You have reduced the scale of your exchange system to a size where the bad
points of BLBs have not yet reared up and bit your mythical scenario admin.
That still doesn't make BLBs a good idea, in the same way that one hit of
heroin probably won't kill you, but it still might not be a good idea to
take some.

I could send all of your users a bunch of large emails (say 5 emails of
100mb to all 5 users) and your single-instance-storage-breaking BLB backup
isn't quite so elegant anymore.

True but then it's simple incompetence on the part of the network admin, A
home user has the excuse of ignorance no matter how poor an excuse you or I

Because users are more likely to visit the pages they were viewing more than
once than they are to access pages some other user was viewing, therefore it
makes some sense to cache per user. Not to mention cookies, offline viewing
of pages in history, and suchlike.

Or maybe just to set it up correctly. We don't generally have too many
problems here with roaming profiles getting too large because of temporary
internet files. And some of our students are extremely heavy users of the
internet *cough*

Don't matter what software you use, if you set it up wrongly.

 hopefully the others will pick it up.

If you are serious about protecting a network you need multiple layers of
protection that don't have a single common point of failiure. In addition to
the different scan engines on the exchange servers, this is why I like
products like mimesweeper so much on the SMTP gateway - in addition to
mimesweeper's own ability to plug in virus scanners, it also filters out 95%
of the email viruses and worms that hit us by filtering out double
extensions (xxx.jpg.vbs and the like) and other similar obvious stuff.

 I'm hoping someone has been able to resolve a similar issue because
management is 
 talking about going back to MAPI mode in order to continue bricklevel
backups which I am
 trying to fight against.

It's quite amusing that management would rather switch back to a virus
scanning method that doesn't always work properly in order to continue with
a backup method that doesn't work properly than they would do something to
fix either problem properly. I thought that was why they hire us to make
these decisions for them.

 newsgroup.  If I remember correctly you can do some tricky 
 stuff using Public Folders but don't remember...I believe

 some stuff about this?

Exchange supports the uses NNTP kind of newsgroup, and its quite possible
to write a web interface to such a thing (though I personally believe you'd
have to be evil to do such a thing, but that's another story).

Uhhh you are running a file based virus scanner against the directories your
exchange server uses? If that's the case, for the love of $deity, STOP,
right now, I mean THIS MOMENT. AFTER you've done so, read the archives, or
the 200 replies you are about to get, that explain why this is a very bad
idea.

As for what viruses might be coming into your system via your exchange
server, its impossible to tell on the information given.

But are you scanning that folder/directory with the file based NAV scanner?
If so, you need to stop scanning the exchange folders with the file based
scanner; firstly the file based scanner is not a reliable indicator of
whether or not an email message being processed is infected, and secondly if
it decides to disinfect, quarantine, or delete an alleged infected
message, you will lose mail.

 You come in one morning, reboot the exchange server, and it 
 never comes back up, blue screens or whatever. It crashes. 
 Question:
 What do you do FIRST to try to bring it back up?
 What do you do Second if that doesn't work?
 At what point do you go for the recovery server, and your backup tape?
 
 I was looking through the disaster recovery paper and its 
 great...but I didn't see what to do before the backup server 
 plan. It has tons of switches and command line tools, but im 
 looking for elementary type notes  When it crashes, try ERD 
 first and run repair, if that doesn't work try... Stuff like 
 that. IF the server boots, I found lots of info on error 
 messages and the likes to try to get the IS started etc..but 
 nothing if its basically dead. I know, this is something I 
 should have learned long ago, but point me to the site, or 
 papers where I can get this and I can move past this embarrassment! 

There is no magic one shot always do this answer to this I'm afraid. If
it's a software error, I'd start with the microsoft technet CDs and website
for example, and follow their troubleshooting guide for whatever the error
is that you are getting. If you crashed after recently installing a new
application, contact the vendor for that as well.

If it's a hardware fault, do likewise with whatever troubleshooting stuff
your hardware vendor has supplied.

The time to start thinking about disaster recovery and restores and so on,
imho, is when you are clear that you are not going to get a fix or when it
is clear that the fix is going to take longer to appear and work than your
users are willing to wait, which again is something specific to your user
using the affected server and their needs.

