  I would prefer the ITEM and ITEM LOCATION designators – and consistency 
across all functions / buttons / screens / views etc would be very welcome.

As Dan and Lynn point out below, there have been VAST inconsistencies and also 
problems with function.If we stick with item (which implies copy, call 
number, and barcode), that keeps it very simple. Copies has the implication 
of multiple copies of a title of a book, whereas we mean more than that in most 
systems because we will have different kinds of physical things attached to one 
MARC record.Using the term ‘items’ keeps it most generic.

As for the "Add Volumes" vs "Add Copies", the problem there was that the 
omnibus branch created an "Add Volume" menu entry within the holdings view 
which did exactly that, add an empty "volume" (call number) with no copy.  It 
felt like bad design to have this menu entry for "Add Volume" which only added 
the call number while also having an "Add Volumes" button which added both the 
call number and the copy.  An early revision, for maximum clarity, relabeled 
the record-level button to "Add Volumes and Copies", but a long button label 
such as that brings its own challenges.  It was then reasoned that "Add Copies" 
in some sense implicitly means (at the record level) "Add (Volumes and) 
Copies", since you can't have the second without the first.  And thus the 
current label was born.

I know there is a bug report for not being able to edit the attributes of more 
than one item at a time in Webby but I can't find it. XUL allows that function. 
It is used by circ staff to change shelving locations and circulating 
library.We positively must have that function. I talked to several people at 
the conference about this bug and everyone told me that it isn't slated for 
squashing in any upcoming upgrade.

I know that we can use copy buckets to change attributes of more than one item 
at a time but that makes a simple task more complicated.

If I need to submit another bug report about this, let me know.

requires an untenable number of extra steps in the browser client to accomplish.

  Yup.  We are trying to load a serial title with over 600 items / issues 
attached.   We would like to be able to load that screen and to edit that title 
/ issues.

  How can we get around this?   What will fix it?  What do we have to 
do to add more to this title??   Remove items so that it will work?

  From a 'end user' / power user standpoint (and the admin) PLEASE PLEASE don't 
get rid of the Holdings Maintenance view / screen / option!!Oh my.   We use 
that for so many things.   It just helps visually to know where a volume is, if 
it is labeled correctly, if it has copies assigned, and are there others in the 
system.

PLEASE keep the Holdings Maintenance.  It is one of the BEST things in 
Evergreen.

(The other BEST thing ever is the Item Status Display.   NEVER get rid of 
that either!)

I just had this reported to me, and it does seem to be problematic. Many of our 
libraries use Holdings Maintenance in XUL as the first step in adding volumes 
and copies. This works out well because, even if a given library system has no 
volumes or copies under a given title, the org unit tree for that system 
appears in Holdings Maintenance and you can easily add volumes / copies to a 
specific branch. This tree does not appear in the Web Client so adding volumes 
to a branch requires several more steps as a user is forced to select the 
branch org unit at several junctures.  Am I missing something? Has anyone else 
noticed this?

We are relatively new to Evergreen, this past October was our start time. With 
our former system a Balance Notice was automatically generated to send to 
patrons who had fines which would cause them to lose privileges. With the help 
of Elizabeth Davis, we created a Report which gives us a list of patrons who 
have had the Alert added to their record saying that they've reached the Fine 
Threshold. By adding a filter to say when the Alert was added, and having the 
report run daily, we can then send a Balance Notice to patrons each day. We 
have a Google Doc set up for our Notice and we just change the name, address, 
etc. for each new patron. The amount the patron owes is another filter, and 
sometimes it's not correct in the report. That's not a problem for us since 
we're already going through the list to choose which patrons get a Notice.

If you'd like more details, I'll be glad to try to share what we use.

We generate bills for fines for some of our members. These are usually sent by 
email using what I believe are the stock triggers for this. The emails are sent 
when the patron exceeds the fine count.

We may generate PDF bills for this for some of our members, but I'd need to 
check that code to make certain, and I'm a bit busy with other things at the 
moment.

It sounds like you're asking for something that Evergreen may not do out of the 
box, but I think Bibliomation may have set up once for their academic members. 
IIRC, they had something that would generate billing notices for students near 
the end of the semester.

If you want more information about the usual fine notices, I can probably look 
it up later.

[OPEN-ILS-GENERAL] Billing notices

All -

  I think we are having trouble with our 'billing' notice.   I am not sure we 
have it set correctly with the right trigger and so forth.  Patrons do not seem 
to be getting these, even when we think the conditions have been met.

What we want is for when a patron goes past the $5.00 limit in total amount 
owed, to be sent a notice saying that.   And also telling them that their 
ability to check out is now prevented.In addition, we would like this to 
REPEAT every week (can we set it smaller?) until it is paid down below that 
limit.   Is this possible?

