Autonumber challenge: Table 10.a, Table 10.b and Figure 10.a
I have a challenge with autonumbering, and can't recall the solution. (Ran into this unusual numbering style some years ago.) I am trying to get a complex autonumbering sequence to work in unstructured FM7.2 on Windows. I'm assisting a customer with a template that requires the following numbered paragraphs to occur w/in one document: Step 10: How to rinse the sink Step 20: How to dry the sink Table 20.a Table 20.b Figure 20.a Step 30: How to fill the sink Figure 30.a In other words, both Table Title and Figure Title have to inherit their primary number from the "Step". The problem is how to maintain a separate number stream for Tables and Figures that will let them number sequentially, and not be affected by one another. Here are my para number definitions: Step = S:Step 0: Table = S:Table 0. Figure = S:Figure 0. When mixing Figures and Tables I get results like these: Step 10: Figure 10.a Figure 10.b Figure 10.c Table 10.d Step 20: ... The "Table" needs to number at "Table 10.a" I thought of using <$chapnum> for the primary in the "Step" para, but <$chapnum> will not number sequentially w/in the same document. Using the following definitions works for one "Step 10:" but there is no way to have "Step 20:" number sequentially: Step = S:Step <$chapnum>0: Table = F:Figure <$chapnum>0. Figure = T:Table <$chapnum>0. These definitions produce the following results: Step 10: Figure 10.a Figure 10.b Figure 10.c Table 10.a Step 10: FYI -- this document does not require or use a conventional numbered chapter heading. Can anyone out there think of an autonumbering pattern in FrameMaker (7.2) that will work for the sequence I describe at the beginning of my email? Any and all advice welcomed. Hi Fred, Thank you for refreshing my memory. I knew that there was a solution, but I have not had to run separate counters in this fashion for several years. The usual custom is for Tables and Figures to number sequentially, but not be dependent on sub-chapter numbered headings. Steve, I have a couple of clients using Maxit by SMART Software. We understand that the SMART Maxit Checker is fully integrated into FM 7.2 by the FDK. Consequently, the tool allows edit-in-place, runs very quickly and is easy to use. SMART offers a free QuickLook on a few pages to show the results in their FM Viewing tool. SMART offers evaluation copies, but only if you ask for them. (You won't find a "free download" on the web page.) A good grammar checker for Simplified English or Controlled English requires a custom dictionary, hence the evals need some dictionary adjustment for each domain. Translation questions
Alexandra, First of all, I wanted to confirm the excellent advice you got from Ann Zdunczyk, Diane Gaskill and others. I have worked for a LSP (Language Services Provider, or Translation Vendor) for nearly 10 years and with FrameMaker for nearly 20 years; about 80% of our clients use FrameMaker for documentation. Yes, translating Word projects do tend to cost more for many of the reasons listed earlier (embedded graphics being replaced, etc.) Word files are prone to crash when file size exceeds 1 meg and section breaks are extremely troublesome with auto numbering and other formatting. We have actually assisted some customers in migrating from Word to FrameMaker in order to reduce their translation costs. (This is appropriate for customers who have technical document content that resembles a FrameMaker project in complexity and volume.) TRADOS uses a form of RTF file format, so technically Word files do not have to be converted to be translated via TRADOS. However, this does not make Word files less expensive to translate. In pre-processing for translation, FrameMaker files must be saved to MIF, and then S_Tagger converts the MIF to a customized form of RTF required by Trados. Special RTF character tags are used to label text as fixed-tags, movable-tags, do-not-translate text, or regular to-be-translated text. The pre-processing engineering steps required for FrameMaker files do not adversely affect the project budget. All of our customers send us binary FrameMaker files. It is less expensive to have your LSP do the "save as MIF" for you, rather than take up the extra server space (and FTP bandwidth) with large MIF files. Graphics are always externally referenced, and a relative pathname to the graphics directory can help reduce project time. There is some publishing time required by the LSP on post-translated files. Structured FrameMaker saved as XML has several advantages over basic FrameMaker, in translation post-processing and publishing, which I will cover in my presentation "Optimizing FrameMaker for Localization (translation)" at the upcoming FrameMaker 2006 Chautauqua. Several people who responded to your questions mentioned that LSPs will charge you for translating "every word" even if there is up-to-date translation memory. Though this is technically true, be aware that previously translated text (an "exact match" in Trados) will be charged at a much lower rate than a "fuzzy match" or un-translated text. Your LSP can use special tools to compare your latest FrameMaker content with the previous version and get an accurate word count on how much content has changed. I also wanted to affirm what someone else said: you "own" the translation memory that your LSP creates or updates. You can request it at any time if you decide to try out a different vendor. Correctly updated Translation Memory (TM) is often a problem with less-expensive vendors. TM is becoming more portable due to new standards like TMX. I have occasionally observed clients trying out "cheaper" translation vendors; if they are using FrameMaker, they nearly always come back to us. Cheaper per-word rates do not make up for poor translation quality, lack of TM management and lost document integrity in your FrameMaker files. This wasn't a very smooth process, but it was accomplished by sending our .mif files to the translator, who uses TRADOS. The translator was selected based on the lowest bid. The translator did create the database files that are used for facilitating future translation; however, once we got the files back from them, there were so many errors and changes required that we question the usefulness of the database files. Our Spanish FrameMaker files are now significantly different from the files that they gave to us. I have 3 potential customers who are rejecting FrameMaker in favor of AuthorIt. All 3 accounts are in e_Learning. Does anyone have an experienced opinion on what areas AuthorIt may have any advantages over FrameMaker? I want to make sure that these accounts are making an informed opinion. I have gone over AuthorIt's website fairly thoroughly, and a comparison with FrameMaker is not obvious, based on their data. Vertical alignment in text frame
