[Coworking] Introductions

Hello Fellow Coworkers!

I have been following the group for a while now, watching very interesting 
conversations and enjoying the passion and excitement that comes through in 
many of your emails. I came to coworking by chance, but found that it works 
within the collaborative, community based culture that my parents generation 
started in the 60's and 70's. I work out of NextSpace Coworking + Innovation in 
Santa Cruz, California. We have a vibrant community here which has been 
nurtured by our local Geek Leaders, NextSpace CEO Jeremy Neuner and myself. 

I have had the opportunity do a mini coworking tour and visit several different 
coworking locations including Sandbox Suites (hi Sasha!) and Office Nomads (hi 
Susan!) and various others. Unfortunately I was not able to visit New Work City 
while I was in New York last month :( Hopefully next time!

I love what coworking has brought to our community and am excited about the 
future of work and how it relates to what we are all doing. I look forward to 
participating in this forum more often, and to learning from all of you.

Hey there fellow coworking peeps,

I have an issue I am sure many of you have dealt with and am interested in 
hearing some of your ways of handling it:

In the days of cell phones with with various ringtones we have a new adventure 
in establishing etiquette, some establishments ban cell phones all together, 
others require them to be silent only. In coworking spaces cell phones are a 
necessity, entrepreneurs must use them to conduct business, so banning them  is 
out of the question. But everyone has a personal threshold for how loud they 
set their phone and what types of ringtones they choose to use. Personally, I 
like a ring that sounds like a phone, or is as unobtrusive as possible. 

I received a complaint from a long time member today about the noise level 
caused by ring tones and a request to do something about it. I usually handle 
this kind of thing on a case by case basis. If someone's phone is loud and 
annoying I take them aside and ask them to turn it down, if they leave it on 
their desk and it rings incessantly I turn it off. 

So, my question is: Barring requiring everyone to place their phones on 
vibrate, what have some of you done to deal with this issue?

Alex,

Definitely appreciate the crowdsourcing for the best solution tip. We have a 
set of community norms we ask people to learn an out of resepct for fellow 
members agree to follow - all common sense things we learned in kindergarten. 
This feels much better than having a list of arbitrary rules that someone is 
then in charge of enforcing. The last thing I ever want to be equated with as a 
community manager is a traffic cop. UGH!

I agree that offering private offices is not selling out. In our Santa Cruz 
location many people merge together to take a private office. Most of our 
offices don't have ceilings, so I consider them part of the Cafe anyway. People 
take them for different reasons, but the most common reason is that they simply 
need more space than our Cafe or workstation options provide. They might be a 
designer or developer and so need a place to house multiple monitors (some of 
our members have 6 monitors in their office) or design books. Others are 
lawyers who require a place to meet in private and also shelving to house their 
law books. So at NextSpace, it's very common to walk into a private office 
and see 3-4 people coworking in their own microcosm. Our membership allows for 
office members to work in the Cafe as well, so most of these people will come 
and cowork in the Cafe when they want collaboration or to be social, and will 
work in their office if they are on deadline or need to be heads down. Of 
course most of these members could have found space elsewhere, but chose to be 
at NextSpace precisely because they wanted to be part of the community here.

I know that traditionally the no option of open opinion has been held as the 
credo for coworking, but in my experience as a community manager for 2 years I 
really think that we open up the world of collaborative workstyles and non 
competition to a larger group of people when we offer more flexibility in how 
we define this changing movement.

the Irish in your quest to bring coworking to Tracy and hope to be able to come

[Coworking] Multi Point Video Conferencing

Hi-

I apologize if this is a duplicate question, but I couldn't find any archives 
on the group which answered my question.

Does anyone have success with setting up multi point video conferencing? 
Ideally I'd like to have a system that can work with other types of systems 
rather than only a proprietary system. For instance, I'd love to be able to 
connect with other coworking spaces around the globe, multiples spaces at the 
same time, and not have to worry about compatibility issues.

Would love to hear thoughts, suggestions and especially success stories!

Thanks for the tips! zone of our members is on the Skype team, and mentioned 
the Tv's as an option, at the time the video was only between 2 clients. I just 
installed Skype 5.0 and tested it. The multi point conference is cool, though 
not much different than Zorap was 2 years ago. I do think it will work though, 
and given how quickly this technology improves should suffice for our low tech 
requirements.

Hey Angel!