  What we have set now is this:

  What are the correct hooks, processing delay, validators, and granularity 
that we do want to set?Am I missing something?  What other settings do we 
need?

list.   Stuff that differs in how we do business than public libraries.   Like

Dan's previous message explains the function better than I did. After looking 
more carefully it hides the place hold button unless no copies are locally 
available.

As long as staff are able to place unfillable holds, then the place hold link 
will always show up in the staff client.

This is very very bad.   The ONE very great thing about the current Evergreen 
IS the batch item editor.  Bar none.   If it goes away, or is unusable, that is 
a disaster!

  Please make sure this is fixed.   It is such a great tool and we rely on it 
almost weekly for this purpose.

edit items as a batch

You can still make batch changes, like shelving location, to items using the 
Item Status screen, as well as in Copy Buckets.  You'll scan in all the items, 
check their boxes, then go to Edit: Items in the Actions menu.  Any changes you 
make in the Copy Editor will be applied to all the items you checked.  Be sure 
that your pop-up blocker is off or set to accept pop-ups from Evergreen.

Check your settings in Firefox and or IE.   I have noticed that Evergreen pulls 
the defaults from browser settings.   Causes all kinds of trouble if you don't 
know how they are set.

Hello, I've been having some problems setting up a spine label printer on one 
computer.

Even though I go into the workstation printer settings editor and set the 
correct printer as the default printer for the label context, whenever I press 
the print page button on the spine label preview and print page, it aways 
defaults to sending the print job to the windows default printer.  When I look 
at the config files in the client profile directory, it looks like the 
different printer contexts are setup correctly.  We are running eg 2.10.6 right 
now.

Has anyone run into this before?  I about ready to delete the client profile 
and try setting it up again, but I thought I would ask first.

Wow!  That is really helpful – and a good step to try first.   I had no idea of 
the code even to be used for the ‘circulating library’ or where to find it.  
Thank you for sending this. In this case, when patrons hit that reply 
button, they will get closer to the library who can actually deal with that 
item.

The notice grouping discussion aside, you can try the following for your From 
address to get the email address of the library at which the checkout occurred:

helpers.get_org_setting(target.0.circ_lib.id<http://target.0.circ_lib.id>,

I'm not really sure - I would think it would have to group it by both usr AND 
circ library  (so a user might get multiple emails, but each email would have 
items grouped for a specific circ library) and I don't think that's currently 
possible in the action trigger interface (hopefully someone will correct me if

I'm trying to think of other ways to approach it...
You could still use the usr grouping, but grab the circ library from the first 
item in the group - this would work for most emails, except when a patron had 
items due for more then one library on the same day.
You could also list the library & email address of the circ library along with 
each item that is listed. That would potentially make the emails much longer, 
and they wouldn't always just be able to hit Reply, but at least the 
information would be accurate.

Most of our notices are grouped by usr so that the patron gets 1 message with 
multiple items rather than an individual message for each item. Because there 
can be multiple items, there can also be multiple circulating libraries. Are 
you sending an individual message for each item?

  Nope.   And I think that is where the difficulty lies.We are not sure how 
to send out notices so that when the person replies, they are responding to the 
circulating library where the item originated – and NOT to their home library 
(who has no idea about that item).

  Does that make sense?How then should we set these up so that they work in 
a different manner.   We don’t want to keep confusing the patrons.But it IS 
nice that one notice goes out for all items. Rather than the patron maybe 
getting one notice for each and every item.  Oy!Is there a way to group 
notices by circulating library?

Most of our notices are grouped by usr so that the patron gets 1 message with 
multiple items rather than an individual message for each item. Because there 
can be multiple items, there can also be multiple circulating libraries. Are 
you sending an individual message for each item?

We are having some issues with our notices.   When they go out, they have this

Oh yes!You are so right.  The bill paying screen is a DISASTER!   We hate 
it.   Our student workers are always having trouble.   And for the LONGEST time 
we could not figure out even how to SELECT the items to be paid.

  And along with this, I would really like to see MORE options for payment 
type.  And to be able to create new payment types.

  Please fix it in whatever clients you can.   We would be most grateful!

We see enough errors with applying payments that I'm wondering if a different 
interface would work better.  We are on 2.10 and are using the XUL staff 
client.  The problem seems to be with the payment type dropdown.  For some 
reason the wrong options gets selected occasionally, and the payment is 
submitted with the wrong type.  I think the drop down is just hard for some 
staff to see, and the level of accuracy required to select the correct option 
is high.  Also, I suspect that the interface just has too much going on when 
you first look at it, and sometimes staff are at a loss on where to start the 
process.

Also, there is no confirmation step before the payment is applied.  I think a 
summary of the payment about to be applied would be useful for staff to double 
check the options that they have selected.  Another error we see is having the 
wrong items selected to pay the bills on, or more specifically not selecting a 
specific item when that is wanted, and going with the default we have set of 
all bills being selected.  This also might be helped if there was a 
confirmation process.