Alan, You're not missing anything. There is no such thing as vertical alignment for text within a text frame. The only place you will find vertical alignment in FrameMaker is within table cells. You will find the command on the [Table Cell] tab of the paragraph designer. Be sure to have all paragraphs selected in a table cell (or select table cell) before using the command. With a table cell selected you can also use Esc j t for top alignment (and change the "t" to "m" for middle or "b" for bottom.) If you have resized a text frame to be just high enough for all lines of contained caption text within an anchored frame, and you want the text frame itself to vertically align vs. the top/bottom of the anchored frame. With the text frame selected as an object you can use Esc j m for middle alignment. Again, change the "m" to "t" for top or "b" for bottom. Hope that this helps. I am preparing a quote for a client in new languages. Has anyone had success publishing the following languages in FrameMaker 8: Cantonese (zh-HK), Vietnamese, Armenian and Hmong. If you have published in these languages but have run into "gotchas", I would appreciately being alerted to those. P.s. if anyone is aware of a published list of which languages do not work in FrameMaker 8 (beyond BiDi Arabic and Hebrew) please share that information also. manage multilingual documentation with frequent updates
Jan, We are a translation vendor, and the majority of technical documentation our clients submit to us is in FrameMaker, (over half of it is still unstructured.) We have found that when clients who do large scale (hundreds of pages) technical documentation in Word and then migrate to FrameMaker, they usually incur about 25-30% savings due to reduced DTP touch up and proofing, and increased performance (e.g. opening up documents with 75 screen captures.) Once your translation memory is aligned to the current documents' paragraph locations, you will be able to use common tools to determine how much of the content does not have an exact or "fuzzy" match. You are no doubt using TRADOS or some other popular linguistic tool; if so, your client will not end up paying for text that is already translated. Many of our customers do not use a full-scale content management system, usually due to the high cost of initial investments. They have not had to develop any special tools to mark the areas of content that have changed. Reasons to Structure
Matt, All of the reasons for migrating to structure listed so far by other members are excellent. Another consideration is that structure (with containing elements and "context" for content) makes it much easier to write more effective FrameMaker plug-ins. To quote a portion of a white paper on our website: "The presence of elements corresponding to specific, meaningful blocks of the FrameMaker document simplifies the process of writing code to locate or manipulate those blocks. Instead of implementing a complex search for a specific pattern of paragraph formats or text, the code to find an element can be much shorter and simpler to write. Attributes (metadata) associated with those elements can also be used by plug-ins to specify the nature of changes that the plug-in should make to the appropriate part of a document." Reasons to Structure
Matt, Another major benefit of structured FrameMaker is "context sensitive formatting," which I believe was mentioned before by another forum member. An added detail is that you can reuse "generic" element tags which will look dramatically different in different contexts. In unstructured FrameMaker, it is not uncommon to use 3 paragraph tags for a 3-level nested list: [bulletlist] "contains" [dashlist] which "contains" [sqbulletlist]. In structured FrameMaker you could use a generic element [list] and have format rules in the EDD determine that a "second level" list contained within a list would be tagged with paragraph [dashlist] while a "third level" list contained within a list contained within a list would be tagged with paragraph [sqbulletlist]. In the structured editor, if you were to select a 3rd level nested [list] element and dynamically drag it to the 2nd level, it will automatically reformat and be tagged with [dashlist] instead of [sqbulletlist]. The key benefit is that users have fewer tags to deal with. In an actual customer example, we had a client who was using over 130 paragraph tags (including paragraph variants like [BulletListLast], [DashListLast], [WhateveListLast].) In most of these cases, such paragraphs were identical to normal list paragraphs, but had extra space below paragraph to ensure that the last item in the list did not "slam" into the next paragraph. We developed a structured FrameMaker application for this client with format rules in the EDD which ensured that the last [ListItem] element contained in a [List] element has extra space below it. As a result, our client moved from using over 130 PARAGRAPH tags to about 40 frequently used ELEMENT tags. Our client observed that it became easier for new staff to master rather complex document template rules. NOTE: this client had about 5 tech writers working on very high volume documentation with consistent formatting and structure. Average FrameMaker books were about 400pp long. Another benefit from the transition to structure was that the tech writers produced more consistent document structure. Due to the lack of random character level format overrides, there was less "touch up" to formatting in post-translation documents, which reduced billable time on translation projects. Format proofing time was greatly reduced, which was magnified by the 11 languages XML extracted from FrameMaker was translated into. Structured FrameMaker *does* require a lot of work up front, establishing the EDD if you have complex formatting, but it is well worth the effort and you will gain a return on investment fairly quickly. Frame's future