Well most systems I know tend to LART you with an error message if you try
and send FROM more than one address. If they can make that go away and test
again, perhaps you might get lucky?

 back to the sender, pretending that the email address was invalid.  
 
 Does anyone know of such a tool and how effective it might or

Well I use the MAPS RBL for that but that's probably not the kind of tool
you were talking about. Works ok though.

 I'm simply giving my opinion.  Acceptance is optional.  I'm 
 giving my opinion of a server spec for exchange server that 
 in my opinion has giving me the best level of performance 
 and least amount of headaches over a 10 year period.  Whether 
 you choose this type of hardware is irrelevant being that I'm 
 the one stating an opinion. 

But wasn't Don merely stating *his* opinion? Or is it only ok for you to
have one? You know, when you have one opinion, and the majority of a large
list, like ohh this one, have another opinion, then you might consider it
time to re-evaluate your opinion. 

Someone else actually stated their server load and you basically told them
they were wrong. That is going beyond stating an opinion, each person here
probably knows best of all what is running on their own servers. I've got
one here with only 1 gig of ram and 2500 users. According to you, that's
impossible, but you are free to come visit this site and count them and
still see if you feel that way.

 Leave sendmail running on the Linux box (but remove any alias 
 file entries that you might have used for local delivery), 
 and make sure that it has an MX record with a higher 
 preference number (lowest number is always tried first). Viola.

 record, sendmail will queue and forward for that domain.

idea it is to cluster exchange.

I'm not Ed, but I'll take a swing at this.

Cezar, You want the server to collect mail from an upstream server using
POP3, as I understand it. This quite simply will not work properly. There
will always be cases where mail can be lost or misdirected, or can
generally behave in a manner you do not expect. There are solutions for
doing this out there if you do a search, but all the ones I have seen will
tell you in the first or second paragraph of the read-me file that this is a
bodge, a kludge, and it does not and will not work 100% correctly. 

I can't see any reason where this might be a good idea, given the
unreliability, because it's always going to be better to either get everyone
their own pop3 account on the upstream ISP server, or to pay for a proper
connection.

I'd agree with that, and we've put it into practice here, but with the speed
the hardware market is moving now, 3 years is almost certainly enough time
for any replacement hardware to have disappeared off the shelves and become
difficult to source. If it's important enough to be on a decent server
platform in the first place, its probably important enough that you can't
afford it to be offline two weeks because no one makes power supply fans
that shape any more.

That's not to say that you should automatically scrap stuff after that time,
but rather, that you just need to keep an eye on the situation for
maintenance on systems like that.

Does it work if you install in the order indicated below, instead of the
other way round?

TS is probably a better bet anyway. I have to admit, I quite like it as an
admin tool precisely because I don't have to play around installing various
admin tools on a workstation before I can use it.

 According to Q312139 titled You Cannot Install Exchange 
 System Manager on a Windows XP-Based Computer, MS tells you 
 that you basically have to run Exchange tools on a different 
 machine if you have an XP workstation. I was able to install 
 the old 5.5 admin with no troubles but whenever I try to 
 install E2k admin tools (we only purchased the E2k upgrade if 
 that matters) I get the exact message mentioned in that 
 article and it won't let me. Also, according to Q284224 you 
 will not see the Exchange-related tasks in Active Directory 
 Users  Computers until you install the ESM.  Herein lies my 
 problem.  If you can't add the ESM to an XP machine and you 
 can't utilize Exchange tasks unless you install the ESM, you 
 basically cannot use an XP workstation to administer 
 Exchange?  Lastly, I'm assuming that the Active Directory 
 Connector MMC also falls under this same thought process?

 One good point is the multiple engines... better chances in 
 outbreaks. Trend only has their own engine, if their site 
 gets swamped and you can't download the engine, where are you 
 going to be? 

Not just that, though it is an important point. Some virus scanners
consistently do better at one kind of scenario/virus type compared to other
scanners, so this also supports the multiple scan engines idea. Hopefully
you can pick two scanners whose relative strong and weak areas compliment
each other.

example, failed attempts at unauthorised relaying via your system (in which
case the error shows your anti relay precautions are working).