I started looking into this in November and then had a plate that started to 
overflow and I cried too :'( But now I'm not crying anymore and have Sara 
looking into a condo for us now. When are you planning on staying and what is 
your budget? We potentially have four peeps from our Santa Cruz Community, it 
looks like the more people we could get, the better deal we would have and 
would be more likely to actually find an available place.

 What: Unconference format with 2-3 pre-organized keynote panels.  We'd love 
 suggestions for the keynote speakers.  I kicked it off with a couple ideas

 issuing a 'call for submissions' so that you all can provide suggestions for 
 sessions at the unconference. We'll then ask the community to vote on their

 Sponsors/Budget: In order to keep the per person 'registration fee' down as 
 much as possible, we're working to obtain sponsorship by great companies to 
 cover the baseline unconference costs (venue, food, drinks, AV, etc.).  So

 $4,000. Time for you to get involved!  Our total sponsorship goal is $15,500, 
 which will allow us to keep the registration fee to $30 (inclusive of

I have a badge and plan to hit up some SXSW events and also want to extend the 
unconference good feelings. My thought are bite sized morsels of coworking 
snacks every day along with servings of the Interactive festival. The NextSpace 
Team is there 9-14 and I am just super dooper stokey stoked to get to geek out 
with other coworking peeps!

NextSpace is hosted by Google Apps so we keep all of our docs there which are 
spreadsheets and word processing. We use flickr for photos.   That way the 
Dropbox limits get saved for our PDFs or design files that can't live anywhere 
else.

[Coworking] A win for opensource/crowdsource and coworking

Hi Coworking Friends,

One of the things I love about running a coworking space is witnessing the 
relationship building and the ways that people reach out to each other for help 
with their businesses. Today alone we have had two separate companies reach out 
via our list serve to get the needed likes on their Facebook pages to reach 
vanity URL status. Both instances resulted in rapid success. Our members are 
constantly collaborating and building better things for it. 

I specifically wanted to share a recent success of one of our members. Orange22 
decided to crowdsource their funding for a new design on Kickstarter and has 
not only reached over 60% of their goal they are also helping to spread the 
idea of crowdsourced funding with the rest of the world. Here's a press release

In Santa Cruz we sort the mail and deliver it to the peeps who have dedicated 
workspaces. For our Cafe members we keep their mail in a big file cabinet, 
divided into files per member. We email them once a week to let them know they 
have mail.

One of my favorite things to do during the day is deliver mail to members. It's 
a nice feeling to see the smiles when I hand them a check and it's also nice to 
get to say hi for that brief moment :)

  Here's my question for you. Have any of you had companies register your 
  address as their own without actually being a member? In the four years 
  that we've been around, this has happened twice. First it was a limousine 
  company. Then it was an alarm company.
 
  We first discovered it when someone dropped into our office to look for one 
  of the companies. A few web searches later and we discovered our address 
  all over the interwebs and in business license filings that were not 
  related to us.  At first we got rather worked up about it. Our attorney, 
  however, told us to not worry about it as there was no actual harm being 
  done to our business. So, just the other day a few more people dropped in 
  to see someone about an alarm system. Again, our attorney (who has a desk 
  here) tells us that this is a problem for state/city government types that 
  handle licensing and not us.
 
  I'm curious. Have any of you run into this before? If so, what did you do?

If you are able to make it to the North Bay we would love to have you
stop by NextSpace and work a day with us. We have delicious Verve
coffee and our first day is free. Cruzioworks and The Satellite in
Felton and Scotts Valley also sell day passes (not sure if they offer
a free day). As of right now there are not any coworking spaces in
Monterey, though you could probably find some interested folks who

Another thing that alliances do, (whether they are formal associations or 
simply mutual agreements) is to allow for a marketing platform for the idea 
of coworking in general. I'm very excited by this as I think that the 
progression of the idea of coworking toward the common vernacular benefits 
the world of coworking (as well as the general population because coworking 
is just good for everyone!).  

I wanted to add the newly formed League of Extraordinary Coworking Spaces 
(LEXC) to the list here. We are not limited to one region but are instead a 
multi-regional network of coworking spaces which:

1) Allows our members to enjoy shared trust across participating spaces and 
allows the spaces to enjoy shared trust of our members by employing the 
electronic visa system created by LiquidSpace.

2) Allows our members to easily locate friendly spaces in a region they 
might be visiting which will both suit their needs/expectations 
professionally and assure them a warm welcome on arrival.

3) Allows coworking owners/operators to take advantage of the combined 
marketing efforts/$$ of the collective spaces in the league. 