Art, Thank you for posting the link; I enjoyed the Blog. It is comforting to see Aseem Dokania's statement online that "FrameMaker is here to stay." I know that the original posting was about "Frame's future," but I wanted to make these comments about "Frame's past," which has so much to do with why the product is still with us today and will be with us tomorrow. I was lucky enough to be Frame Technology's employee number 66, and got to work closely with the founders in the early days (V1.75 through V4). Founder Charles Corefield was intrigued by Macintosh HyperCard and had an epiphany of sorts. His initial goal of creating an authoring tool that worked with hypertext lead to FrameMaker as we know it. As luck and fate would have it, the SUN UNIX workstation was the easiest for a developer to obtain at that time. Since SUN MICROSYSTEMS was also one of Frame's earliest customers, from the "get-go" FrameMaker was designed to work with high-volume publishing with "many pages, many times." The product's birth on UNIX also led to simultaneous page layout, word processing and graphics editing years before multi-tasking on the MAC or PC. This also placed the product firmly in the world of tech pubs. As you "old timers" will recall, FrameMaker was about the last product on the planet to come out with a tables editor, so it had to be "the best of breed." Founder David Murray worked on that code for over a year, and table features in FrameMaker are still years ahead of their time. (Who else can change table styles that easily by importing a template?) At a 1993 FrameMaker product launch, Frame Tech displayed a live network that linked Sun UNIX, SCO OS on a PC, Windows, a MAC and some other flavor of UNIX workstation that I can't recall. We edited the same document remotely from a single server on each workstation, because FrameMaker had one binary format. No "save as" required. Not one member of the press "got it" or understood the importance of a true "multi-platform" file format! (I made one skeptical member of the press do the demo himself and insert his grandmother's maiden name; he still thought the documents were fake.) Frame Tech gambled with SGML, creating "FrameBuilder", and that prototype led to the structured editor that makes XML publishing so easy today with structured FrameMaker. Ironically, UNIX conventions and quirks led to many of the design UI "nuisances" that some of us complain about today. (Like, how long will we have to look at those "building blocks" for automatic numbering?) But the founders and early developers of FrameMaker were a very rare group of people who came together at the right time, for the right product and the right reasons. The underlying "purpose" of the product has remained true for nearly 21 years, and this is why FrameMaker is still such a significant force in the market today. My company does language translation, and 75-80% of our customer technical documents are in FrameMaker; many started out in Word before they came to us. Framemaker's ability to import WordPerfect and PageMaker
Rob, I have only had to use the FM7.2 PageMaker filter once, and I was very pleased with the results. It was for a very complex PageMaker 9.0 project: files had complex layout with many disconnected columns, and "fake" tables (e.g. horizontal tabs with hor/vert rules placed on top of them.) The filter worked surprisingly well: I could not detect any "lost" text. I *did* get a lot of disconnected columns with text that had expanded beyond the bottom (solid line on the borders) but that is to be expected. In my case, it was far faster than extracting the text and bringing in as Word or RTF. The relatively preserved page layout was a good guide for which master pages to apply (the project used about 4 variant master pages.) creating a rotated master page
Hi Leah, I assume that you want a rotated (landscape) page, with headers and footers that cosmetically appear "rotated" on the left and right side of the rotate page, but a "right reading" body column which you can edit when viewing body pages. Saving "Find" definitions
Menahem, I am not aware of such a feature in FrameMaker (unless there is some sort of plug-in out there.) There is a shortcut you can use when searching for combinations of conditional text. 1) insert your cursor into text that has the combination of conditions you are searching for 2) when you open the FIND menu and choose "Conditional Text" ... The Conditional Text Menu will open up showing your current text insertions settings. When you click "set", that is what you are searching for. ... You can create a simple "FIND" boilerplate document that has lines of text with the combinations of conditional text you wish to search for. You can insert your cursor in the desired instance, set up a new search, then go to your target document and start searching. I hope this tip provides some relief. Splitting a long table into separate tables in FM 7.2
Hi Les, You can select a range of rows in a table, CUT and choose "Remove cells from Table" ... Put your insertion point where you want the cut section of table to become an independent table, PASTE. == after you have pasted table segment, press Ctrl-T to open the Table Designer, and on the BASIC tab, change "Title Position" in lower right corner of menu to "Above Table". APPLY. == Note that your table will not have any header rows. If you had header rows in the original table, you will need to add header rows to your new table and copy/paste the content from the original table to the new table. To make a table segment (e.g. ROW) start a new page, insert your cursor in the ROW where you want a page break, and choose Table=>Row Format change "Start Row" menu to "top of page" and SET. If you need to undo this later, insert your cursor in a row that has a "start page" format in it, and use this same command, only change "Start Row" to "Anywhere." I hope this answers your questions. I don't believe that FrameMaker 7.2 supports this format, but you will be able to do this with the next release of FrameMaker, to be released soon. The announcement of FrameMaker 8 (posted Monday) mentions the ability to import animations created with Captivate. Like several other FM8 beta testers, I tested a number of FM plug-ins that ENLASO developed in-house for multi-lingual production, and they all worked fine. I recall reading feedback about only a couple of plug-ins that did not seem to work well, but don't recall which ones they were. It seemed that dozens were tested and worked just fine. From Framemaker to Trados: Superscript, subscript and italic
Verner, To confirm what Ann posted, we translate technical documentation, and about 75% of large scale documents our customers submit are in FrameMaker format. Trados is our most commonly used translation tool, and although it *is* possible for a linguist to override a tag and "break" superscript/subscript in pre-processed MIF files, we literally never have this happen. About 10 years ago there were some earlier versions of competitive products to Trados that *could* drop the end code on super/subscripts in MIF. Such products/processes required more manual touch up after post-processing to translated FrameMaker files. This may be where your boss's impression came from that Trados can have difficulties in this area. How many FM users are there?
