upcoming but not yet active, I’d play with a couple 
of things.  Maybe a separate view that has “show closed contexts” on, grouped 
by context so that I can glance at it to see what’s upcoming in the evening, 
all the while my primary view has don’t show closed contexts, hence showing 
only active tasks.

 

Not what you’re looking for, and certainly not relating to timed flags, granted.

Did "CurrentDateTime"  ever get implemented?

I would like to have time-of-day can be built into my Advanced Filters so that 
I can grey out tasks which are set for "~EveningsOnly", but have them go black 
in the evenings.

I hope you're having a good weekend.

First,, Alan, I salute you for being, like me, a tech-slut: as soon as I fall 
in love with one system for more than a month, it seems I think of a better way 
to do things and I'm on to something different.  Like you, though, I always 
come back to MLO.  Second...

...I love workspaces.  I use them for different contexts.  So, today I went 
with Sharon to a coffeeshop and dialed in my "Remote Personal" workspace and 
all the views within it use remote personal contexts.  Next I came back to my 
office, where I use a "Work Office" workspace, again with views using relevant 
contexts.  Finally, when I take a workbreak, I punch up "Break Office" for 
everything I want to do during a break at the office.  I have a similar one 
"Break Home" for breaks at home if I'm working.  I prefer workspaces versus 
different views for these for two reasons.  One is it would result in a lot of 
extra views all appearing at once on my view list.  Second is that it allows me 
to set up one VIEW, called "Active tasks", which varies only as a result of 
changing the workspace (again, the contexts change workspace to workspace).

documentation of the function of a workspace, omitting just one small point 
which I will get to later. You may or may not want to also mention use cases 
that give the workspace value to the user - my favorite is use of the tab bar 
as a kind of speed dial for views. I keep 26 of my favorite views (or view/zoom 
combinations) in tabs, each locked and pinned so that only the icon shows (I 
have many custom icons). I'm able to bring up the exact view I want in a single 
click almost every time.

The missing piece is synchronization of selection and zoom. I don't use zoom 
synch much but selection synch is very useful. For readers who don't know, I 
will explain that the workspace setup window allows the user to control several 
things about functioning of a workspace, one of which is "synch selection with 
first tab". This is one of several aspects of MLO which dictate that the first 
tab should always be a locked, pinned "All Tasks" view. Here is a scenario that 
shows the use of this option:

My setup has four tabs, all locked and pinned. First is All Tasks. 
Second is Calls, showing every active task whose context includes "call". The 
third is for my customer BVMI, and shows anything with the #BVMI context, 
together with all children. The fourth is "recently modified" showing any task 
modified in the last three days, sorted and grouped by date/time modified, most 
recent first.The workspaces for Calls and BVMI are set to synch with the first 
workspace, RecentMod is not.

I see an RFP from BVMI's competitor NJPHC and add a note to my inbox to look 
into submitting a bid. Later, I am making my morning phone calls and the next 
one is Touch base with BVMI >WorkCallsEastern #BVMI. I tap on the task to 
select it and display the note which gives me the phone number and some 
reminders from my last call. I tap the phone number which places the call. 
While the phone is dialing, I tap the BVMI tab. 
The tab comes up, showing me everything in my profile related to this client. 
There are a few pages of it, but the display is open to the project that we 
need to discuss. We discuss the project stats, the weather, and the customer's 
daughter's upcoming wedding. I mention, for full disclosure, that I will be 
considering submitting a bid for NJPHC. 
My client gives me several good reasons to forego this bid so I tap the 
RecentMod tab, delete the note about the bid, tap the BVMI tab and finish 
discussing projects, tap the calls icon, mark the call completed, and go on to 
the next call.

How did selection synch help me?