I've seen the interfaces that some POS(Point of sale) systems use and one style 
that I've seen used is to show all the payment options as a grid of buttons, 
with unique icons for each method.  I think this would be more touch screen 
friendly also, which isn't something that we use now, but with the web staff 
client there is more of a possibility of staff using devices with touch screens 
 to help customers.

So what if instead of the pay bill ui being on the bills page, there is a "Pay 
Bill" button at the bottom of the screen that brings up a separate interface 
for selecting the payment type, annotation, amount, etc, along with showing 
which items were selected and the distribution of payment on those items, and 
then a final confirmation screen?

We are getting permission errors for LongOverdue items when trying to check 
them in.   The error says that there is a permission issue with the override.  
However, here is the permission as it is set:   
"COPY_STATUS_LONGOVERDUE.override"This is set in the permission group that 
is trying to perform this function.

BUT -
  You  the error message that pops up, it has another underscore in it:  
"COPY_STATUS_LONG_OVERDUE.override"

  So, there being a mis-match, I am wondering if the system is having problems 
because it thinks it is one thing, when it is actually another?

  Is this a bug?   What do we need to do to fix this? Currently we cannot

First of all I just want to say a big Thank you to Kathy Lussier for writing 
such a great analysis of this issue. I think she did an excellent job of 
articulating the basic arguments for both sides.


I agree that we need some kind of process for requesting new lists or 
guidelines about when a new list is warranted.  I would be happy to help come 
up with some guidelines after the Sitka upgrade to 2.12 is complete (end of 
May).


I think that the debian requirements are a great place to start.

the Main (Profile) Permission Group? If it's a secondary, you may be running

Once the script is created, it can be evoked with the permission group's name

All -

  We have set up a new permission group where we would like to combine the 
functions / permissions of the acquisitions and cataloging all into one.  So, I 
created a new permissions group, and added all the permissions to that new 
group that looked like it dealt with both acq and cat functions.  Then I 
assigned a new staff patron login to that permission group.

Here is where we are running into a problem.  NO MATTER what depth I have 
assigned at the permission group level for the 'update_volume' permission, it 
keeps getting 'downgraded' to the lowest depth at the user permission level.   
What is going on?  What am I missing?   This new staff person cannot make 
changes beyond the branch depth.  Why?

Hi Jennifer,

I have a thought that *may* be of some help.

When you create a serial subscription, you also need to create a 
'distribution.'   One option that you set in a distribution is the "Summary 
Method."

This setting indicates how you want your holdings to display in the catalog.  
If you choose "Use record entry only" (e.g. serial record entry) you are 
telling the system that you want to display the holdings from your MFHD record. 
 So, I suppose you could run into problems if you choose this option but do not 
have a MFHD for the title.

This is just a guess, though.  I haven't tried to test this yet.  As I 
mentioned, I have never seen that error before.

referring to serial record entry.  In Evergreen, serial record entry refers to 
the MFHD (MARC Format for Holdings Data) records.  Do your serial titles have

Jennifer,

SRE is short for Serial Record Entry. If that message comes up consistently, 
you have something wrong. However, I don't know serials well enough to tell you 
what that something is.

MFHDs can be used, but SRE is part of serials proper, and I may be mistaken, 
but are meant to replace MFHDs.

I didn't answer before because I dont' serial that well to help you with your 
problem.

I think I have asked this before.   Just asking again.   Can we ADD payment 
types to the list?   The ones there are great, but we need one more.   We are 
an academic institution and we can send our fines to Student Accounts to be 
paid through the cashier's office. We want to mark these as paid, but not 
paid to us, to include in our cash register receipts.(it is rather like 
sending them to collections or something) None of the current payment types 
suit our purpose.

An alternative that I used when I worked at KCPL will show bibs that have no 
copies but still have empty volumes attached (which can prevent a record from 
auto-deleting):

Source -- Last Copy Delete Time

Displayed Fields:
Record ID (transform: Raw Data)
Delete Date/Time (Transform: Date)

Filter Field:
[Bib] Deleted = False  (Last Copy Delete Time :: Record ID)

This will return a list of Bib IDs for undeleted bibs, and the date the last 
copy on the bib was deleted.  You can then go through and delete any "stuck" 
empty volumes.

[OPEN-ILS-GENERAL] Problem with overdue notices all of a sudden going out - on items already checked in!

All -

All of a sudden we have had numerous notices going out to our faculty for items 
that were due, but have since  been turned in.   What on earth!?

  Here are our triggers / notices:

  Is anything wrong here??Is there a hook or a validator wrong?   
Specifically on the "overdue" triggers.

What would cause notices to all of a sudden go out?   And at this point, we are 
only aware that they went out to one profile group - our faculty.  That group 
generally has a due date of the end of the semester, but the items / people 
getting the notices had some other interim due dates.  Plus the items have been 
confirmed to be ALREADY CHECKED IN! What else should I be looking at?