Diane, When I left Frame Tech in 1994, internal metrics and intelligent speculation put the total number of worldwide licenses at around 300K. With Wanock's listing of 500K 5 years later, you could assume liberal growth of 40,000 licenses per year which would put the probable current figure at an additional 280,000 licenses for a total of 780,000. If you cut the growth figure in half to be conservative, the total number of licenses is probably 640,000. I think 650,000 total licenses would be a safe, conservative figure. FYI -- when I worked at Frame Tech and many of the licenses sold were still UNIX (the PC was taking off by 1993), Frame estimated that only about 15% of users actually registered their licenses. I don't know what the reg rate is for Adobe, but that is one of the reasons that it is very challenging for a vendor to have accurate figures on actual numbers of licenses in use. Regarding your earlier posting in late April (what are some of the advantages that structured FrameMaker has over Arbortext) here are a few insights. I've worked with a few customers whose management insisted on migration to Arbortext, while much of production stayed in FrameMaker during the interim. Even with experienced users who are "up" on XML structure, Arbortext takes far longer than FrameMaker to design and test templates. Arbortext Architect (the special license required to create style sheets) used to cost $15K. FrameMaker's advantage is that every license is a "template creator" at no additional cost. My company continued to design and support the structured application files in FrameMaker for one account that had parallel Arbortext publishing and development. Feedback we received is that it took ENLASO 4 business days to develop significant format changes for XML publishing that took over 3.5 weeks of testing and development in Arbortext. Naturally, some of this may be dependent on the intelligence of expertise of the staff involved. But in general I have observed that structured FrameMaker is much swifter than Arbortext when it comes to making significant structural and formatting changes to an application. The customer in question used very sophisticated page and PDF formatting that went beyond most "streamline" formatting associated with XML applications. (Lots of fancy tables, and lots of 3 level lists w/in tables.) Because Arbortext does not give a "literal" page representation, there are often surprises at print/output time from target languages that cause text expansion. One more reason that FrameMaker's embedded EDD with formatting rules and "real" page display gives an advantage. The single biggest reason to stick with FrameMaker over Arbortext would be if you have multilingual projects that occasionally require maintaining the same page breaks as the source English. In Arbortext that would require an awful lot of "PDF previews" to achieve. Another reason for sticking with structured FrameMaker is if your company or division has a desire to "go all XML" corporate wide. FrameMaker has a much lower learning curve than Arbortext, and is far easier for Word users to master it than Arbortext. End users in Arbortext (who won't be involved in format design, etc.) have a considerable amount of training to go through to master the system which is less intuitive. If I had to distill it down to a crude observation I would say that Arbortext was designed for engineers and FrameMaker was designed for "everybody else." -- p.s. I went through 4 weeks of Arbortext training a few years ago. Recent demos indicate that the publishing paradigm is still similar to what I was trained on. I hope this helps. Diane, A friend forwarded an article to me with more substantial and credible statistics. Econtent magazine ran an article June of last year which quoted 800,000 FrameMaker users and 50,000 Arbortext Users. (Ironically, my "liberal" extrapolation would have put users at 780,000, so I wasn't too far off!) Hi Diane, Thank you for checking with me; your timing could not be better. I am at the STC Annual Convention in Minneapolis, where I've had an opportunity to peak in on several DITA presentations and solicit feedback on FrameMaker's DITA capabilities from a variety of sources. I won't say that Arbortext is "lying" to you, but they are 100% wrong, and clearly misinformed. The only real difference between Arbortext DITA and FrameMaker that I am aware of is that the current release of FrameMaker (V7.2) requires the user to download the DITA toolkit instead of finding it bundled in the product as it ships. If you used structured FrameMaker with the DITA app pak, you will be able to produce DITA that is 100% compliant with OASIS standards. As long as your company's division in Japan is producing DITA-compliant output from Arbortext, there is no reason that you cannot have a seamless exchange. I hope that this ends the argument, but based on past experience of my own with Arbortext sales people, you can probably expect further claims like this to surface. My feedback comes from a variety of sources, including users who are currently creating DITA from structured FrameMaker 7.2. Incidentally, I had a "sneak peak" of the next release of FrameMaker at a session today and I got permission from the PM to share this much: DITA will be bundled with the next release and end the 5 minutes or so that it takes to download the DITA toolkit. Feedback from STC attendees who have seen the brief sneak peaks of the "next" FrameMaker has been overwhelmingly positive. I hope this helps. Hello Gillian, Before answering your questions as best I can, anyone who is interested in testing the beta version of the next release of FrameMaker should send an email to this address: framemaker-beta at adobe.com Adobe has not officially announced what the release will be called, but as a beta-tester I can tell you that it definitely is not just a "point" release. To me, the functionality is substantial enough to warrant a "major release" status. Several Adobe employees at the STC conference indicated that this new release will be shipping before the end of the year. Incidentally, several Adobe engineers who work on FrameMaker were present soliciting feedback from conference attendees, and I was very impressed with their grasp of the product. It was clear that these engineers had already read through many of the wish lists posted on this mail list to get a sense of priorities. (Naturally, the next release won't deliver "everything.") I felt that Adobe showed a solid commitment to FrameMaker by the amount of staff and resources that they invested in this year's Annual STC Conference. By the way, at one of the sneak peeks Adobe also showed the much improved import of FrameMaker documents into the upcoming version of RoboHelp. If anyone else has questions about the next release, my advice is to send a request to "framemaker-beta at adobe.com" that you would like to become a beta tester. First Time Framer!