When I was viewing the CALLS workspace and tapped the Touch Base with BVMI 
task, it became the currently selected task in the Calls workspace. 
Because the Calls workspace does selection synch with the first tab (All 
Tasks), Touch Base With BVMI also becomes the currently selected task in All 
Tasks. Because the BVMI workspace does selection synch with the first tab, 
Touch Base with BVMI is now the selected task in the BVMI tab. (This is all 
really just to make Calls and BVMI synch selection with each other, All Tasks 
is just a necessary intermediary). When I tap the BVMI tab, it will open to the 
correct page because the Touch Base task is the currently selected item and the 
view opens there.

When I tapped the RecentMods tab, it did not try to find the Touch Base item 
because it does not do selection synch. When I go back to the Calls page, it is 
still pointing to my current call. My

I haven't found a way to change the size of this text, to show more characters,

I am looking to separate work and personal.  I currently have them as two 
top-level folders in the outline.  But I would like two inboxes (and two 
"quick-entry" widgets on my Android phone).  So am looking at using "Profiles" 
on the Android platform, which looks to do what I want.

A few questions:

1. Profiles don't look to be the same on the Windows platform.  Would a new 
profile be a new "data file" with a corresponding "Synch Profile"?

2. Is there any way to move or copy existing tasks to the new profile?  Maybe 
copy the entire data file and delete everything I don't want?

3. Is it the case that EVERYTHING gets done from scratch in the new profile?  
What can come over on Windows and Android platforms?

4. Is "profiles" a good way to go at all?  How do others separate work and 
personal?

BOTTOM LINE: Android should sync automatically to cloud every 5 to 15 minutes.

DETAIL:
I have push sync tunrned on, yet doesn't know what it does.  Rather than 
confuse you and everyone else, I'll tell you what I think sync should do, 
and why.


I keep 2 files in 2 places, called work.ml and personal.ml.  If I'm remote 
without my laptop I use work.ml on my tablet.  If I'm in the office and 
taking a break, I use personal.ml on the laptop.  Etcetera.


Anyway, I want these two files to "talk" to each other periodically, 
automatically.   So that if I'm working remotely on my tablet on work.ml, 
it periodically tells the latop (via cloud of course) what changes are 
made.  So that when I turn on my laptop I'm assured that what I see is for 
the most part what I last worked on remotely on the tablet.


I said "for the most part" because I realie the sync shouldn't occur more 
than every 5-15 minutes, so I may have a task or two not synced, which is 
acceptable.


Presently - and correct me if I'm wrong - to do this I have to click the 
cloud icon on the tablet anytime I want to be assured that it syncs to 
cloud.  (The desktop does it perfectly, syncing automatically 
periodically).  Many times, unfortunately, I work on my tablet, turn it 
off, and then realize I never synced, forcing me to turn it back on.

Hi Wallace.

 

Keep talking.  I agree that if something doesn’t have a TRUE due date, then it 
shouldn’t be shown.  But how do you get tasks to sort by semblance of due date? 
 Like, if I need to check the post office box every 4 days or so, how do I 
implement that task without putting in a due date?  I’ve asked, in the past, 
for another field marked “deliverable”.  

 

Your thoughts?

Sure I use the Concept, I just don’t use a list for it

The concept is, if a task needs to be done (or reviewed) by a certain date, it 
gets a Due Date

If it doesn’t (and it’s therefore by definition a Someday/ Maybe item), it 
doesn’t

Wol - I'm afraid I don't really understand. Do you not use the concept of a 
Someday/Maybe list at all?

Or if you do, then how do you flag a task as being in that list?

 

And likewise exactly what are you using Due Dates for? I mean are you using Due 
Dates as the date when you want to be reminded to start a task? If so how do 
you remove them from view until that time?

Are there any other fields in MLO (other than Context-tag) that a child task 
does inherit from a parent task?

 

For me these are deeply irritating issues, because I still haven't really 
managed to get MLO to work properly with the GTD method. 

To be honest sometime MLO feels like "The Monkey's Claw" [GRRR]. i.e. MLO has 
so much potential and is so full-featured, but there is always some unintended 
consequence of any new way of doing things that I manage to think up.