  We are on Evergreen 2.10.5

Hi Jennifer,

By default they live on the server at /openils/var/templates/marc

There is more good information here about them:

You can certainly create new ones.  A year or two ago I did some searching 
around and found where several other consortiums had shared their own 
collections they had made (because I'd rather re-use than re-invent).  There is 
probably more information on the wiki and/or checking irc logs assuming you've 
already searched email histories.

As for why that function doesn't exist in the staff client?  The short answer 
is that no one has prioritized it high enough to commit the development 
resources to it.

[OPEN-ILS-GENERAL] Where do the MARC templates come from?

All -

We are having some problems with two of our MARC templates.  They will not 
load.   Where are they housed?  How are the created?   What would make them go 
away?

*** Can we create more?   It seems odd to me that I cannot do this within the 
staff client.  Why not?   Where is it if I can?   I see the Copy Templates 
Editor.  Why not a 'MARC templates editor'?

Right now, when we go to "Cataloging" > "Create new MARC Record" we see several 
that are available for our other location, but not ours.  And when we click on 
one that we used to use, we are getting a Network Error.

[OPEN-ILS-GENERAL] Clark Kent - the reporter - keeps quiting - why?

We are having enormous problems with Clark.  He keeps getting stuck and 
quitting.   Constantly needs to be restarted.  I mean every five minutes it 
seems.  At least every day.   What would be causing this?   This cannot be 
normal.

Any suggestions?What should we be looking for?

  Is there a way to get the reports to spit out all items – including those 
with a blank field? In other words, how to show all and not just those that 
have data in that field.

  And second, is there a way to look for BOTH the 001 and the 035 and spit out 
both in the results?

Just leave the Field Transform as "Raw Data" and the Operator as "Equals" and 
it should work as you're expecting.  For a MARC field with subfields, you would 
want to add an additional filter of subfield as Rogan's example suggests.

  I'm working with entering invoices and trying to close out old purchase 
orders because I've gotten behind this summer.  When beginning a search for a 
PO it starts with the oldest first and requires going through several pages in 
order to reach the most recent ones.  Is there a way that they can put the most 
recent lists first and the oldest last?  Is there some way that we can do that 
ourselves?

All,

Yes.   Something very badly and horrible has gone wrong.Right now in our 
staff client, the Staff group is gone. To top that off, now the system is 
down and no one can get in.  People with more knowledge than I have 
are working on it and we are hopeful it will be back to normal soon.

  Still, it should have been “impossible” for these to be deleted as a whole 
group since, as you say, the permissions themselves were actually assigned. 
Is it somehow possible in the staff client to make them not SEEN?   I’m just 
picking at straws here, trying to figure out the steps that led us here.

Hi Jennifer,

With the caveat of anything is theoretically possible if an admin has done 
bizarre thing x, y and z 

Generally Patrons will be a child of Users and it would be impossible to delete 
Users and Patrons still exist.  It's kind of like yanking the foundation out 
from under a building and the building not moving.

You can certainly delete groups and permissions be in the system.  Permission 
Groups and Permissions are totally separate things.  Permission Groups are a 
label, say Catalogers, that have Permissions associated with them.  However, 
permission groups have constraints against a number of other tables.  It would 
non-trivial to delete them if they are used in holds rules, circ rules, 
assigned the users/patrons, etc...

I'm echoing Thomas a bit here but what you're describing sounds very unlikely.  
What ever appears to be happening from the staff client level is most likely, 
at the very least, not the whole story.  If you don't have database level 
access to your system you need to contact someone who does to investigate what 
is happening.

Report templates can be complicated, and it's not always easy to understand 
what each element of the template means, especially if you don't use the same 
templates frequently. We've found it useful to add field hints and links to 
local documentation to the report templates.  This was an enhancement in 
Release 2.7:

It takes a little time to set these up, but it saves time in the long run  and 
promotes consistency in reports.

Have you tried putting the older date range value in the first section of the 
between? I think that’s been an issue with a few of our date range reports.

  It was a long and messy day.

All –

I am not sure if this is the report acting weird, or something else wrong with 
our system.
My boss wants this:  need one total number of physical items added to the 
collection between 7/1/15 and today (last 12 months).

And there is a ‘canned’ report from Equinox that is Count Items Added by Date 
Range.But nothing ever comes out.  I just get a blank.   I’ve tried all 
kinds of date ranges and don’t know what is wrong.

Can anyone guide me to maybe create one from scratch?   Or fix the one that is 
already there?Is there a bug in the system?

"In House Use" is one of the "Core Sources" available in the reports interface. 
 That should give you a good starting place for creating a template.

It's very easy to make a search widget that allows you to start an Evergreen 
search from your library's website. We've done it at our library with 
Wordpress, but it should be equally easy in any system that will let you write 
HTML.

Our search form is slightly more complicated in that it allows you to choose 
whether to search our website or the catalog. This requires some Javascript and 
some some server-side scripting (in case someone has Javascript disabled) but 
is still pretty easy. You can see our website at http://forbeslibrary.org/.