Hello Mark, Besides echoing the other positive reinforcement you've received on your decision, I wanted to emphasize that page layout control is a particularly compelling reason to switch from Word to FrameMaker. Because my employer provides service to a variety of clients I am required to edit and even author in Word about 25% of the time. I find Word's extremely limited control over anchored graphics particularly frustrating. FrameMaker's master pages, sidehead and runin paragraphs as well as sophisticated tables and anchored objects reduce the amount of time you are probably currently spending touching up page positioning. The Sarah O'Keefe book is excellent, but here is another book I have found very helpful for new users: FrameMaker 7 for Macintosh and Windows (Visual QuickStart Guide) by Victoria Thomas (Paperback - Feb 4, 2003) ... This is available on http://www.amazon.co.uk. Although this book does not go as in depth into XML as the O'Keefe book, it is well organized, highly visual, and chock full of advanced user tips. Final tip, if you haven't installed FrameMaker yet, be sure to install it with "International English", which will give you A4 paper size and other UK settings as a default. For adjusting page headers and footers, do View=>Master Pages, which will put you in the zone that is the beefed up equivalent of "View=>Headers and Footers" in Word. How to verify what was the last release of FrameMaker 7.2
I have a customer who has encountered a "known" bug in FrameMaker 7.2. She wants to know how to verify whether there was a later patch for FrameMaker 7.2 available than what she has installed. Frame's lame callouts
Hello Gillian, As per the previous postings, text frames are more desirable for callouts than text lines in FrameMaker, because you can apply a character and/or paragraph style and globally update all of your callouts throughout a document or book via importing formats from a template. If you have existing documents with multiple text lines w/in anchored frames, there is one semi-shortcut that I know of. This works, assuming that you want *all* of the text lines in anchored frame to end up looking the same: 1) triple click text in the first instance of a text line and apply a character tag (yes, that actually works ... The text isn't tagged but it will pick up the formatting from the tag.) 2) with cursor inserted in this text line, Edit=>Copy Special=>Character Format to copy the new formatting to the clipboard 3) select the text line as an object (control-click) 4) Control-A to select all objects, including text lines, in the anchored frame 5) Control-V to PASTE, and all of your call-out text lines will have the new values. 6) Search for anchored frame, go into next anchored frame, select an object, Control-A and Control-V to PASTE format values into all text lines ... Continue these steps until you have updated all of your text lines to have the desired copy/pasted formatting This goes pretty quickly and can possibly be automated through Framescript or some other tool. Hope that this helps. P.s. if someone has been creating a lot of text lines in your documents, when you use Control-A w/in anchored frames, you may see a set of handles around some small white space, indicating an "empty" text line. If someone has used BACKSPACE to delete the text in a text line, an empty text line remains. If you select that empty text line as an object, you can then delete it. Empty text lines (even in the margin of the page, outside of an anchored frame) can explain a mysterious "text edit cursor" that shows up when you move your object select cursor over the invisible, empty text line. taking an image out of an anchored frame
Dear Milan, What you are experiencing (ability to drag graphic out of a frame) is part of the FrameMaker product design. The most common use for dragging a graphic out of an anchored frame is to drag it into another anchored frame. In the early days of FrameMaker, this was often done with the page zoom set to 25% so you could see multiple pages. If you do not have an insertion point (e.g. click the white page margin first) when you import a graphic, it will appear in he center of the page with no anchored frame. Your insertion point is changing because all imported graphics have "Runaround Properties" turn on, which makes text wrap around the graphic. FYI, imported graphics that have runaround contour turned on can cause text to "scrunch up" in an adjacent caption text frame. Unanchored graphics are most frequently used on master pages for logos in headers/footers or for watermarks behind the text column. I hope this helps. Good table design
Art, If you are working on any projects that may be translated into another language, where language expansion may occur, the following are some of the guidelines we share with our customers: In Tables: == avoid use of ALL CAPS in table header cells == avoid "rotated" (e.g. counterclockwise/vertically oriented) text in header rows == avoid nested, indented lists, even if table cells have been straddled to provide more width == Use wider cell margins in English (source) which can be reduced for target languages. Example, left/right table cells of 6 pts may be reduced to as little as 2 pts in German and Italian == avoid source/English tables that "just fit" the depth of the page, if you want to maintain the same page breaks in your target language. If you want to maintain the same page breaks, keep about 30% of the body column free (or white space) below the table. Hope this helps. Conversion of Frame 7.0 docs [using Frame 8.0] into PDF
Dear Nihar, I have not run into this specific problem, but have a suggestion. Try saving the document to 8.0 MIF. Then reopen the MIF and save it as a binary FM8 file. Try "save as PDF" with your new binary 8.0 file. With past releases of FrameMaker I have found that saving to MIF then saving the MIF to binary sometimes deletes the code that may be causing the crash. P.s. make a backup of your 7.0 documents before doing this. Deirdre, I have not had this happen with FM 8.0, but I have experienced what you are describing with previous versions of FrameMaker. Once fix that sometimes works is to save the document as MIF, then reopen and rename as the binary *.fm file. When this happened to me, I could not find any additional text columns or odd features on the body or master page. When this happened to me, it was always with a table at the end of the document. Marc, I concur with Wim's analysis. Whenever I have seen this in the past it has always been a case of someone using an incorrect version of Trados. Many translation agencies use contract linguists and occasionally, such a linguist will not have all of the correct filters or files when they prep their translated work. I concur with Bernard's analysis. I too