 

My main problem I just cant work a good way move tasks & projects between GTD 
'list'. MLO is such a powerful system and yet I feel stuck in 1st gear!

 

For my "waiting for" list I mostly live in Active tasks views and just kick 
things along the road by putting the Start Date into the future, and review 
things then, but that's not ideal.

 

My main problem is moving things between my "Someday-maybe" and my "Active" 
lists.

 

I have experimented by putting everything into one of 2 folder (i.e. one called 
"ASAP" and one folder called "Sometime_Maybe"). I then physically move the 
tasks between the 2 folders, but it's very clunky, particularly when you get 
into the hundreds of tasks.

 

To be honest I'm tempted to move back to pen & paper for a while as this 
technology is slightly getting in the way.

flag for the status you describe (and others) and then create a custom view 
using the “Advanced filter”.

I’m hoping you can help me.

 

I’m about to subscribe to a pro version for Windows and also subscribe on my 
phone. I manage a company of 25 people so I’m hoping this will help me push all 
of our projects forward. 

 

I’ve watched the videos and read the whole manual but, unless I’m being dim, I 
cannot see how I would mark a task/sub-task as ‘waiting on PERSON-ABC’, where 
PERSON-ABC would be one of my employees.

 

What I want is three different views:

1.   shows me all of the tasks, in their hierarchies – this is already 
catered for in Outline

2.   shows me all of my active tasks – i.e. things I can go and do right 
now – which is catered for in Active Tasks

3.   show me all tasks that don’t require action from me, but that I need 
to keep an eye on and ask ‘has this been done yet? - which is catered for by 
telling me to review an action every 3 days, say. 

 

I don’t want views 2 and 3 to be in the same place because I have circa 100 
tasks to track at any one time, but only 10 of those are things I’m going to be 
doing. 

 

The problem is that when I mark a task as requiring as review it does not 
remove it from active tasks, which means even though this task is being done by 
Person-ABC it is appearing as a task for me to complete.

 

CAn anyone help me with this please?

Where I live, "Mid November" like every other mid anything, is the middle of 
the "anything"  In this case, mid november would have been the 15th.  Mid"ish" 
november would be a range, I suppose; but when there is in fact a 'middle' then 
saying "mid" strongly suggests the actual middle.

Indeed, that’s my approach, too.  I have tasks that say “09:00 Exercise”, 
“12:00 Exercise”.  Earlier I said I agree with you that I’d like to make them 
all recurring and do away with regeneration (or at least give the choice)

As far as I am aware this is not possible at the moment.

 

Have you considered creating multiple tasks, one for each hour?

 

So you might create sub tasks one for each hour:

 

Regular Task (10am)

Regular Task (11am)

 

etc

 

Then just set each task to daily or weekly at a specific hour.

 

If your concerned about multiple tasks appearing in your to-do list, you could 
use the dependencies option, so that the 11am task is dependent on completion 
of the 10 am one etc.

 

Not perfect, but it would work.

Hahaha I do almost the exact things you mention because I have the same 
problem.  So by definition I’m not the person to give advice!

 

But I will share my approach:

1.   I use the review feature to ensure I don’t monkey with task parameters 
too often.

2.   I do allocate blocks of time to everything: 5m, 10m, 15m, 30m, 1 hour. 
 (actually more)

3.   I agree that you can’t block time.  I’ve experimented with blocking 
off time, but

a.   It gets to unwieldy, and

b.  My fav book “Total Workday Control” (from memory), which someone in 
this group recommended, pointed out that when you block of chunks of time you 
don’t usually stick to it, and that blocks should be reserved for time that 
MUST be blocked off.

4.   To limit my big changes, any changes I want to make in the technology 
(like create a new profile) gets scheduled into my organizer, at a certain 
rate, so that I’m not constantly tinkering.  