Can you check the depth of the CREATE_BILL permission? If that permission depth 
is set for system, that could be what's filtering out the billing types owned 
by the other org units.

I haven't verified any of this, but when a set of permissions exists like:

VIEW_BILLING_TYPE
CREATE_BILLING_TYPE
UPDATE_BILLING_TYPE
DELETE_BILLING_TYPE
it suggests to me that those are the permissions that control who can manage 
the list of billing types, not what appears when you're actually applying a 
bill.
I would check that CREATE_BILL permission depth and see if changing it makes a 
difference.

The folks at Asbury University have had success with a Zebra TLP 2844. It uses 
Thermal Transfer ribbon and prints spine+pocket labels on a role. Cost is 
between $300 and $400.
At Asbury Seminary we have been using an old Cub thermal transfer printer. We 
use it to print spine+pocket, and barcode labels. When it dies we will likely 
go with a Zebra like the University.
We are sold on printers that use thermal transfer ribbons. The print is very 
clear and fade resistant.

There are a lot of different ways to do holds policies.  I'm guessing you have 
specific policies for different circulation modifers or shelving locations or 
however you approached it and there isn't a hold policy for this specific 
scenario (circ mod, copy location, whatever).  I usually avoid this by having a 
generic policy that covers everything and then more specific policies that are 
exceptions.

Mike,

Yup.  That is precisely it.   I don’t want to have to remember to filter for 
“deleted”.   That seems really a weird expectation, when it should have been 
deleted.  (meaning it is not there)☺

  And it clutters up the server.  I like clean systems and only the stuff we 
have is there and nothing else.

And we get weird and random empty records that we can’t figure out how they got 
there.   Did someone make a mistake?   Did the system get confused?   Did we do 
something wrong? Then fixing that is just a pain.   Would be nice to blast 
everything and just start over.  With the phantom records hanging around the 
system, you can’t really do that.

Maybe we could have a report run that “clears” the system only when you run it. 
  It could be an admin only function and run when it is deemed appropriate.   
Our previous system had reports like that.  It was lovely.

  I completely understand!   This is a valuable option for those folks who need

  Well, I am sorry that I was not obvious enough.But CERTAINLY I would not 
want to delete anything with items / volumes / copies attached.  That is just 
silly.

But I seriously don’t care about the bib / item / copy etc when it CAN be 
deleted.   I don’t want “ historical” data. The whole point of deletion is 
to delete it!   So, make it go away.

Otherwise, call it something else and “park” it in a hidden status or 
something.   Don’t call it deleting, if you are actually NOT deleting it in 
actual fact.   When I delete something it goes away – off the server, out of 
the data record, gone.

And now that I know that patron records are not actually deleted either??!!  
UGH!!   You are killing me.I like clean data files.

   And now, back to your regularly scheduled programming…

Based on another reply I think she meant more of permanently deleting than 
cascading a delete.  I wasn't clear on that initially.  I think there would be 
real dangers in the same scenarios Elaine brought up.  As for permanently 
obliterating other kinds of records I don't think there's one answer that is 
right for everyone.  I can appreciate the view point of it's gone I don't need 
it anymore, it's a waste of bits in storage and another pass through the 
tables but I like looking at historical data so I'm very hesitant to toss any 
of it.  Evergreen's default don't throw anything away behavior appeals to me.

There are a few different kinds of deleting in Evergreen.  One is to turn on 
the deleted flag on the account.  That doesn't do much other than hide the 
account from the staff client pulling it up and is relatively harmless.

The other kind of deleting is obliterating the account.  This is the delete 
option that is on the other menu in the staff client and comes up with this 
warning:  Completely OBLITERATE this patron account, including bills, 
payments, bookbags, etc?  This is IRREVERSIBLE.  And it has a checkbox.

The good?  It deletes it and it's gone forever.

The bad?  As the message warns, gone forever is also anything tied to it.  My 
accountants would throw a fit at bills and payments and other records 
disappearing from the system and we're audited every other year.  So, whether 
or not it's bad will depend on your circumstances, your accounting environment, 
etc...

As a result it can also throw off counts of circulations, holds, etc... if you 
want to go back and run numbers on old data sets.

If we want to truly remove a patron I run an anonymization script that strips 
out their address except for zip code, names, phone numbers, email, etc and 
leaves a generic patron in place but leaves all of their associated records.

[OPEN-ILS-GENERAL] Staff login - multiple windows logins

I think I have asked this before - or a variation thereof.   I was just 
wondering if maybe someone has come up with a creative solution since before.

   So, we have student workers in another department in our building, who will 
be checking in and out equipment.   Each student will be logging into the 
checkout computer with their campus login.   But we DON'T want to create 
multiple WORKSTATIONS for each instance of Evergreen in every single windows 
login.  Is this possible?