I'm still not 100% sure I understand you (any details of the Dr Watson

Why only between 7am and 8am? Surely if you need to move

of overtime is in order to limit the downtime to the 
 users. Plus 
with only 15GB, it could be easily done in a weekend with

We currently use mimesweeper for content - including spam - filtering. It
allows us to use realtime blackhole lists (RBLs) such as MAPS, and also to
define filters for spam and anything else mangement consider unacceptable
this week.

As such I'd recommend it, with the following caveat: 

All spam filters I've seen are flawed; they might suck in different ways but
they do all suck. In our use of Mimesweeper I can say that it sucks less
than many other systems I've seen and used. Anyone who tells you they have a
100% perfect system for filtering email is either on crack or doesn't know
what they are talking about.

No matter what spam filter you install be prepared to either lose legitmate
email, because your filters are too strict, or to let spam through because
they are too lax, or to have someone review mail that's on hold to decide
whether it's spam or not (and that's a whole can of worms by itself). I'd
strongly suggest this has to be supported by senior management, if not
driven entirely by them, because if not your butt will be on the chopping
block when one of them loses an email order for $10 million because it had
make money fast in the subject line.

Am I missing something? Just goto your primary DNS server and nominate the
new W2K DNS server as a new secondary. Once you are happy remove the old
(nt4) one.

 methods this and having tested one method I was wondering if 
 there are other methods? The method I tested was a 
 combination of Mark Minasi Dns Disaster Recovery that he 
 published in the Windows NT Magazine Dated November 2000 and 
 an article I came across in Windows 2000 Magazine Web 
 Site(December 1999 called DNS Migration by Alex Wun)where the 
 person copied the DNS files to the \system root\system32\dns 
 of the old server to the new server and added a dummy zone to 
 the new server then export the dns zone entry from the old 
 server and imported to the new server. The other method that 
 I came across is install dns on a 2k server set the old nt4.0 
 box to update the new 2k server, then in win2k add the zone 
 with the wizard then under domain 
 name\properties\general\accept dynamic updates = yes...

You could try explaining why they have duplicate accounts but only want it
to look like one, when to all intents and purposes the problem would be
solved by just having one account.

Either threes something we don't know about the design of this network, or
something the designer of the network don't know about the design of the
network and articulating why they have two accounts but it's so important
they appear to only have one would help clear a lot of the problem up I
think.

I've taken a fair few tests and wouldn't mind finishing off the w2k MCSE
someday but generally I'm far too busy actually doing the stuff to sit
around taking tests about it.

My reluctance to take tests when I could be doing productive work instead
hasn't really hurt my career - whenever I've decided I really wanted a
particular job I've always got as far as interviewing for it.

Well then we're talking about stopping people who are making an effort to
break into her email, rather than those who are casually glancing around
while sitting in front of a computer - which is human nature - and seeing
things they shouldn't. And I understood we were talking about casual viewing
rather than determined twiddling of settings to break into someone's email.

If we're talking about deliberate attempts to look at other people's mail
that's a whole different kettle of cod, and in that case they've got serious
problems regardless of what happens with outlook because people sharing
logins anyway by the sounds of things.

 We have a reception computer that is logged on under the

 This is because it runs Zetafax, which in standard form,
 needs to have a single person nominated for receiving all our 
 faxes. This receptionist works until 3:00pm at which time the 
 PC is left switched on and logged on under her name so that 
 others can distribute faxes.
 
 The issue has arisen of securing her email, which when logged
 on under her username, can just be viewed by opening Exchange.
 
 I don't want her to have to log off and back on under another
 user name to access her email, it needs to be available from 
 her logon. I also want to stay away from configuring Outlook 
 in internet mode and having messages delivered to a PST.
 
 I have played around with the settings, but as far as I can
 see, you cant set a password on a profile, only on a data 
 file such as a PST.

Then consider the solution Gary and I suggested. It will stop people
casually viewing her email. If that's not robust enough for you, then
you've got big problems because its not easy to secure stuff on the one hand
and let everyone use her account on the other. One either secures stuff 100%
properly or one leaves holes someone malicious could drive a truck through.