have worked with the product for some time. The pods in the workspaces allow you to see nearly all of your marker content at one time. You can sort contents of pods in a variety of ways for pre-flighting or troubleshooting a document. Pods for Cross References will color code unresolved cross references (avoiding the "one-at-a-time" search routine.) And, you can finally replace missing fonts on a per document (or book) basis, without editing maker.ini and restarting FrameMaker. In short, after a couple of days working with FM9, I found it irritating to work with FM8. Yes, there is a learning curve, but it is well worth it. FrameMaker's previous user interface jelled around 1994, and after 15 years, it is time for a change. Dear Verner, I have been working with "table-heavy" translated FrameMaker files (for clients, I am a translation vendor) for about 15 years now. Tables are always a troublesome area. Besides some of the other excellent suggestions already made, here are some other best practices that can help: == Your Language Service Provider (LSP) should Quote on the initial project to include time to make localized templates. These templates may include slight point size and spread changes to help text fit. == Table styles should be used extensively, and should have smaller left/right cell margins in some target languages than in your source language. == NEVER define paragraph styles that have fixed or modified cell margins on the paragraph level. This makes corrections of tables far more difficult to accomplish. It is especially important to avoid this as a format override in the source language, as it is difficult to locate and correct such instances in translated text. == There is nothing wrong with a moderate amount of format overrides to your table styles (e.g. overrides to cell margins, etc.) or paragraphs (cellbody) in tables. There are simply too many variations possible in tables to allow you to make a unique table style for every instance. == You can also have your LSP translate the text for table header row cells ahead of time, to help determine ideal column widths == Avoid the temptation to squeeze too much data into tables in your source files. I have frequently seen training materials in English which have a "one page" table that reaches the bottom of the page, with every cell packed with 7 pt condensed text. Obviously, when text expansion occurs, (which can be quite dramatic in Dutch, German, Hungarian or Italian) there is no solution other than to let the table break to a second page. In many such instances, a table "header row" (which would repeat) was not used. NOTE: full page tables crammed with tiny font sizes are also a challenge for reader retention, in any language. == (This is a common problem in English source files): avoid ALL CAPS text in table header rows. This will nearly always cause grief with text expansion. == Never use vertically rotated text in table header rows for documents that will be translated (unless going into the few languages that cause text shrinkage instead of text expansion.)The text expansion that occurs from translation will dramatically increase the depth of your table header rows. == Common problem in English source file tables: many writers use abbreviations in table cells and just assume that an abbreviation is acceptable in the target language. Not always. It is not uncommon for a 3 letter acronym to expand to 20-30 characters in some target languages. == Finally, when authoring, ask yourself, "does this really need to be in a table?" Sometimes the answer is now. Often simple steps can be conveyed as effectively in a more flexible list. I hope that this helps. Alison, One thing that I've documented which will cause paragraph designer freeze is if you are in a paragraph that is not saved to the catalog. Example, you are in *PageHeader paragraph, used only on master page, but the style was never saved to the catalog. Solution. Save the paragraph tag to the catalog. Hopefully this bug will be fixed soon. I have downloaded all updates, followed all steps in all links shown, and it still occasionally happens. You can also select the anchored frame and applied a solid fill pattern, then whatever color or tint you want to achieve what looks like highlighter background. Seeking info on AuthorIt vs. FrameMaker
I have 3 potential customers who are rejecting FrameMaker in favor of AuthorIt. All 3 accounts are in e_Learning. Does anyone have an experienced opinion on what areas AuthorIt may have any advantages over FrameMaker? I want to make sure that these accounts are making an informed opinion. I have gone over AuthorIt's website fairly thoroughly, and a comparison with FrameMaker is not obvious, based on their data. Autonumber challenge: Table 10.a, Table 10.b and Figure 10.a
I have a challenge with autonumbering, and can't recall the solution. (Ran into this unusual numbering style some years ago.) I am trying to get a complex autonumbering sequence to work in unstructured FM7.2 on Windows. I'm assisting a customer with a template that requires the following numbered paragraphs to occur w/in one document: Step 10: How to rinse the sink Step 20: How to dry the sink Table 20.a Table 20.b Figure 20.a Step 30: How to fill the sink Figure 30.a In other words, both Table Title and Figure Title have to inherit their primary number from the "Step". The problem is how to maintain a separate number stream for Tables and Figures that will let them number sequentially, and not be affected by one another. Here are my para number definitions: Step = S:Step 0: Table = S:Table 0. Figure = S:Figure 0. When mixing Figures and Tables I get results like these: Step 10: Figure 10.a Figure 10.b Figure 10.c Table 10.d Step 20: ... The "Table" needs to number at "Table 10.a" I thought of using <$chapnum> for the primary in the "Step" para, but <$chapnum> will not number sequentially w/in the same document. Using the following definitions works for one "Step 10:" but there is no way to have "Step 20:" number sequentially: Step = S:Step <$chapnum>0: Table = F:Figure <$chapnum>0. Figure = T:Table <$chapnum>0. These definitions produce the following results: Step 10: Figure 10.a Figure 10.b Figure 10.c Table 10.a Step 10: FYI -- this document does not require or use a conventional numbered chapter heading. Can anyone out there think of an autonumbering pattern in FrameMaker (7.2) that will work for the sequence I describe at the beginning of my email? Any and all advice welcomed. The usual custom is for Tables and Figures to number sequentially, but not be dependent on sub-chapter numbered headings. Art, If you are working on any projects that may be translated into another language, where language expansion may occur, the following are some of the guidelines we share with our customers: In Tables: == avoid use of ALL CAPS in table header cells == avoid "rotated" (e.g. counterclockwise/vertically oriented) text in header rows == avoid nested, indented lists, even if table cells have been straddled to provide more width == Use wider cell margins in English (source) which can be reduced for target languages. Example, left/right table cells of 6 pts may be reduced to as little as 2 pts in German and Italian == avoid source/English tables that "just fit" the depth of the page, if you want to maintain the same page breaks in your target language. If you want to maintain the same page breaks, keep about 30% of the body column free (or white space) below the table. Hope this helps. RE: Conversion of Frame 7.0 docs [using Frame 8.0] into PDF