  I notice that with the - profilemanager option for Evergreen, that you can 
set up different workstations / profiles.  That is wonderful!But do you 
think that profile list could then be in a root directory on the computer so 
that all Windows logins could point to it and every instance of Evergreen would 
see the SAME workstation / profile?

  I'm just fishing in the dark here.   We really really don't want is to create 
20 different workstation setups for this checkout point.  But that is what it 
has come down to.

Any other creative solutions out there?   I would really love to hear them.

From your original description, a new call number is being created, but your 
item isn't being transferred. If the Edit Items / Volumes per Bib is working 
the way it should, then the fact that a new Volume is being created should be 
invisible to the staff member making the edit.

You shouldn't be ending up with empty call numbers unless there's something 
else going on.
BTW, no one's confirmed this bug yet, so if it is what you're seeing, you can 
mark it as confirmed.

volume level.   Seems to complicate matters unnecessarily.

 If anyone can give me ANY help to fix about 300 records that have gotten 
deleted and then mysteriously not, I would be most grateful!   Where is that 
pesky deleted indicator anyway??   I want to turn it off for these records. 
(my other pet peeve!   Items should be GONE from the system entirely and not in 
a phantom zone!)

Hi Jason,

Yes, I understand the mindset behind the current behavior. If I were to look at 
tackling this bug/wishlist request, I think I would look at adding a prompt 
that appears when the user is updating a volume from the unified editor if 
there are other copies attached to the volume that aren't being edited at the 
time the update is being made.

In many cases, I think the answer to the question is Yes, but I can see why you 
wouldn't want to change the call number label for all six copies if the intent 
was just to update the label for one.

Sorry.  That does not describe what we were trying to do, but it sounds to me 
as if the unified editor is a big boondoggle and you should never use it.

  We are not getting empty volumes left over – so I guess it does make a call 
number / item transfer, but then when you delete the now empty call number, it 
is leaving the record with a “deleted” flag on it somewhere.   When in actual 
fact, the item is still there!

  Crazy stuff.

  We have stopped using the unified editor and now have to figure out how to 
fiddle with all the records that got the mysterious “deleted” flag when they 
are actually NOT deleted.

  Let's say an owning library had 5 copies of a title, but wanted to put them 
in five different locations - each with a different call number.   You could if 
you wanted, without creating and fiddling with volume level data.   Why can't 
that level just be eliminated altogether?

 Just saying.   I'm just not seeing the benefit of having the call number / 
volume level.   Seems to complicate matters unnecessarily.

 If anyone can give me ANY help to fix about 300 records that have gotten 
deleted and then mysteriously not, I would be most grateful!   Where is that 
pesky deleted indicator anyway??   I want to turn it off for these records. 
(my other pet peeve!   Items should be GONE from the system entirely and not in 
a phantom zone!)

tackling this bug/wishlist request, I think I would look at adding a prompt 
that appears when the user is updating a volume from the unified editor if 
there are other copies attached to the volume that aren't being edited at the 
time the update is being made.

In many cases, I think the answer to the question is Yes, but I can see why you 
wouldn't want to change the call number label for all six copies if the intent 
was just to update the label for one.

 Here is where I don't understand the current construct and wouldn't it make 
more sense to have the call number and the barcode be at the item level for 
each record?

  Like this:

[OPEN-ILS-GENERAL] Problem with Edit Items / Volumes per Bib function?

All -

  We are experiencing what we think is a bug, but maybe we are just 
mis-understanding something.

  When we edit an item with the edit items / Volumes per bib function, it 
ADDS a second, empty call number record.  (We can see it via the Holdings 
Maintenance screen).  All we want to do is to CHANGE a call number on a 
record.  We DON'T want to create a second call number record with no items 
attached.   It would be nice to also change the copy location at the same time 
(what is this combo function for, if not that??).But all we get is a second 
empty record.  Not an actual update of the current items / volumes.

  What is going on here?   Is this a bug or something?   Why is this occurring? 
  Is something wrong with this combo edit function?

  However, when we edit the item with the Edit Volume option only, it does 
just what we expect - it changes only the call number and updates it.  It does 
not create a second record.Then we have to go into the Edit Item 
Attributes option to fix the copy location.   Now all is good.

  On top of that, since we have discovered this problem, we have been DELETING 
volumes and REPLACING them with the same barcode from the original, in 
holdings maintenance.So, now the system thinks we have deleted that 
volume / copy.   When I run a report, it has marked those as deleted with the 
indicator, but they are ACUTALLY STILL THERE!   Oh now what?  How do I remove 
the deleted indicator from those records?They are not actually deleted!!

Please tell me how to fix all of this!   It is a nightmare.   All we are trying 
to do is to move our Juvenile items from one copy location to another and 
change all the call numbers.  What gives!?

Ok.   So what is the difference between Aged and Active?   And why are not all 
circs just circs?   If the item ever went out, isn’t it counted as having 
circulated?

Any further advice on this report is welcome.  I have not really started 
working with it yet except to look at what Rogan suggested.