4) Allows coworking owners/operators to enjoy automation of the coworking 
visa concept for visiting members, and offers the visiting members a 
consistent and understandable fee based on a predetermined discount applied 
to the visiting space's normal rates. 

I'm excited to see more alliances form and was very delighted by the 
discussions around this topic taking place at the unconference last week! 
It will be interesting to see what happens next.

[Coworking] Unconference Session Notes

I had the opportunity to attend several great sessions at this year's 
unconference and I hear the ones I didn't attend were equally as awesome. One 
of the key things that makes a great unconference experience is having a public

Hi Martin,

We researched and couldn't find anything out there that did everything we 
needed for a coworking space. So two years ago we built our own CRM which 
includes member profiles on our public site and will include a payment 
gateway shortly. 

At this year's unconference we discussed technology solutions and it 
appears that there will be several offerings coming onto the market in the 
next 6 months. I'd hold tight before spending any more money, wait for 
those to come out and then sign up for the betas. In the meantime if you 
have someone with geeky inclinations you can ask Jacob at Office Nomads 
about Nadine or talk to the guys at Cobot.

I agree with Alex on the people focus of the software. Since what we were 
looking for at NextSpace was a place to hold all of the info we had about our 
members it was important that we had a tool that allowed the members to have 
access to their profiles and to be able to add personal info (likes and 
dislikes) as well as business info (website, fields of expertise) and the 
requisite contact info NextSpace would need in a CRM. Our ultimate goal is for 
this tool to allow our members to connect with each other online as well as 
they do offline, therefor enhancing the experience of working together. A third 
benefit is to have potential clients be able to find members through this tool 
on the public facing side of the profile.

Of course all of this has been extremely slow to come to fruition as we 
NextSpacers are definitely people people and definitely not code people :) We 
are still looking for partnership opportunities here so if there are code 
people who like people people and want to make a cool piece of software feel 
free to hit me up off list!

Thanks so much for your spark and commitment to get this project going and 
see it though the past year. It's been great to resurface from maternity 
leave and see that things are humming along nicely! You and Susan have been 
an inspiration to everyone and I am also thankful for the volunteers and 
spaces who volunteered their resources. 

Does it make sense to do a demo type session at the Unconference where you 
walk us through the project milestones of the past year and goals for the 
next year? Building on the buzz we will have when we are all together in 
one room may help to surface the project manager needed for the next year 
as well as the individual team members needed.

 priorities.  We shelved the fancy maps everyone wanted and we haven't been

 project: establishing the team*.  This is the hardest part and it's 
 difficult to show progress definitively, but we can all be very proud of 
 what we have accomplished 

 No longer is the wiki managed by a few volunteers out of the goodness of 
 our hearts.  Our team now consists of five Coordinators as part of their 
 job descriptions at their various coworking spaces.  This gives us the 
 structure needed to operate successfully and insulates the project from 
 disruptions as volunteers come and go.  *Our main objective is to make it 
 easy for anyone and everyone to participate* and at the same time 
 continue to function when everyone is busy and not paying attention.  We 
 are, after all, very busy people due to our deep passion for coworking, and 
 any system needs to take this into account.  

 The real test will be in the coming year as we change up the Coordinators 
 for the first time.  I've asked for one year commitments and that means 
 we'll be recruiting new Coordinators as their anniversaries come up 
 throughout the year.  Also, as you may have seen/heard, *I'm looking for 
 a new Project Director* to replace myself since it's been a year for me 
 now.  This individual will be tasked with overseeing these transitions and 
 keeping the project rooted in the shared values that bring us together. 
  Please let me know if you are interested in discussing this more, or if 
 there is someone you think I should reach out to.  

 I've been working very hard to bring this team together and I'm excited to 
 hand it off to the next person and see where it goes from here.  I have a 
 lot of energy and I'm good at getting things started, and I also know that 
 I'm not the best day-to-day manager of ongoing projects like this.  New 
 blood, not just this year, but year after year, will keep this project 
 vibrant and energized and build a tighter connection between all the spaces 
 participating.  

 As always I am open to feedback and I'm looking forward to seeing everyone

[Coworking] SF Bay Area- GCUC Coworking Space Tours

Hello!

I am organizing the Coworking space tours for the 2015 Global Coworking 
Unconference http://gcuc.co/  which is being held in Berkeley this year. 
On Friday, May 8 we will have about 200 people touring spaces in the East 
Bay and San Francisco. Depending on the funding for transportation, we 
would also like to organize a tour down the Peninsula. 