 For instance, today he has an email with revisions1.html 
 attached. When he selects the email, it attempts to open the 
 attachment, and Officescan quarantines the file 
 revisions1.exe from the temp internet folder.
 
 I thought that Klez attachments had double extensions, like 
 revisions1.html.exe
 
 Why wouldn't scanmail be stopping this file? I havent in the 
 past considered that we should be blocking htm and html, but 
 should we?
 
 I've checked this PC with Officescan and Symantecs tool, and 
 it shows no traces of Klez

You know the longer I spend dealing with users and managing mail servers the
more I begin to feel that blocking attachments based on the *.* filter, and
allowing plain text messages is the only way to go. Cuts down on support
questions no end...

Theres nothing there that indicates the process failing. It will use more
space as it needs it, up to its top limit, and will release space on
request, and then will grab it back as it needs it again. So fluctuations
are not unusual. If it was going up and down like a lunatic all the time
that might be a bit interesting but steady changes upwards with dips back
down here and there are not unusual.

Server can't hand off. It's a 'temporary' error telling you it can't deliver

error, a 5.x.x code.

Silly question perhaps but lets start with the simple stuff:

Have you sat down at the server and tried pinging or traceroute to server
addresses mentioned as problematic in your NDRs? Have you tried contacting
any that you can't reach from your server console from somewhere else? Is it
sending to the same two or three servers that generates NDRs or is it
totally random?

Remember that port 25 is for sending and receiving mail between servers.
The question is whether or not they can connect to either pop3 or IMAP
for client to server communications. This depends on whether or not
you've enabled these protocols on the server, and also, obviously, if
they are filtered by a firewall or proxy at any point between the two of
you.

we have a user that wants to install outlook 2000 on their home machine
 access our exchange server using his road runner connection instead of
the dial-up into the network.  It fails, can't find the server.  He can
telnet to port 25, however.  So, it appears you have to be connected to
the LAN to be able to find the server through outlook.  OWA works fine.
is this normal?  necessary operation of exchange server? network
configuration? his machine? All I have access to is my exchange server,
so, I just need some direction on where the problem might be, if it even
is a problem...my exchange server, the network, or the guy's computer.

As it seems that you do actually need large email stores to archive mail which 
presumably needs to be reliably stored so you can actually get it back (or else whats 
the point of bothering to archive it?), what business functionality would moving them 
from a nice reliable easy to back up and manage exchange database store to a 
unreliable, difficult to control and backup PST file?
 
I'm not a fan of shuffling stuff around between different file stores to be honest, it 
is at best a short term solution that won't solve your actual problem.

Standard Version of EX5.5, SP4. 200+ users.

We are looking at educating users in not storing everything in their email,
but storing in either a .pst or .ost. Money is an issue, my company won't pay
for us to upgrade to 5.5 Enterprise or Exchange 2K, so there's no option IMO
other than educate the packrats, and set up an archiving solution.

I've also read the arguments in the FAQ, but wonder what other folks in a 
similar
situation would do, with regard to archiving.

Currently our priv.edb is 13.9 GB, while the pub.edb is 226MB, so would 
archiving
essential emails on Public folders be a reasonable idea?

Some of our client handlers need to keep archives for some of our clients, in 
case
of compliance issues.

What do you mean don't worry about? By the way we have NetShield and
GroupShield both running on our exchange server and we do block most of the
extensions (.exe,.vbs, etc.) from coming in.

You have to ask if theres a real business need for what they are doing, and if so you 
really have to support it. This is a management issue - if your users have a need to 
archive this mail properly (which PSTs don't meet due to their problems) then you have 
a need to upgrade to Ent. edition or invest in some other creative solution which will 
probably cost more.
 
It's not an easy choice but that choice has to be made - if your employers want to 
play on the grown up golf course they have to accept they'll have to pay grown up 
greens fees. Or they'll have to change the way they work.

Much like Robert, it's an inherited policy that I've stumbled into the
sole reponsibilty of, and I'm cobbling bits of info together for a
guideline and policy docco to stamp some authority over it. It gets a bit
worrying though, when 8-10 people contantly use nearly a fifth of the
servers capacity.

So when your single pagefile drive fails and you decide that because
that isn't reliable enough for you, what next, try to put the pagefile
on a ramdisk?