5.   If I want to tinker with a task, I often use flags to label it for 
later, when I review it.  For example, if I want to do something daily instead 
of every two days, I’ll use a flag that I’ve called “do more often”.  That way 
I don’t have to take the time to edit the task, I can just keep moving through 
my list. (I realize there’s the wisdom that if something takes a minute or less 
you should do it right now; hence, there’s no perfect answer).

6.   For timers, check out the apps SequiTimer, Meditation Helper, or 
Talking Clock, and Stopwatch Pro, all for Android.  I use them all from time to 
time.

I am working at home a lot and I have a problem with the way I am using MLO 
which is that I keep "ploughing too deeply". i.e. I am spending too long on 
tasks and being too perfectionist about things. Part of the problem is that I 
am also not jumping into different Contexts often enough. (In fact I often do 
not bother to add a context for things that must be done at the computer screen 
and this may not help)

 

I rather feel that I should allocate block of time for each context. However I 
can see no obvious way to put this sort of thing into MLO. 

 

Do you have any hints / tricks that you use?

 

e.g. I am toying with using a kitchen timer for this sort of thing... i.e. only 
allow a certain amount of time in one sitting for each context.

I use MLO on a Samsung Note 10.1 and find it to be fine.  It’s not my main 
workhorse, though, because it doesn’t have auto-refresh.  Meaning, if I do 8 
hours of work in MLO, never does it update itself to show me tasks that have 
become critical at a certain time.  This is only pertinent if you use time in 
your tasks; otherwise, it is fine.

Also, most of the reasonably priced ones have only 1Gig of RAM.  Is that enough 
to run MLO, as well as having Outlook open?   Also, can I use my Windows copy 
of MLO, or am I looking at another purchase? 

 

My current device is a Kindle Fire HD 7.  I'll probably x-post this on a couple

Craig, I think I know what you are saying.  Is it that you want an auto-refresh 
so that if you don’t touch your screen or buttons, new tasks will automatically 
appear on it without any intervention from you?  If that’s what you mean, I 
agree with you.  I don’t like having to flip screens just in order to have my 
active screen refresh itself.

Hi, Craig. I’m not sure that I understand the problem that you are reporting. 
Are you using views with advanced filtering? If so, then you can use filters 
like (StartDateTime OnOrBefore Now) to exclude tasks that start today but the 
start time is still in the future. Or ((DueDateTime Before Now) And 
(DueDateTime OnOrAfter Now-3h)) to show tasks that will be due in the next 
three hours. This isn’t realtime checking, the task will not flash onto your 
screen the instant it’s eligible. It will show up at the next refresh. I don’t 
know what kind of schedule governs when the refreshes happen, but I’m pretty 
sure you can provoke one by clicking on the cloud icon to run a sync.

 

If you are not using views with custom filtering you probably did not 
understand any of that. KLet me know and I will break it down for you.

Hi All,

I'd like to come back to MLO from another task management system.  

There's one feature that they have that I've grown accustomed to that I would 
like in MLO:
It amounts to an automatic time filter.  Currently MLO will look up the current 
time available in Outlook, then it's static.  
What I'd like is that the time filter is updated regularly to reflect the 
current time available.

The goal here is to only have tasks on the TDL list that I can realistically 
tackle right now, with no exceptions.  It's an anti-procrastination tactic.

There are some brighter minds than mine here, but here’s my attempt:

 

I’d create a context for every resource (person).  Then everyone can filter for 
their own resource.  You can filter for yours, and when you want to see all of 
them remove the filter.

I'm managing a complex project that has multiple people collaborating and their 
tasks are dependent on others. I'm in the process of breaking the project into 
tasks and setting up dependencies. Once I've done that, I want to assign tasks 
to others and have them not show up in my to-do view. Since many tasks are 
things that I cannot do, I don't want to see them in my to-do list. However, I 
do want a way to periodically check the tasks that others are doing so I keep 
them on track.

 

I'm new to MLO so I don't know all the features yet, but I bet there's a good 
way to do this.