*If you are interested in having your space participate in the tours please 
confirm with me by Friday, February 27. *

Here’s how we expect the tours to work as of right now:

   - Copass https://copass.org/ will be providing their team members, 
   clad in super cool Copass jumpsuits, to lead each of the tours 
   - We will have 10 tours, 6-7 in SF, 3 in the East Bay and possibly 1 
   down the Peninsula 
   - Each tour will have a capacity of 20 people 
   - Each tour will visit 3-4 spaces 
   - Transportation will be via Bart/Muni/East Bay buses and ferries, with 
   the exception of the Peninsula, which will require a van 
   - The SF tours will be neighborhood based and mostly walking tours 
   - Each tour will last approximately 25-45 minutes 

If you’re wanting to host a tour, here’s some ideas and best practices to 
have in place when people enter your space:

   1. Notify your members that a large tour is coming through and encourage 
   them to say hi to the tourees 
   2. Make sure you are staffed with someone who can answer business and 
   community questions. Our tourees are curious and want to know about why you 
   designed your space the way you did, what your member interactions are like 
   and what types of events you hold, among other things 
   3. Consider offering nibbles likes cookies or crackers and cheese; 
   beverages, both alcohol and non alcoholic and showing off your best 
   “hospitality selves” 
   4. It’s good idea to make sure there is an open space that can 
   comfortably fit 20 people gathered together to ask you questions 

We’d love to get a variety of spaces on the tour list, so if you have 
relationships with makers spaces, coworking kitchens or other please let me 
know!

This is a great post! I'm researching member walls (In my recollection, the 
idea originated from Office Nomads and Jacob and Susan shared it with many 
of us almost 5 years ago, in Santa Monica, but perhaps others were doing it

walls (the Office Nomads wall is still one of my favorites) and how you 
display them. This is such a visual aspect of the space that this

 camera for this purpose? I seem to recall hearing at GCUC last year that 
 the instant camera idea was not the best option but can't remember why or 
 who said that. Any suggestions?

After my first show on Nexudus last week, Adrian posted some comments on 
the Youtube page, with some great info. You may already have these links, 
but I wanted to share, just in case. As a side note, I didn't know about 
the forum within Nexudus and checked it out yesterday. I posted a question 
for a client and received immediate feedback from the Nexudus team, that 
was a great experience!

Adrian's comments:
- There is global forum available where every admin in Nexudus can 
communicate with us or other admins from any of the spaces operating with 
Nexudus built-in in the admin panel. Right on the home page:

- There has been a pretty good improvement made to the documentation 
portal, available at docs.nexudus.com. You will find a lot of content there 
about common processes and questions. - Available webhooks are detailed

Thanks for the great responses, everyone!

In general, I'm not a fan of the idea of using money to incentivise 
employees. Personally, I'm not incentivised by the idea of commissions on 
sales, etc.  

That said, when a space is looking to hire a really good CM, and is in a 
market with a high cost of living, an alternative compensation plan can be 
the difference between being able to get the really good CM and not being 
able to. 

At NextSpace, we considered offering a percentage of revenue from paying 
events as a way to allow employees additional income and compensate them 
for the many late nights and weekends they were working in event heavy 
times. We ultimately decided not to do this because in figuring it out we 
decided it took us away from our goal of being for the members in 
everything we did.  

I agree with Alex that the best case would be to offer commission based on 
length of membership. For coworking, this seems to be the purest form of 
compensation that aligns with the value of creating lasting relationships 
amongst people. This is also the most confusing to figure out! Below is 
what we are leaning toward:

Hi-

I think it's great that you have noticed the number of women who are 
interested in Coworking in your community, and I really like that you want 
to offer something to the women which will meet them where their needs are. 
What you're doing with your back to school pop-up looks fun! 

I agree with Tony and Angel that the effort to create such an offering 
would be best led by a woman of the community. I recommend reaching out to 
your biggest engagers who are women and offer this idea, with an ask for 
someone to lead the effort. When the woman/women step up to lead, you can 
then provide the infrastructure and support needed to make things happen, 
and the manpower to execute on their plans.

Happy Coworking Day to all of us. It's hard to believe we are 12 years into 
this amazing ride. Thank you to everyone, across the world, who are 
changing lives and communities every day through your work. I have so much 
love for you.

Also, I wanted to say that Women Who Cowork has launched our website 
 and updated the Global Directory of Women 
Owned Coworking Spaces

If you are a female founder and haven't joined us, please do! We'd love to 
list you in our directory, you can fill out this form

Female operators, community managers and founders are all welcome to join