  My source was “Circulation” from the drop down list of Sources.
 My base filters were:Check out Date / Time (selecting between 
year+month)  and Org ID
Still not sure how to select call number range, but was going with  
Item – Call # / Vol – Call# label and choosing “between”

  My displayed fields so far are:  Circ Library, Circ count, and Call number 
Label.

I would really like to get the call number “group” rather than exact call 
numbers.   Anyone have any ideas about that?   In other words, if an item has a 
call number of 365.4988 F45c  it would fall in the 300’s group.   My idea 
is to use the “between” transform and run a report for each call number 100’s 
range.   If there are other options, I’d like to know.   It would be great to 
get an aggregate TOTAL of all items that circulated within the 300’s for the 
current date range (i.e. year).

I haven't created this report template, but I think that Rogan's suggestion is 
correct.  One thing to keep in mind is that there are a few different 
circulations sources.  If you would like to include aged circulations, you 
should choose the Combined Aged and Active Circulations source.

If I'm understanding what you're looking for correctly you're going to want to 
connect from the circulation data source to the copy and from there to the call 
number and the call number label will have your dewey call numbers.

I've often wondered about this myself since some of our libraries also have 
periodic shifts to summer hours, or even renovation hours of service as 
they go through lifecycles.  So yes, it seems like your idea might prove to be 
a helpful one to even public libraries, not just academic libraries.

I can't commit to anything new at this time, but maybe you or others might find 
this to be a worthy contender for feature development in future Evergreen 
releases.  Certainly sounds like a good wishlist idea anyways.

   I'm playing with the items in the My Account for our patrons, and I am 
curious about the button for Check Out History in the Items Checked Out 
tab.   Where does that information come from?   Is there a toggle for each 
patron to keep track of their items?   Is this a universal ON thing for all 
patrons, or does each patron have to turn this on?Can this be turned on or 
off by Library?Is this something that we can see for ANY patron in the 
staff view?Where is this?

How do I NOT allow patrons to change their email address in the OPAC  My 
Account??   We do not want our students to change their email addresses from 
what we have entered into their patron record.Is this something we can set 
so that they cannot have the option to change this in the OPAC?

  Is there such a thing as a fine notice in Evergreen?   Does anyone do this?  
How does this happen?   When the patron goes over the max fine threshold, does 
a notice automatically generate?   If not, how do I set that up?   I would like 
to set up a billing notice for BEFORE they reach the threshold.   How do I set 
that up?   I am not seeing triggers or hooks or validators which make any sense.

Any help is appreciated.

Maybe this is for the academic libraries out there, I am not sure.

  But I need help with setting up the “trigger event definition” for sending 
out emails for fines / bills.   I don’t have any examples to draw from and I am 
not certain how to set them up. If someone has a good example that is 
working for you, can you please share?   We would like to set up notifications 
for every other day to send a notice to students until the bill is paid or 
moves into a different category (up to two weeks).Can that be done?

[OPEN-ILS-GENERAL] Due date conundrum - time due is weird

All –

  I have a conundrum with our due date / times.   When we currently check out 
an item to a student, it give them the normal three week due DATE, but adds a 
time which is 7:59pm.Where is it getting the time from??   We are open 
until 11:59 each day of the week (m-f) and a due TIME of 7:59 is really odd.  I 
have checked our Org hours and they are set correctly for our branch.   Our due 
dates are set for the circ rules for 21 days.   WHERE is it getting the TIME 
from??

  If someone can enlighten me about some setting that I have missed, I would be 
very grateful.  Currently when students turn in an item on the day it was due 
but AFTER the time it was due, they are charged a fine.   We would like to fix 
that!

Jennifer,

Evergreen pushes the due time to 11:59pm on transactions that have day-granular 
circ durations.  So, it sounds like you've got a timezone mismatch somewhere.  
Likely, your database server (or the database iteself), or the app server if 
separate, thinks it lives in UTC instead your correct timezone.

Hi Don,

It comes from the MARC fixed field - form of item. If you're in the MARC editor 
on a recent version of Evergreen (2.6+), if you right-click on the text-entry 
box for form in the fixed field editor, you should have a list of forms to 
choose from. However, if you're on an older version, you need to manually enter 
the code. The LOC documentation should have them.

That is what I believe is happening now when you register a new user.   But 
that is a random number.   But the instructions on the web page say use your 
phone number.  That is incorrect.   And what I really want to know, is instead 
of generating a random number for each newly registered user, is there a way to 
auto populate the field with the SAME standard generic password.   That way, 
when we personally register a new student, we can tell them this is your 
generic password so they can then go on the system to change it themselves.
We would of course NOT post those instructions on the web site or opac. We 
also hope to be auto-loading our student records sometime soon.  So in that 
process, can we fill in the SAME starter password for each new user record when 
the system uploads all of their other data?Does the system automatically 
generate a random password whenever a new record is created? Can we have it 
copy their barcode over to that field?