Dear Nihar, I have not run into this specific problem, but have a suggestion. Try saving the document to 8.0 MIF. Then reopen the MIF and save it as a binary FM8 file. Try "save as PDF" with your new binary 8.0 file. With past releases of FrameMaker I have found that saving to MIF then saving the MIF to binary sometimes deletes the code that may be causing the crash. P.s. make a backup of your 7.0 documents before doing this. How to verify what was the last release of FrameMaker 7.2
I have a customer who has encountered a "known" bug in FrameMaker 7.2. She wants to know how to verify whether there was a later patch for FrameMaker 7.2 available than what she has installed. I did a search in Adobe/User Forum/FrameMaker and was unable to find the answer to this. Does anyone know how to verify what was the latest version of FrameMaker 7.2? Hello Gillian, As per the previous postings, text frames are more desirable for callouts than text lines in FrameMaker, because you can apply a character and/or paragraph style and globally update all of your callouts throughout a document or book via importing formats from a template. If you have existing documents with multiple text lines w/in anchored frames, there is one semi-shortcut that I know of. This works, assuming that you want *all* of the text lines in anchored frame to end up looking the same: 1) triple click text in the first instance of a text line and apply a character tag (yes, that actually works ... The text isn't tagged but it will pick up the formatting from the tag.) 2) with cursor inserted in this text line, Edit=>Copy Special=>Character Format to copy the new formatting to the clipboard 3) select the text line as an object (control-click) 4) Control-A to select all objects, including text lines, in the anchored frame 5) Control-V to PASTE, and all of your call-out text lines will have the new values. 6) Search for anchored frame, go into next anchored frame, select an object, Control-A and Control-V to PASTE format values into all text lines ... Continue these steps until you have updated all of your text lines to have the desired copy/pasted formatting This goes pretty quickly and can possibly be automated through Framescript or some other tool. Hope that this helps. P.s. if someone has been creating a lot of text lines in your documents, when you use Control-A w/in anchored frames, you may see a set of handles around some small white space, indicating an "empty" text line. If someone has used BACKSPACE to delete the text in a text line, an empty text line remains. If you select that empty text line as an object, you can then delete it. Empty text lines (even in the margin of the page, outside of an anchored frame) can explain a mysterious "text edit cursor" that shows up when you move your object select cursor over the invisible, empty text line. RE: taking an image out of an anchored frame
Dear Milan, What you are experiencing (ability to drag graphic out of a frame) is part of the FrameMaker product design. The most common use for dragging a graphic out of an anchored frame is to drag it into another anchored frame. In the early days of FrameMaker, this was often done with the page zoom set to 25% so you could see multiple pages. If you do not have an insertion point (e.g. click the white page margin first) when you import a graphic, it will appear in he center of the page with no anchored frame. Your insertion point is changing because all imported graphics have "Runaround Properties" turn on, which makes text wrap around the graphic. FYI, imported graphics that have runaround contour turned on can cause text to "scrunch up" in an adjacent caption text frame. Unanchored graphics are most frequently used on master pages for logos in headers/footers or for watermarks behind the text column. I hope this helps. RE: Vertical alignment in text frame
Alan, You're not missing anything. There is no such thing as vertical alignment for text within a text frame. The only place you will find vertical alignment in FrameMaker is within table cells. You will find the command on the [Table Cell] tab of the paragraph designer. Be sure to have all paragraphs selected in a table cell (or select table cell) before using the command. With a table cell selected you can also use Esc j t for top alignment (and change the "t" to "m" for middle or "b" for bottom.) If you have resized a text frame to be just high enough for all lines of contained caption text within an anchored frame, and you want the text frame itself to vertically align vs. the top/bottom of the anchored frame. With the text frame selected as an object you can use Esc j m for middle alignment. Again, change the "m" to "t" for top or "b" for bottom. Hope that this helps. I am preparing a quote for a client in new languages. Has anyone had success publishing the following languages in FrameMaker 8: Cantonese (zh-HK), Vietnamese, Armenian and Hmong. If you have published in these languages but have run into "gotchas", I would appreciately being alerted to those. P.s. if anyone is aware of a published list of which languages do not work in FrameMaker 8 (beyond BiDi Arabic and Hebrew) please share that information also. In PDF output (and some other formats) you can provide your users with a simple table adjacent to a diagram that will shift display of image to wireframe and shade only the selected part. == Vastly improved preferences dialog == ability to reconfigure workspaces (e.g. add or hide menus) w/o having to reboot FrameMaker == ability to modify maker.ini with new preference to save FrameMaker files with "placed" (non-referenced) graphics w/o those fattening facets. This feature will substantially reduce file size for anyone who is using embedded graphics (e.g. files converted from MS Word) == Ability to display and customize appearance of LINE NUMBERS (great for proofing/review.) The line numbers work in multiple columns, etc. Try them out in the old sample "ecology" book. == "Hot spots" -- hyperlinks from vector graphic shapes to hyperlink marker in relevant text, or visa versa. Shmuel, If you are using FrameMaker 9, 10 or 11, you can use View->Pods->Insets and set your display for graphic insets (for doc or all docs). If you click on the *name* field, it will create a display, sorted alphabetically. Although you cannot print this display, you can make screen captures. After using this feature for awhile, you may find yourself moving away from generated lists. RE: Frame 11 catastrophe -- unable to open old Frame files
FYI -- one of the hallmarks of FrameMaker is the stability of its file format over the years. As with the others who have previously posted, I have opened very old versions of FrameMaker (e.g. 3.5) in FrameMaker 9 while still in the translation industry. Incidentally, if you take a current or recent version of FrameMaker, you can save an unstructured FM doc to MIF, and then open that MIF in an older version of FrameMaker. Although you will get many error messages, you will only lose any "newer" formatting or doc features not supported in the newer version. The document content will remain intact. Karen, Thank you for bringing this to our attention. We do take your needs very seriously, and have marked this issue for resolution in either a patch or the next release of FrameMaker. Although the values on line 95 of your maker.ini file will not currently display in the zoom pop-up menu (only the first 4 values will show), you may sequentially go through all of the listed zoom values by holding down control while you move your mouse wheel forward or backward. Summary of tools you can use: EDITS TO MAKER.INI FILE: You can set the available zoom levels by editing line 95 of the maker.ini file: Zoom=25, 50, 80, 100, 120, 140, 150, 160, 200, 400 Summary of useful keyboard shortcuts: Esc z i = In one zoom setting Esc z o = Out one zoom setting Esc z p = Fit Page in window Esc z w = Fit window to page Esc z f= Fit window to text frame Esc zz = Zoom to 100 percent Please note that you can also manually enter any percentage you wish over the value that is displayed in the zoom menu. That zoom value will be saved with the document. We hope that these workarounds help you in short term while we look at fixing this issue. Hello Tammy, I imagine that someone has suggested this already but for speeding up temporary navigation (e.g. if you need to zoom down to 25%), use View->Options and "uncheck" graphics. This makes all graphics disappear. You can arrive at your destination more swiftly and then reverse the process (e.g. "check" graphics) so you can view the image as you write. The keyboard short cut is ALT v o -- Other remote possibility of speed issues is if you have checked "Save FrameImage with Imported Graphics" under Preferences. I still have FM7.2 loaded (for testing comparison) on my personal WinXP machine. I have noticed that even that older version of FM runs slower than it did "when new" due to the many successive WinXP upgrades. I speculate that there may be some connection. I have received a myriad of onlist and offlist responses, and they range from others having identical issues and not being able to resolve them to some resolution depending on if you turned off graphics, pods, etc. One interesting comment that was made to me offlist on a few occasions was that the problem seemed to really come to the forefront after the last few rounds of Windows updates, and that is truly something that I have noticed as well. A few people commented that overall FM 10 response in almost every aspect was noticeably slowed after this last round of updates and this was working local or w/ both the files and graphics stored on a network. For now, I am going to keep all pods closed and be somewhat thankful that I am pretty keyboard driven for commands (which harks back to my days on older versions of FM and my age in general :)). I really do need to keep the graphics displayed as I write for a variety of reasons, but if that ultimately becomes the real showstopper, I will just have to work my way around that as well. I am sooo tired of all these issues w/ newer versions of FM. FM 7.2 and 8.0 were just as solid as a rock and quality just seems to be going downhill exponentially w/ every subsequent release. Hi Karen, The missing fonts could be located in several places, like "empty" text lines created from the Graphics Palette. If you are certain you have only the fonts you wish in your para and char styles, you could Edit->Preferences and change the settings to not remember missing fonts. Then open/save FM doc. (Make back up copy first, of course.) That should cleanse any missing fonts. In random cases, I have found text frames that someone moved "off the page" with extreme values (exceeding page width) via Graphics->Object properties. Rick is correct. I consulted internal engineering just to be sure: Tooltip (or title) is not supported by all output formats of FrameMaker or TCS. It is supported by Hotspots in HTML. The hotspot is converted to an Acrobat Link object. As far as I can see, Acrobat Link objects don't have a tooltip property. You can see this by creating a Link by hand with the Link tool. I don't see any place in the Link properties dialog box where you could specify a tooltip. So I am not sure how this could work going from Frame to PDF. Here is what it says now: "Because FrameMaker provides support for workspaces, the client's modeless dialogs can become a part of a workspace. To make this work, the client has to handle the notification FA_Note_Dialog_Create, which is sent to the client when the workspace has to launch the modeless dialog for a particular client." I guess the answer is in there, but there was not enough clarification for me to figure it out initially. I finally figured out that when you save a workspace with the dialog open, the notification then happens automatically once you select or reset that workspace in the future. Also, there is the fact that "sparm" is set to the name of the dialog, which you need to test in order to know how to respond. So, I would recommend adding some verbiage similar to the following: When a workspace is saved with a custom modeless dialog open, the name and positioning of that dialog are stored with the workspace. Then, when the user selects or resets the workspace, FrameMaker sends the FA_Note_Dialog_Create to the respective client with sparm set to the name of the dialog box. It is then the responsibility of the client to handle this notification and execute the required code to open the dialog box again. Once the dialog box is open and the client code exits, the workspace configuration routine will continue and automatically position the dialog box as stored in the workspace. Note the following: - FA_Note_Dialog_Create is only sent when the workspace includes a custom dialog that was open when the workspace was saved.