When you load your student records, you can certainly load in anything you want 
into the password field.  It is usually helpful to load in something that is 
unique to the student like their birth date or university ID.  You could load 
in the same password for everyone, but that would lead to students knowing how 
to access other students accounts.

If you register patrons by hand, then you can change the random password to 
something else.  It's a few extra keystrokes, but will get you by until records 
are loaded for you.

When we migrated our data, we loaded the same password into each record. 
  It was a random string of 25 characters and we never told anyone what the 
password was.  As long as the patron has a valid email address in their 
Evergreen record, then they can reset their password from the login screen.  
People who did not have an email address just had to ask the circulation staff 
to reset the password for them.

For public libraries who don't load patron records, we had business cards 
printed up with 4-digit numbers on them.  When registering a patron, libraries 
input the number on the next card and hand the card to the patron.  That way 
they don't have to say out loud what the password is.  The patron can then go 
change it to something else.

[OPEN-ILS-GENERAL] Search URL's for evergreen opac

   I had asked previously for help with a search form / widget for our web 
page.  THANK YOU for the guidance.

  Now we need to link our OCLC / Firstsearch interface.  They ask for search 
strings.   Is there a standard format for query strings?
ISBN Search Results URL:   Enter the URL for the screen that displays the 
results of an ISBN search of your catalog.

OCLC will do a search via the FirstSearch interface by ISBN, ISSN, and OCLC 
number.   What are the search strings for Evergreen that will make that work?

backend behind the old slimpac call number browse does, indeed, fill the need 
and pretty well matches your definition of a shelf list.  Here are a couple

A real shelflist would display call number, title, author, publisher, edition,

assign a call number. Since many public libraries don’t have the complex 
shelflisting rules that academics have, and we don’t care if we use the same 
call number over and over and over again, the lack of real shelflisting 
functionality in Evergreen wasn’t an issue until more academic libraries came 
on board. Having good shelflisting capability will allow Evergreen to continue 
to appeal to a broad spectrum of libraries.

To answer your other question:


To top it off, I am still wondering how items get into the reshelving status?   
 Is the ONLY trigger the checkin function?

As far as I know, the only way items will go into reshelving is if you check 
then in, if you manually change the status in the copy editor, or if you update 
the status in the database. The checkin will change the status to reshelving 
even if the item was not checked out to a patron. For example, if the item was 
listed as available, it will change to reshelving if you scan it in the checkin 
interface.

Oh dear.   I did not know that.  THANK you for letting me know.  In future, I 
will be sure to check that box.   Our previous system gave items like that a 
D_ barcode so we would know what was going on. Would be really nice if 
those items had a status of deleted as well.  :)

Subject: [OPEN-ILS-GENERAL] Real mystery - is it a bug?

All -

Ok.  I have a real mystery for you.   We are still trying to figure out our 
reshelving status issue.   Some items have gotten that status and REFUSE to 
go out of that status with the script running on the server.

So.  I keep running the list items by status report to see what is still not 
changing.   And on that list are two items (with title and barcode) that ARE 
NOT IN THE SYSTEM!   What?I can't bring up the item by title or by barcode. 
 It is not in the system.  As a matter of fact we deleted those items and marc 
records just two days ago.  So, why do those two still show up when I run the 
report??   That is so weird.

  To top it off, I am still wondering how items get into the reshelving status? 
   Is the ONLY trigger the checkin function?   Or do other actions trigger that 
status?   I think we are getting some real mystery items into that status and 
then they refuse to leave.  When I look up the items to see more 
information, there is no check in date.  How can that be?

   Put on your thinking caps.  This one is a real stinker.   At least it is to 
me.

I realize that they are probably using the virtual shelf representation 
from Library Thing.  That is not what is cool.   Scroll to the very bottom of 
the screen and there is a little link for an image of the actual book location 
on a map.   The blue highlighted region / shelf on the map is where the book 
is.   Nice.  

 Surely we can do this!   The shelf browse at least. But let's start with a 
simple call number list first.  :-)

All –

The other alternative is to do what we have done.   Just change the item / copy 
record to have a circulation modifier for 1 hour, 2 hour etc and make the 
coordinating changes in your circulation policies table.   We also changed each 
item to reside in a new location / collection called Reserves.   I have not 
been able to find a way to “associate” the items with a course or a professor, 
but you can certainly make notes on the item to that effect if you want.   We 
have never needed all that anyway.   We just want to be sure that the items 
circulate with the correct time frames.  So far we have it working to our 
satisfaction.

  One problem we have encountered is the due time will often run past our 
closing time.   Does the system not automatically shorten the due time when it 
conflicts with the open hours of the OU?? I’d like to know how to make that 
work.   And maybe flip the due date / time to the next day?

  Anyone have any other ideas / suggestions??  I’d be interested to know if 
there are other institutions actually having a reserve collection that are 
using Evergreen.
